Use the SEC filing’s HTML or Inline XBRL version whenever possible. In Excel, choose Data > Get Data > From Web, paste the filing URL, select the correct table in Navigator, and clean it with Power Query. For a native text PDF, use Data > Get Data > From File > From PDF. Scanned PDFs require OCR and cell-by-cell checking. If you need comparable financial facts rather than the original visual layout, use XBRL or SEC data APIs instead.
Choose the right SEC source first
“An SEC report” can mean several different files: an official HTML or Inline XBRL filing, plain text, XML-related data, a PDF exhibit, or a scanned image. Excel’s success depends on that format.
The SEC identifies plain-text and HTML submissions as official filings; PDF copies are generally unofficial copies. Use the HTML filing to verify the result whenever it is available: SEC About EDGAR.
Find the filing in EDGAR
- Open SEC Search Filings.
- Search by company name, ticker, or CIK.
- Filter by form, such as 10-K, 10-Q, 8-K, DEF 14A, S-1, S-3, or S-4.
- Open the filing index and prefer the main HTML or Inline XBRL document over a PDF attachment.
- Search for the table title, such as “Consolidated Statements of Operations,” “Debt,” “Operating Segments,” or “Shareholders’ Equity.”
Record the company, form, filing date, period covered, amendment status, accession number, and page or section title before importing anything. This prevents you from extracting a similar table from the wrong filing or an amended version.

Method 1: Import an SEC HTML table with Excel
- Open Excel and select Data > Get Data > From Other Sources > From Web. Menu wording varies by Excel edition and platform.
- Paste the SEC HTML filing URL and select OK.
- Review the Navigator preview. Select the table that contains the statement or note you need; do not automatically choose the first result.
- Choose Load for a quick import or Transform Data to clean it first.
- In Power Query, remove title rows, promote the actual header row, delete blank rows and repeated headers, separate footnotes, and set numeric and date types.
- Select Close & Load to place the result in a worksheet.
Excel can detect a surrounding layout table, several fragments, or labels without all values because SEC HTML often contains nested or related tables. Method 2: Import a text-based PDF
First test the PDF. If you can select individual words or numbers and paste them into a text editor, it is probably text-based. If the page behaves like one image, use the OCR method below.
- Save the PDF locally, or use its stable online location.
- In Excel, choose Data > Get Data > From File > From PDF.
- Open the file and inspect the Navigator’s tables and pages.
- Select the relevant table or page and choose Transform Data, not just Load, when the document is complex.
- Remove page numbers and repeated headers, combine split rows, promote the real header, delete explanatory text, rebuild multi-level headings, and correct data types.
- Select Close & Load.
Microsoft’s PDF connector uses Power Query and the Pdf.Tables function. For large or fragmented filings, process a page range and adjust the MultiPageTables setting as needed. Multiline rows may require fill-down or grouping operations. See Power Query PDF connector.

This is not universal: combining every detected table can merge unrelated pages. Filter by page or table before appending fragments.
Method 3: Convert a scanned PDF with OCR
OCR can misread parentheses, minus signs, decimal points, commas, currency symbols, superscripts, footnote markers, and column boundaries. Treat the resulting workbook as an extraction draft, not verified financial data.
- Open the PDF in Acrobat.
- Choose Export PDF.
- Select Spreadsheet or Microsoft Excel Workbook.
- Export and open the resulting
.xlsxfile. - Compare every numeric cell with the original filing page.
Adobe documents Excel export here: Adobe Acrobat Reader Help. Its Export PDF service requires a paid subscription. Third-party document-AI services can help with many inconsistent or scanned filings, but consider cost, confidentiality, retention, and confidence-check requirements.

Use XBRL or SEC data when you need facts, not page appearance
Visual conversion asks, “Make this page look like a spreadsheet.” Structured extraction asks, “Give me revenue, assets, debt, or segment facts for analysis.” For recurring work across companies or periods, the second question is usually better served by Inline XBRL, EDGAR data, or the SEC APIs at data.sec.gov.
XBRL is machine-readable and scalable, but it does not guarantee the original table layout. Contexts, instant versus duration facts, dimensions, company extensions, units, scaling, and restatements can affect mapping. The SEC’s EDGAR XBRL Guide explains that rendered tables may differ in nesting, orientation, blank cells, and presentation from the submitted document. Always compare structured values with the official filing.

Headers and periods
- Remove the statement title from the data body and promote the true header row.
- Combine multi-row headers into explicit names.
- Preserve fiscal-year labels exactly and distinguish “Year ended” from “As of.”
- Keep quarterly and annual periods separate.
Numbers, signs, and scale
- Convert parentheses to negative values only after checking the source.
- Record the currency and whether amounts are in dollars, thousands, or millions before removing symbols or separators.
- Keep per-share amounts and percentages in distinct columns.
- Preserve zero, unavailable, not-applicable, and rounding-threshold dashes as separate meanings; retain the original symbol in a raw sheet.
Labels and footnotes
- Preserve indentation for subtotals and nested line items.
- Do not delete “Other,” “Unallocated,” or “Eliminations.”
- Keep segment and geographic labels attached to their values.
- Put footnote markers in a separate column and copy relevant footnote text to a notes sheet.
- Note exclusions such as discontinued operations, noncontrolling interests, or selected segments.
Data types and identifiers
- Force financial columns to numeric types and check dates and fiscal periods.
- Prevent long identifiers from becoming scientific notation.
- Preserve leading zeroes in CIKs, accession numbers, and note references.
Keep two sheets: a Raw import that is unchanged except for a source note, and a Clean analysis sheet used for formulas. Add the filing URL, accession number, form, date, units, and page or section to the workbook.
Verify the converted table
A successful export is not proof of correctness. Compare the workbook with the filing and check:
- At least one row total and one column total.
- Several negative or unusual values, including losses, outflows, repurchases, discounts, benefits, and eliminations.
- The first and last periods.
- Currency, scale, and whether values are instant or duration amounts.
- Footnote symbols, subtotal labels, and page breaks.
- Any dashes or blanks whose meaning is uncertain.
- Filing date, amendment status, accession number, and source section.
Troubleshooting common failures
“From PDF” is missing
Look under Data > Get Data > From File. The connector may differ by Excel edition, platform, or organizational deployment. Do not assume every installation has identical menus.
The PDF imports as dozens of tables
- Limit the import to the relevant page range.
- Use Transform Data.
- Filter Navigator results by page or table.
- Remove repeated headers and append only compatible fragments.
- Fill down period or category labels and check subtotals against the source.
Columns shift or values land under the wrong year
Check headings, page orientation, fiscal periods, parentheses, subtotal rows, footnote symbols, and values spanning multiple columns before moving cells. A tidy layout can still be wrong.

Negative numbers become positive
PDF extraction may strip parentheses. Recheck every loss, cash outflow, repurchase, debt discount, tax benefit, and elimination.
XBRL does not match the visible table
Investigate contexts, dimensions, extensions, units, scaling, restated periods, and presentation differences. Use the official HTML or filing as the comparison point rather than forcing the XBRL rendering to match the page.

The practical fallback ladder is HTML → PDF connector → Acrobat or OCR → specialist extraction service → manual entry. Choose XBRL or SEC APIs whenever the objective is repeatable financial analysis rather than preserving the filing’s visual design.
