Clubessential is the stronger candidate when a club prioritizes a connected website, mobile app, member communications, payments and engagement tools. Jonas Club Software is the stronger candidate when operational breadth—especially point of sale (POS), golf, events, inventory and back-office workflows—is central. That is a difference in emphasis, not proof that either platform is universally better. Both offer broad portfolios, and a feature listed by a vendor may be an optional module, separate product, third-party integration or custom service rather than part of every package.
For a club evaluating a major software change, the practical choice is the system that can demonstrate the club’s real financial and operating workflows, fit its staffing capacity, and meet its total-cost and contract requirements. Neither vendor publishes a complete public price list in the official materials reviewed; request comparable proposals and scripted demonstrations before making a recommendation.

Clubessential presents its Essential Suite as a connected environment for club management, websites, mobile, reservations, accounting, POS, CRM, payments and analytics. Its mobile-app materials describe club branding, biometric login, personalized home screens, reservations, statements and payments, mobile ordering, digital membership cards, push notifications, community feeds and in-app messaging. These are vendor-described capabilities, not independent evidence of app usability, synchronization speed or retention outcomes. Ask the vendor to show the exact app edition and modules proposed for your club.
The company says it serves more than 1,300 private clubs and more than 2 million members; those are first-party company claims, not independently audited market figures. Jonas: broad operational and back-office portfolio
Jonas presents applications across finance, operations, golf, food and beverage, events, booking, CRM, websites and mobile member services. Its POS materials describe stationary and mobile POS, kiosks, online ordering, gift cards, member credit, split chits, member preferences and allergies, plus connections with club management, events, inventory and purchasing. Jonas also describes offline-capable mobile POS, but a sales statement is not a substitute for testing outage behavior on the club’s devices and payment setup.
Jonas describes support, training and professional-services teams and says it provides system enhancements several times per year. Compare the systems by the work your staff must do
Membership, billing and general management
Both vendors describe member-facing and administrative capabilities, but a checklist of fields is not enough to establish that a system fits a club’s rules. Test household relationships, member classifications, dependents, guest activity, preferences, communications, self-service, recurring dues, fees, minimums and exemptions. Ask the vendor to perform a category change mid-cycle, apply a retroactive adjustment, process split payments and refunds, and show how suspended or resigned members with balances are handled. Include multiple billing addresses, reciprocal-club charges and separate billing for golf, dining or other services if they apply.
For a general manager or membership director, the key issue is whether staff can maintain accurate records and resolve exceptions without workarounds. Ask to see the audit history for a changed member record and transaction, and confirm which reports can be built by club staff rather than vendor services.
Accounting and financial control
Accounting may be the decisive area for the controller or CFO. Clubessential markets accounting, membership billing, general ledger, inventory and reporting; Jonas emphasizes a connected back office and POS transactions flowing into accounts receivable. Those descriptions do not establish that either product will reproduce a particular chart of accounts, month-end process, approval chain or reporting package without added configuration.

Use sample club data to test departmental and outlet reporting, budget comparisons, bank reconciliation, purchasing approvals, inventory and cost of goods sold, payroll connections, user permissions and segregation of duties. Require a board-ready report and a complete audit trail for a corrected transaction. Determine how credit-card fees and settlements reconcile, what happens during year-end rollover, and whether controllers can create ad hoc reports and export underlying records themselves.
A polished member app should not outweigh financial requirements that the platform cannot demonstrate. Before scoring either system, compare its handling of your actual month-end tasks and internal controls.
Food, beverage and retail POS
Jonas’s published POS description is especially specific about operating formats and member transaction workflows. Clubessential promotes POS linked with member information, accounting and reporting. For either vendor, test dining, pro shop and retail workflows relevant to the club: member recognition and pricing, guest charges, split checks or chits, tips, gratuities, discounts, gift cards, kitchen tickets, mobile service and event or banquet charges. Check whether online ordering, kitchen display, terminals and mobile devices are included or depend on other products.

Run an outage scenario in the live demo. For Jonas, clarify whether offline mode supports only order entry or also each payment type, what is queued, how duplicate or delayed transactions are prevented after reconnection, and how staff identify failed synchronization. For both systems, demonstrate voids and refunds after settlement, a failed kitchen ticket, and a banquet charge posted to the correct member account. Confirm how POS sales update inventory and purchasing rather than assuming integration means every record updates instantly.
Golf, courts and other activities
Jonas prominently positions golf and tee-time management, including tee restrictions and prepaid rounds. Clubessential’s mobile app materials describe tee-time, dining, court and event reservations and integrations for score posting and tournaments. Compare the rules the club actually uses: advance booking windows by member category, reciprocal play, guest limits, dependent permissions, multiple courses or facilities, seasonal schedules, waitlists, no-show charges and weather cancellations.

A listed product area does not prove that the needed module is in the quoted package or that it handles capacity, instructors, cancellations and billing as the club requires.
Website, app and communications
Clubessential’s product positioning places website, CRM, mobile, payments, reservations and analytics in a connected suite. Jonas offers ClubHouse Online websites and an integrated mobile app. To compare the member experience, have staff demonstrate content publishing, app-store deployment and updates, accessibility, push notifications, email or SMS, announcements, digital cards, payments, statements, ordering and reservations. Ask what analytics show whether members use these services, and how much staff time routine content updates require.

