To ask for time off, check the leave policy and required request channel, state the exact dates and whether you need full or partial days, and give your manager a concise plan for time-sensitive work. A pending request is not approval when your workplace requires approval. Notice rules depend on the leave type, employer, and location: ordinary PTO is different from potentially protected family or medical leave.
Before you make the request
Check your employee handbook, HR portal, manager’s instructions, and team calendar. Confirm which leave category applies, any balance or eligibility details that matter, the notice rules, and how the request must be submitted. Some workplaces require manager approval; others use a notice or tracking process. Use the process that applies to your leave rather than assuming one rule fits every absence.
Check for deadlines, shift or project conflicts, and any required forms. If the request must be entered in a system, sending an email may not replace that step. Record the decision in the designated place, and do not treat a pending request as approved if approval is required.
How much notice should you give?
For ordinary PTO, there is no universal notice deadline established for all U.S. private-sector workplaces. Follow your employer’s policy and applicable local law. Giving more notice can help with scheduling, but it does not override the rules that apply to your workplace.

Foreseeable U.S. FMLA leave
For leave that may qualify under the U.S. Family and Medical Leave Act (FMLA), the Department of Labor says to give 30 days’ notice when the need is foreseeable and that much notice is possible. If the need arises less than 30 days ahead, notify the employer as soon as possible. For an unexpected qualifying need, give notice as soon as possible and practicable. Follow the employer’s usual leave or call-in procedures unless you are unable to do so. Department of Labor guidance on discussing time off for family and medical reasons.
UK statutory holiday
UK statutory holiday has a different default notice rule from ordinary PTO in the United States. GOV.UK describes notice of at least twice the requested leave length plus one day; Acas describes giving notice at least twice as many days before as the number of days requested. A relevant agreement in the employment contract can change the rule, so check the applicable contract terms and guidance rather than applying this formula elsewhere. What to include in a planned request
- Exact dates: Include the start and end dates, and say whether the request covers full or partial days.
- Leave category: Name it if your employer’s process asks for one or if it helps route the request.
- Schedule flexibility: If your dates can move, offer a reasonable alternative rather than making your manager guess.
- Work handoff: Identify what you will finish, what needs a backup, where the current notes are, and who can handle urgent matters.
- Decision and recording: Ask for confirmation if required and submit or record the request in the designated system.
Keep personal details limited to what the policy or law requires. For potentially FMLA-covered U.S. leave, you do not have to use the words “FMLA” or disclose a diagnosis, but you must share enough information to alert the employer that the leave may be protected. Make a useful handoff without promising to work while away
A handoff should make it possible for colleagues to continue essential work, not turn your leave into on-call time. For a desk-based role, summarize the status of active work, the next step, any approaching deadline, and where supporting files or notes live. For shift work, follow the workplace’s scheduling and coverage process; do not assume you must find your own replacement unless that is actually the policy.

Be specific about urgent coverage: name the agreed backup person or team and explain which issues they can handle. If no one is assigned, ask your manager how coverage should work rather than volunteering someone else or implying that you will remain available. Clarify whether you will be unavailable and, if applicable, what contact boundaries have been agreed.
Sample email for planned time off
Subject: Time-off request: [dates]
Hi [manager],
I’d like to request [leave type, if relevant] for [exact dates and full or partial days]. I’ve checked [the team calendar or applicable policy]. Before then, I’ll [finish or hand off priority work], and [backup person or team] can find current notes at [location]. Please let me know whether these dates are approved and whether you need anything else from me. I’ll record the request in [required system].

What to do when the absence is unexpected
Use the normal call-in or absence-reporting channel promptly. Give a brief, accurate explanation of the need and expected duration if you know it. Do not delay urgent notice to prepare a polished handoff; share essential work status and coverage details when you are able. For potentially protected leave, provide enough information to alert the employer that the leave may qualify, without disclosing a diagnosis unless a specific requirement applies.

Record the approval in the required system, then complete the handoff you agreed to. Set an out-of-office message with the dates and the appropriate backup contact, and make your availability boundaries clear. Do not volunteer to stay continuously reachable unless that is part of your role or an agreed arrangement.
