Bookkeeping organizes business transactions and the documents behind them so you can see income and expenses, monitor activity, and prepare usable information for tax returns and financial statements. You can manage it yourself or hire help; the right choice depends less on a revenue threshold than on the number and complexity of the records your business creates.
What bookkeeping does
A bookkeeping system records and summarizes transactions in a way that clearly shows business income and expenses. The Internal Revenue Service says, “You may choose any recordkeeping system suited to your business that clearly shows your income and expenses.” It does not prescribe one universal format for ordinary business records.
Bookkeeping is the ongoing organization of the records; tax return preparation and professional accounting services are distinct work that may require a separate provider. Good records can help you monitor business progress, prepare financial statements and tax returns, identify sources of receipts, track expenses, and support items reported on a return. Bookkeeping by itself does not guarantee compliance, reduce tax, or produce a particular financial result. What kind of records should you keep?
Bank statements show account activity, but they are not the whole record. Supporting documents explain what a transaction was for and help substantiate entries and tax-return items. The IRS recommends keeping supporting documents organized by year and by income or expense type.

- Income and receipts: records of gross receipts, invoices, sales records, deposit slips, and other documents showing where business income came from.
- Purchases and expenses: bills, receipts, invoices, canceled checks or payment records, and statements that support business purchases and expenses.
- Assets: records for items such as equipment, including the information needed to support their treatment in the books and on tax returns.
- Employees: employment and payroll tax records when the business has employees.
The records needed depend on the business. A service business with a simple payment flow may have fewer record types than a business managing inventory, equipment, several sales channels, or payroll. The IRS identifies gross receipts, purchases, expenses, assets, and employment taxes as areas that may call for distinct records.
How should you record business transactions?
You can use paper or electronic records. A journal or ledger can summarize transactions; suitable accounting software can capture and organize them electronically. Electronic records must follow the same basic recordkeeping principles as paper records: keep an accurate summary and retain documents supporting the entries.

Choose a system you can keep current and use to connect each transaction to its supporting paperwork. The IRS discusses journals, ledgers, and electronic records in its guide to recording business transactions. Neither a particular software product nor a bound ledger is required by the guidance.
How bookkeeping changes as a business grows
Growth tends to add transaction types and handoffs rather than trigger a single bookkeeping threshold. An owner starting with a business checking account, income, and routine expenses may be able to keep a straightforward system independently. More activity can make it harder to keep records complete and up to date.

These are signs to reassess your system, not proof that you must outsource. If you can consistently categorize transactions, reconcile records, retain supporting documents, and produce the information you need, self-management may still work. If records are falling behind or the business has outgrown your process, bookkeeping support can take on defined tasks and make the handoff to a tax professional more orderly.
What Georgia business owners should know about state requirements
Georgia tax registration and filing needs vary. The Georgia Department of Revenue’s startup guide asks businesses to consider entity structure, whether an EIN is needed, the appropriate NAICS code, applicable tax types, Georgia Tax Center registration, and employee withholding if they have employees. Those considerations do not mean every business must complete the same steps or register for every tax type. Georgia.gov says state filing requirements vary with factors that include business type, structure, geography, and employee count. Its small-business tax filing overview identifies the Georgia Tax Center as a place to file and manage taxes; that page was last updated June 2026. Confirm requirements for your own business with the relevant agency or a qualified professional. The Department of Revenue describes its information as informational rather than legal or accounting advice and recommends consulting an attorney or CPA for appropriate guidance.

Questions to ask before hiring
- What work is included? Ask whether the scope covers transaction categorization, reconciliation, accounts payable or receivable, payroll records, monthly close, and reports. Get specific about what is excluded.
- Does the provider fit your business? Discuss your transaction types, industry, employees, inventory, sales channels, and current accounting workflow.
- What records must you provide, and what will you receive? Agree on document handoffs, reporting frequency, and how the provider will return or make records available.
- What credentials and service boundaries apply? Ask who will do the work and distinguish bookkeeping from tax return preparation, CPA services, audit, review, compilation, or other attest work. Georgia’s rules address specific regulated public-accountancy services, not every task described as accounting; check the current rules and applicability when a provider offers regulated services. - How will communication and access work? Establish how questions, missing documents, corrections, and changes in service are handled, and how you retain access to your records.
- What will it cost, and how can you leave? Request a written scope, fee basis, onboarding requirements, contract terms, and data-access or exit terms. Do not assume a market-average fee or a standard package.
