Contemporary U.S. coverage put the accompanying price increase at about $2 per user per month, but that is a historical estimate—not a universal current price. And “included” does not mean every plan has the same features or unlimited access: Business Starter has fewer embedded AI tools than higher tiers, and heavier use may require a paid add-on.
What Google changed in January 2025
Google announced that Gemini capabilities would be included in Workspace Business and Enterprise plans without requiring the separate Gemini add-on that had previously been sold to customers. The package covered Gemini inside Gmail, Docs, Sheets, Chat and Meet, access to Gemini Advanced in the standalone Gemini app, and NotebookLM Plus. Business customers began receiving the features immediately; Enterprise rollout was scheduled to follow later in January. Google’s announcement described the change as a subscription bundle, not as free Workspace.
The distinction matters: Gemini in an email or document is an embedded assistant, while the Gemini app is a separate conversational tool, and NotebookLM is for working with source materials. They are related AI offerings, not one identical feature with one shared set of limits.
How much did Workspace prices rise?
Axios reported at the time that the change raised Workspace subscription prices by about $2 per user per month in the United States. Axios’s contemporary report characterized Gemini Advanced as part of what customers received with that increase. Google did not present the amount as a separate, itemized Gemini charge; it was a change to the Workspace subscription.

That figure is useful for understanding the 2025 change, not for predicting every customer’s bill today. Actual charges can vary with country, currency, flexible versus annual billing, contract terms, promotions, user count and legacy subscription types. For a rough annual impact using the reported U.S. figure, multiply the number of paid seats by $2 and then by 12; check the organization’s invoice or contract for its actual rate. Google’s current regional pricing and plan comparison should not be read as a record of what an existing customer paid in January 2025.
Which Workspace plans get which AI?
Google’s commercial plan comparison shows Gemini-related features across Business Starter, Standard, Plus and Enterprise, but the amount of embedded access differs. The table summarizes the current feature distinctions and plan signals shown on Google’s pricing page; it does not state U.S. subscription prices.

The plan comparison lists a maximum of 300 users for Business Starter, Standard and Plus; Enterprise has no stated minimum or maximum user limit there. Google’s feature availability can also be affected by rollout timing, country, language, account eligibility and administrator settings. What “included” means now
Baseline access is not unlimited use
Google’s current model has standard AI access included in most Business and Enterprise plans, with paid AI Expanded Access for higher limits. Google introduced that add-on in February 2026 for capabilities that can include Workspace Studio automations, image and video generation, and real-time speech translation. Google also describes AI Ultra Access as its highest-access tier. The public source cited here does not establish a price for Expanded Access, so businesses should confirm its current terms directly rather than assume a per-seat amount. Google said on March 1, 2026, customers would need Expanded Access to retain higher promotional usage for certain advanced features. That is why “Gemini included” should be understood as access subject to plan-specific features and usage limits, not an unlimited entitlement.
AI features span different products
Within Workspace apps, Gemini can assist with drafting or summarizing Gmail messages, creating or refining Docs content, spreadsheet work in Sheets, presentations and images in Slides, meeting assistance in Meet, and search or summaries in Drive. Other listed capabilities include chat summaries and translation and AI-assisted video creation in Vids. Availability varies by subscription, so the presence of “Gemini” in a plan description does not establish that every listed function is available on that plan. Google’s plan comparison
The standalone Gemini app and NotebookLM have their own access levels and limits. Google’s comparison distinguishes basic from expanded access and shows differences in NotebookLM allowances such as notebooks, sources, queries and audio overviews. Automation arrived on a different timeline
In April 2025, Google announced additional capabilities, including AI workflow automation under the name Workspace Flows, alongside Docs audio features, Sheets analysis and expanded Meet functionality. Current materials refer to Workspace Studio for automating tasks across Workspace apps. These later capabilities should not be confused with a promise that all features were available to every customer immediately in January 2025; some were initially presented as alpha, Labs or forthcoming. Is the bundle worth the increase?
The answer depends less on the word “AI” than on who will use it, which plan they need, and whether the organization previously paid for a separate AI product. Bundling can be convenient, but a per-seat subscription change applies even to employees who never open the tools.
It may be worthwhile when
- Staff already spend much of the workday in Gmail, Docs, Sheets, Drive and Meet, where embedded help can reduce context switching.
- Meeting summaries, email drafting or document assistance are used often enough to justify a recurring per-user cost.
- The business values a single productivity-suite subscription and centralized administration rather than separate licensing for a standalone assistant.
- Other plan benefits—such as storage, meeting capacity or security controls—also fit the organization’s needs.
It may be poor value when
- Most employees need only email and calendars, do not want generative AI, or already rely on another assistant.
- Only a small number of specialists use AI, while the subscription increase applies across many seats.
- Employees need embedded AI in Docs, Sheets, Drive or Meet but are considering Starter based on its Gmail AI alone.
- The team needs higher-volume advanced features and would incur additional add-on costs.
For teams with concentrated AI use, compare the cost of the bundled plan across all seats with the cost and eligibility of assigning Expanded Access only to selected users. Google says administrators can assign the add-on selectively and review usage by feature, user and app in the Admin console under Generative AI → Gemini reports. Privacy, retention and administrator controls
Google says Workspace customers retain administrative control over prompt and response retention, and that organizational data, prompts and generated responses are not used to train or improve Gemini models. This is Google’s stated product position, not an independent guarantee about every data-handling question. Google’s Workspace data-protection statement
That statement does not mean AI output is always accurate, data is never retained, or administrators cannot govern access. Retention settings, audit controls, legal holds, service configuration and the edition in use are separate considerations. Administrators can also limit or disable Gemini services, so employees’ access depends on both the license and organizational policy.

Which plan or alternative should you consider?
Stay on Starter when Gmail AI is enough
Starter may suit a small organization that wants basic Gmail assistance, 30 GB pooled storage per user and meetings capped at 100 participants. Do not choose it on the assumption that it includes the same AI integrations as Standard or Plus.
Choose Standard for broader everyday Workspace AI
Standard is the clearest step up when users need AI assistance across more Workspace apps, expanded Gemini and Notebook access, 2 TB pooled storage per user and meetings with recording for up to 150 participants.
Choose Plus for controls and larger meetings
Plus is more relevant when Vault, advanced endpoint management, 5 TB pooled storage per user or meetings for up to 500 participants matter. Its baseline AI availability is broad, but it should not be mistaken for unlimited advanced AI usage.
Consider Enterprise for organization-wide controls
Enterprise is the tier to evaluate for more extensive security, compliance and administrative requirements such as DLP, data regions, S/MIME or context-aware access, as well as meetings for up to 1,000 participants. Google directs buyers to sales for Enterprise terms.

Compare suites by the work your team already does
Microsoft 365 with Copilot may fit businesses built around Word, Excel, PowerPoint, Outlook and Teams, especially where Windows, SharePoint or Entra ID are central. Copilot licensing and eligibility need to be checked separately; it is not included in every Microsoft 365 plan. Microsoft 365 Business · Microsoft 365 Copilot for Business
Zoho Workplace is another option for smaller organizations weighing suite breadth and cost control, but its applications, administration and integration footprint differ from Google’s. Verify current AI entitlements and pricing before comparing it directly. Zoho Workplace
If the main need is research or writing assistance rather than actions inside Gmail, Docs or Meet, a standalone business AI service may offer more flexibility and let a company license only a subset of employees. It will not necessarily provide the same native Workspace integration or centralized Workspace administration.
