Choose invoicing software that links invoices to recorded payments, shows accounts receivable aging, produces the financial statements your lender requests, and exports records in a usable format. First ask the lender what documents, date ranges, and level of detail it needs: requirements vary, and software can organize evidence but cannot guarantee financing approval.
Start with the lender’s document list
There is no single records package for every small-business loan. The U.S. Small Business Administration says, “The contents of the loan application vary depending on the size of the loan and the lender’s processing method.” Confirm the current list with the lender or financing provider you intend to use, including the periods covered, file formats, and required detail.
For businesses considering the SBA 7(a) Working Capital Pilot, the SBA says a suitable business should be able to produce timely and accurate financial statements, accounts receivable and accounts payable agings, and inventory reports. Those are useful capabilities to test for working-capital financing; they are not a universal checklist for every lender or loan. The program’s maximum loan amount is up to $5 million, according to the SBA’s 7(a) guidance page; that is a ceiling, not an average or a promise that an applicant can borrow that amount.
Evaluate the records the software can produce
Invoices, payments, and customer balances
Check whether the system connects each issued invoice with its payment history and the customer’s remaining balance. An invoice list alone may not show whether money was received, partially paid, or is still outstanding. Test representative transactions, including partial payments and overdue invoices if those occur in your business.

Accounts receivable aging
Look for both a summary of outstanding receivables and, when needed, invoice-level detail showing how long amounts have been overdue. Confirm that the report can be run for the date range your lender requests and that its totals reconcile with customer records.
Financial statements and other operating reports
Ask whether the product can produce the statements relevant to your business and lender, such as a profit and loss statement, balance sheet, or cash flow statement. If your financing path or operations call for accounts payable or inventory reporting, verify those capabilities too. Do not assume invoicing features capture expenses or other transactions needed for complete books.

Exports, access, and workflow fit
- Export quality: Check whether reports and underlying records can be exported or shared in the requested format, with the needed date range and detail—not just whether an export button exists.
- Operational fit: Match the software to transaction volume and workflows, including inventory or accounts payable where relevant.
- Professional review: If you work with a bookkeeper or accountant, check whether the product supports appropriate access and review.
- Plan and region: Confirm that reports, integrations, and exports are available in the exact subscription and country you will use.
Use a practical comparison test
- Get the lender’s requirements. Request the current records list, periods, file types, and level of detail.
- Map your records. Identify the statements and reports your business actually needs. For a Working Capital Pilot candidate, include the categories the SBA names: financial statements, A/R and A/P agings, and inventory reports.
- Test realistic activity. Create or inspect representative invoices, record payments, review customer balances and aging, and export a date-bounded report. Check that names, dates, totals, and payment status match the source records.
- Check the whole bookkeeping process. Make sure expenses and other relevant transactions are recorded as well as sales invoices. Bookkeeping matters to financing-related decisions; software can organize routine work but does not automatically fix missing or inaccurate entries. Ask a bookkeeper or accountant to review the workflow where appropriate.
- Reconfirm before switching or applying. Check plan limits, data portability, and the lender’s current requirements before moving systems or submitting an application.
Example: what to verify in QuickBooks
Intuit’s official materials describe creating and sending invoices, tracking invoice payments, and viewing accounts receivable aging. Its support article says summary and detail aging reports show outstanding balances and how long amounts are overdue. A QuickBooks page for Canada lists financial statements and report exports to PDF or Excel. These are vendor descriptions, not independent product testing; confirm availability in your country and subscription before relying on a feature.
Regardless of provider, send sensitive financial records only through the submission channel your lender confirms. Keep a copy of what you submit and the date range each report covers.

What software can—and cannot—do for financing
Invoicing software can help keep transaction records organized and make requested reports easier to assemble. It cannot establish that your books are complete if transactions were never entered, ensure that figures are accurate, or determine whether a lender will approve an application. Treat the lender’s current document list as controlling, and select software against the records and workflow your business must maintain.
