Automation can reduce errors when people repeatedly transfer structured information from one system or document to another, but it does not guarantee error-free records. Clinical studies report fewer discrepancies with automated or directly interfaced workflows than with some manual methods; they do not establish a universal dollar cost per error or a guaranteed return on investment. To decide whether automation is worth paying for, measure the time and cost of errors in your own process and compare them with implementation, review, and maintenance costs.
How does automation reduce data entry errors?
Repeated transcription creates opportunities to mistype, omit, or misread information. A direct interface can pass data from a source system or device to the destination without an extra rekeying step. Scanning and optical character recognition (OCR) can convert paper or images into digital fields, while validation rules can flag values that are missing or outside an expected range.
Evidence from healthcare illustrates the potential, but should not be treated as a forecast for every workplace. In a 2020 study of 1,933 consecutive vital-sign records in one 23-bed medical-surgical unit, errors fell from approximately 20% to zero after an automated data-entry process was introduced. The study also reported that transfer time fell from five minutes to two hours per measurement event, as reported in its abstract. The authors concluded: “Data entry automation eliminates data errors, substantially reduces delays in getting data into EHRs, and improves job satisfaction by giving nurses more time for direct patient care.” That conclusion describes the intervention and unit studied, not a guarantee for other organizations. What do error rates say about manual entry, scanning, and double entry?
A 2023 systematic review and meta-analysis covering 93 clinical-research papers estimated different error rates by data-processing method. The review also warned that results varied widely across the underlying studies, so the figures are comparisons from that literature—not promised rates for a particular project.

Is OCR accurate enough to trust?
OCR can reduce rekeying, but it can misread characters or place information in the wrong field. In a 2025 prospective, multicenter ICU study, independent validation by eight untrained personnel covered 1,018 data points. The OCR workflow achieved 98.5% completeness and 96.9% accuracy in that validation. The accuracy result means errors remained; it supports using review and validation rather than treating OCR output as unquestionable. Read the ICU OCR study on PubMed Central.

For paper workflows, test OCR on representative pages from the actual forms you receive. Keep human review for low-confidence fields and values where a missed error would have serious consequences. A scanner captures a document; it does not guarantee that the extracted data is correct.
Why can a direct interface be safer than retyping?
A supported interface can avoid an additional transcription step by passing results directly from a device or application into the destination system. In a 2019 study of outpatient point-of-care glucose results, 260 of 6,930 manually entered results (3.7%) differed from interfaced results. Of those discrepancies, 37 were more than 20%. This is a specific clinical workflow, not an estimate of error rates for other kinds of data entry. Read the study in the Journal of the American Medical Informatics Association.

An interface still needs compatible systems, implementation work, and checks that data arrive in the right field with the right meaning. Confirm how failures are logged and corrected rather than assuming that a transfer that appears automated is necessarily complete or accurate.
Should you automate data entry or keep double entry?
Double entry can catch discrepancies because a second entry is compared with the first, but it requires duplicate effort and a process for resolving mismatches. Automation can reduce repetitive typing, yet may shift staff time toward checking outputs and handling exceptions. Assisted abstraction is another option: it can reduce manual work without removing human review.

A clinical study of EHR-to-electronic-data-capture workflows reported 5.8% manual abstraction error versus 1.2% application-assisted error across 2,809 fields. In a separate, limited subset of 477 fields, it observed 13.6% manual error and zero automated errors. The zero applies only to that subset and study context; it is not evidence that automation generally produces error-free data. - Measured error rate: Count field-level errors in your own sample, not just the number of records processed.
- Time per record: Measure initial entry, checking, exception handling, and correction time.
- Review and exception costs: Estimate the staff effort needed to verify uncertain or mismatched values.
- Integration and auditability: Confirm that the method works with your system of record and preserves a usable trail of changes.
- Impact of a missed error: Apply stricter review where an incorrect value could cause financial, operational, compliance, or safety consequences.
What does a data entry error cost?
There is no defensible cross-industry dollar amount per data-entry error established by the studies cited here. The cost depends on what the error affects and how it is found: staff time to locate and correct it, delayed work, rework, or quality impacts. Estimate the business case from your own volume, correction rates, labor time, and the consequences relevant to your process.
Compare that estimate with the full cost of automation: setup and integration, software or equipment, ongoing maintenance, staff training, review, and exception handling. A reduction in errors or transfer time is useful evidence, but it does not by itself establish a positive return on investment.
How to assess an automation workflow before relying on it
- Choose a suitable task. Start with repetitive, structured transfers where the source data is stable and validation rules are clear.
- Check for a direct connection. If a device or application can write to the destination system through a supported interface, assess that option before adding another manual transcription step.
- Test on representative records. For scanning or OCR, include the actual document types, layouts, and image quality the workflow will encounter. Track errors by field and type.
- Set review and exception rules. Route low-confidence values, validation failures, and high-impact fields for human checking. Define who resolves exceptions and how corrections are recorded.
- Calculate local costs. Use your own record volumes, entry and correction time, observed errors, integration work, and ongoing maintenance needs.
Automation is most useful when it removes avoidable rekeying without hiding errors from the people responsible for the record. Keep the checks that match the consequences of a mistake, and judge performance from the workflow you actually use.