Ask members in different roles—such as a dependent, a dining-only member and a golf member—to complete the same tasks on a current demonstration build. Vendor language such as “seamless” or “real-time” does not establish how quickly data syncs or how easy the interface is to use.
Integrations, data and security
Both vendors describe integration across parts of their portfolios. That does not by itself establish a public API, included integration work, synchronization frequency, error handling or access to raw records. For every connection the club needs—accounting, payroll, access control, payment gateway, email, kitchen systems, BI or data warehouse—ask who builds and maintains it, whether there is an added charge, how failed records are surfaced and corrected, and what happens when either system changes.
Put data ownership and exit rights in the contract discussion. Confirm export formats, whether member and transaction history is complete, fees and timing for an export, retention after termination, and access to website and app content. Review role-based permissions, audit logs, backup and disaster-recovery commitments, incident notification, subprocessors, SSO options, accessibility needs and the club’s PCI-DSS responsibilities with the vendor and its payment providers.

Pricing: compare total cost, not just the software quote
Neither vendor’s reviewed official materials provide a complete public rate card. Request a three- to five-year cost schedule that separates recurring software charges from implementation and other services. Include the costs below rather than treating them as incidental:
- Required modules, websites, apps, CRM and analytics.
- Implementation, data migration, chart-of-accounts conversion, POS configuration and custom development.
- POS terminals, mobile devices, kiosks, payment hardware and replacements.
- Payment processing, gateway fees, ACH, settlement, chargebacks and any restrictions on third-party processors.
- Training, support tiers, integrations, custom reports and professional services.
- Renewal increases, auto-renewal notice windows, termination charges and export costs.
Ask for a complete payment-fee schedule and a sample settlement-to-bank reconciliation using the club’s likely transaction mix. Replacing club software is a data and change-management project, not only a product installation. Clubessential’s terms distinguish implementation, installation, training, professional services and technical support from fee categories. Neither description alone specifies the staffing, milestones or service levels a particular project will receive.
Before signing, agree on who owns each conversion and go-live task. Inventory the member and household file, balances, transaction history, chart of accounts, POS menus, inventory, events, web content and payment credentials. Common migration risks include duplicate households, missing dependent links, unreconciled balances, incompatible account structures, lost payment tokens and incomplete event or inventory history. Do not assume stored payment credentials can be transferred; confirm what is possible with the processor and what members may need to do.

Ask for a sample project plan with data-cleaning responsibilities, test conversions, user acceptance criteria, training hours, parallel-operation period, cutover checklist and post-launch coverage. Set written severity definitions, response targets, escalation contacts and after-hours coverage in the support agreement; advertised channels are not contractual service levels. Speak with references from clubs of comparable size and operational complexity.
Which platform is the better fit?
Clubessential is a stronger candidate if
- The club wants a connected suite with member experience, website, app, communications, reservations and payments as prominent priorities.
- Mobile self-service, digital cards, community or messaging features and engagement analytics matter strategically.
- The club wants to evaluate website, CRM, POS, accounting and reservations as parts of one proposed ecosystem, subject to confirming package scope.
Jonas is a stronger candidate if
- POS, finance, inventory, purchasing, events and golf operations are central to the decision.
- The club needs a broad set of operational applications across golf, dining, events, booking or other facilities.
- Offline POS behavior is important and Jonas can demonstrate the required outage and payment scenarios on the club’s actual hardware.
Neither may be the right scale if
- The club needs only a lightweight membership database, basic billing or occasional reservations and cannot justify an enterprise-suite implementation.
- Transparent self-service pricing is a requirement, or an existing accounting or POS product must remain in place without a well-documented integration.
- The club lacks the staff capacity for data cleanup, training and a major migration, or has specialized workflows neither vendor can demonstrate.
Use a weighted scorecard and identical demo script
Score each system from 1 to 5 on demonstrated performance, not on feature-list presence. The following starting weights total 100%; change them to match the club’s priorities. A golf-heavy club may raise golf and POS weighting, while a city club may give more weight to dining, events, communications and mobile engagement.

Give both vendors the same club scenarios and sample data. Ask them to demonstrate:
- Create a member household with dependents, then change a member category mid-billing cycle.
- Apply a minimum-spend requirement and show how exceptions or exemptions are reported.
- Post a dining transaction to the correct member account and split a check between members and guests.
- Process a refund after month-end close and show the resulting accounting entries and audit history.
- Book a tee time under category-specific restrictions, then book a court, lesson, event or spa appointment.
- Send a targeted push notification and publish an announcement to the website or app.
- Place a mobile order and demonstrate the kitchen and member-account workflow.
- Simulate an internet outage during POS service, restore connectivity and reconcile queued activity.
- Reconcile a payment settlement and explain fees, timing and exceptions.
- Produce a board-ready financial report, export member and transaction records, and correct a failed integration.
- Migrate a sample member file and chart of accounts, then explain recovery steps after a failed update.
- Show what the club can access after contract termination and the format, timing and cost of its data export.
Ask for written answers where a live demonstration is not possible. Record whether each requirement is included, separately priced, dependent on a third party or subject to custom work; also note the evidence shown and any unresolved issue. That makes the scorecard useful in a board discussion rather than a tally of sales claims.

Questions to settle before contract signature
- Which named modules, integrations, app editions and payment services are included in the quote, and which are optional?
- What are the implementation deliverables, milestones, club-side staffing assumptions and acceptance criteria?
- What support response and resolution targets, escalation steps and after-hours coverage are contractually guaranteed?
- Who owns payment-processing relationships, stored credentials, chargeback handling and settlement reconciliation?
- What are the renewal, price-change, notice, termination and auto-renewal terms?
- Can the club export complete member, financial and transaction history in a usable standard format, and what fees and retention limits apply?
- What security, backup, incident-notification, access-control and PCI-DSS responsibilities belong to the vendor, processor and club?
