How Often Should a Small Business Reconcile Its Accounts?

Reconcile each business checking account monthly after the statement closes, while keeping transaction records current throughout the month.

Reconcile each business checking account monthly, after the bank statement closes. Keep recording and categorizing transactions throughout the month; reconciliation is the separate check that your records match the statement. The IRS recommends monthly checking-account reconciliation as a recordkeeping practice, not as a universal statutory requirement for every business account.

Why monthly reconciliation is a useful baseline

A monthly close gives you a completed bank statement to compare with your books. The IRS advises businesses to reconcile checking accounts each month. The purpose is not merely to make the displayed balance match: reconciliation can verify funds in the account, ensure bank charges and other activity are reflected in the books, and help identify errors in either set of records. This guidance is a practical recordkeeping recommendation, not evidence of a single monthly legal deadline that applies to every small business, account type, industry, or jurisdiction. The focus here is ordinary small-business bookkeeping, especially checking accounts.

Recording transactions is not the same as reconciling

Enter or categorize transactions as they happen, and identify the sources of income. Reconciliation comes later: compare the activity on the closed statement with the corresponding account in your books, then resolve differences. Waiting until month-end to enter everything makes it harder to spot missing items and explain discrepancies.

You can keep records in a paper checkbook or register, a journal or ledger, a spreadsheet, or electronic accounting records. A dedicated business check register is optional; the important part is keeping a reliable record that can be compared with the statement. The IRS discusses both paper and electronic recordkeeping in Publication 583.

How to reconcile a business checking account

  1. Choose the completed statement period. Use the statement that has just closed and the matching account in your books.
  2. Match deposits. Compare statement deposits with recorded deposits. Note deposits entered in your books that have not appeared on the statement by its closing date.
  3. Match withdrawals. Compare cleared checks, card activity, transfers, and other withdrawals on the statement with the entries in your books. Identify outstanding checks and any activity missing from the records.
  4. Enter missing statement items and fix errors. Record bank charges or other statement items not yet entered, and correct amounts that were recorded incorrectly.
  5. Investigate what remains. Timing differences—such as a deposit made after the statement date or a check that has not cleared—can make the starting balances differ. Follow up on each unexplained difference until the adjusted statement and book balances agree; do not simply write off a discrepancy.

When to review activity more often

Monthly statement reconciliation is a sound recurring close task for a business with ordinary transaction volume. A more frequent review or matching routine may be useful when there are many transactions, cash decisions depend on current balances, or a delay in spotting an issue could be costly.

  • Cash visibility: Owners who make frequent spending or cash-flow decisions may benefit from checking activity between statements.
  • Available tools and time: Bank statements, paper records, spreadsheets, bank feeds, and staff capacity affect which routine is sustainable. Xero describes bank feeds as a way to make frequent matching more practical, but that is vendor workflow guidance, not an IRS rule; see Xero’s bank reconciliation guide.
  • Follow-through: Whatever the schedule, record missing items and resolve differences rather than leaving them open.

Bank feeds can make activity easier to review, but they do not remove the need to compare records and resolve unmatched items. More frequent matching supplements the monthly statement reconciliation; it is not a substitute for completing it.
