Say when you are leaving if that information is useful, thank people for something specific, and share personal contact details only if you want to stay in touch. Use the examples below as starting points, replacing bracketed text with details that are true for you.
What to include in a farewell message
For a group email, keep the message professional and concise. A one-to-one note can be warmer and more personal. In either case, include only the information your recipients need and feel comfortable sharing.
- Subject line: Use a direct subject such as “Thank you and farewell.”
- Greeting: Address the whole team or the individual by name, with a level of formality that fits your workplace.
- Departure context: State that you are leaving and, if helpful, your last working day. You do not need to explain your reason for leaving.
- Appreciation: Thank recipients for support, guidance, or collaboration. A real project or shared experience makes the thanks more personal.
- Transition details: Mention a handoff or coverage plan only when it is confirmed and relevant to the recipients.
- Contact and sign-off: Offer a personal email address or professional profile only if you want continued contact. Close with a suitable sign-off and your name.
The closing can be simple: a warm closing line followed by “Best,” “Regards,” or another sign-off appropriate to the relationship. The University of Pennsylvania Career Services notes that professional email endings vary with the situation and relationship; its guidance is dated January 8, 2021.

Choose the right format and tone
A group email works well for a concise message to a team; a direct email or letter gives you room to thank one person personally. A handwritten card is another optional way to say goodbye, especially for an individual colleague. A brief workplace-chat message can suit an informal team, but use the channel your workplace normally uses for announcements.

Professional, warm, heartfelt, or lightly humorous tones can all work, depending on your relationship and workplace culture. Keep humor kind and understandable to everyone who will read the message. A broad team note is usually not the place for private jokes, complaints, confidential handoff details, or news that has not been cleared for sharing.

There is no universal number of days before departure that suits every workplace. Send a colleague-facing goodbye after you have given formal notice, and coordinate its timing with any manager or HR announcement and your workplace’s usual practice. A farewell email is separate from formal resignation notice: it is for thanking colleagues and sharing appropriate departure information, not a substitute for your employer’s resignation process.

Personalize the message without oversharing
- Replace generic praise with a genuine example, such as help with a project, useful guidance, or a memorable team experience.
- Leave out a reason for leaving if you prefer to keep it private.
- Include only confirmed transition information; do not promise a handoff or coverage arrangement that is not settled.
- Share personal contact information only if you are comfortable making it available to that audience.
- Check names, dates, project references, and the recipient list before sending.
