Use the IRS Tax Withholding Estimator if you have multiple income sources, are changing your withholding midyear, or want a more tailored calculation. The W-4 adjusts federal income tax withholding from pay; it does not determine your final tax liability or change Social Security, Medicare, state, or local withholding.
Before you start
Use the 2025 revision for 2025 withholding. Gather your latest pay statements and most recent tax return, especially if the year is already underway. When checking pay statements, use the federal income tax withholding amount—not Social Security, Medicare, state, or local tax withholding.
The IRS says to complete Steps 2–4 only if they apply; otherwise, skip to Step 5. An employee with one job, no relevant additional income or deductions, and no applicable credits may need only Steps 1 and 5. The form is given to your employer, not the IRS.
How to fill out the W-4, step by step
Step 1: Enter your information and filing status
Enter your name, address, Social Security number, and anticipated federal filing status: single or married filing separately; married filing jointly or qualifying surviving spouse; or head of household. Select head of household only if you meet the tax-law requirements, including being unmarried and paying more than half the cost of keeping up a home for yourself and a qualifying individual. If your name does not match your Social Security card, the form advises contacting the Social Security Administration.

Step 2: Account for multiple jobs or a working spouse
Complete Step 2 if you have more than one job at the same time or file jointly and your spouse works. The 2025 form offers three approaches. Choose one; for multiple-job households, complete Steps 3 through 4(b) on only one W-4, generally the one for the highest-paying job.

Do not assume the checkbox suits a household with more than two jobs. If either spouse has self-employment income or wages vary, the estimator may be more useful.
Step 3: Enter eligible dependents and other estimated credits
For the 2025 form, Step 3’s printed calculation applies if total income will be $200,000 or less, or $400,000 or less for married filing jointly. The Internal Revenue Service’s 2025 Form W-4 gives values of $2,000 per qualifying child under age 17 and $500 per other dependent. Multiply the number of eligible dependents by the applicable amounts, add any other credits being estimated as directed by the form, and enter the total.

These are withholding inputs, not a guarantee that you qualify for a credit. The form’s child-tax-credit instructions include age, residency, and Social Security number requirements. Base the entry on expected eligibility, not simply the number of people in your household. For a multiple-job household, put Step 3 on only one W-4, generally for the highest-paying job.

- Step 4(a), other income: Use this for estimated income outside jobs, such as interest, dividends, or retirement income. The form’s instructions say not to include wages or self-employment income here.
- Step 4(b), deductions: Use the Deductions Worksheet result if you expect deductions beyond the basic standard deduction. Follow the worksheet rather than entering total deductions without adjustment.
- Step 4(c), extra withholding: Enter any additional federal income tax you want withheld from each paycheck. This is also where the Multiple Jobs Worksheet result goes. More withholding lowers take-home pay and may reduce a balance due or increase a refund.
Steps 4(a)–(c) are optional. If you are unsure how to account for self-employment income, bonuses, investment income, or a midyear change, use the estimator rather than guessing an entry.
Step 5: Sign and submit the form
Sign and date Step 5, then give the form to your employer. The IRS form says it is not valid without the employee’s signature. Leave employer-only fields for your employer to complete.

When to use the IRS Tax Withholding Estimator
The estimator can be especially useful if you submit a W-4 after the year begins, work only part of the year, change jobs or family circumstances, have multiple jobs, or receive income such as dividends, capital gains, Social Security, bonuses, or business income. It considers income and payments already made to produce withholding recommendations; it does not calculate a single correct entry for every household.
Have recent pay statements, other income estimates, and your latest tax return ready. The IRS estimator can account for federal tax already withheld and remaining pay periods. Revisit the estimate if your income or circumstances change.
Can you claim exempt from withholding on the 2025 W-4?
You may claim exemption for 2025 only if you had no federal income tax liability in 2024 and expect none in 2025. The 2025 form explains how to determine whether you meet the prior-year test. If eligible, write “Exempt” below Step 4(c), complete only Steps 1(a), 1(b), and 5, and submit a new W-4 by February 17, 2026. Claiming exempt stops federal income tax withholding from your pay; the form warns that you may owe tax and penalties when you file if you do not qualify.

Common mistakes to avoid
- Using a W-4 amount as though it changes your final tax liability. It changes withholding, not the tax law.
- Applying Step 3 credits on multiple W-4s in the same household, or entering amounts without checking the 2025 form’s income condition and eligibility instructions.
- Putting wages or self-employment income in Step 4(a), contrary to the form’s instructions.
- Using the Step 2(c) checkbox when there are not exactly two jobs total.
- Forgetting that a new W-4 changes future withholding only; it does not revise tax already withheld.

Should I claim exempt on my W-4?
