There is no single best SAP alternative for every small or mid-sized business. Start with the work your ERP must handle: Microsoft Dynamics 365 Business Central is a natural candidate for Microsoft-centric teams; NetSuite suits fast-growing or multi-entity operations; Acumatica may suit organizations with many users; Odoo offers a modular, budget-conscious route; and Sage Intacct is oriented toward finance-led organizations. Product-focused manufacturers and distributors should also compare SAP Business One, while specialist manufacturers or asset-intensive businesses may consider Epicor Kinetic or IFS Cloud. These are shortlist starting points, not hands-on test results or a procurement recommendation for a business whose requirements are unknown.
One distinction matters: SAP Business One and SAP Business ByDesign are SAP products, not non-SAP competitors. They may be alternatives to a different SAP deployment or tier, but they do not move a buyer away from SAP as a vendor.
Which ERP systems belong on an SMB shortlist?
The options below address different operating profiles. Fit descriptions are based on published comparison sources; confirm capabilities, availability, and implementation scope with the vendor and prospective partner before committing.

How should you narrow the list?
Compare systems against your actual processes and the cost of operating them—not against a generic “best ERP” ranking. A lower subscription price alone does not establish lower total cost.

Match the software to the work
List the processes that cannot be compromised: finance, sales, purchasing, inventory, warehouse operations, manufacturing, projects, or service. A broad feature list does not prove that a system has the depth your workflows require. For example, Microsoft’s current product material distinguishes Business Central Premium from Essentials by adding manufacturing and service management. If either capability is essential, compare the Premium scope rather than assuming the base plan includes it.
Account for organizational complexity
Write down the number of legal entities, currencies, locations, and reporting requirements you have now, then describe plausible growth. For a group structure, confirm how consolidation, intercompany work, and reporting are handled in the proposed configuration. NetSuite is described in comparison sources as a fit for fast-scaling and multi-entity organizations, but the fit must be tested against a specific quote and scope.

Model users, licensing, and resources
Count the people who will use the system and what they need to do in it. Ask vendors to explain the licensing basis, including any resource or transaction measures that affect cost. Acumatica’s cited comparison profile uses resource-based pricing rather than a straightforward per-user model, so a headcount alone will not produce a useful cost estimate.
Check deployment, integrations, and delivery capacity
Confirm whether cloud, on-premise, or hybrid deployment is available and appropriate in your country. Map required integrations and customizations, then identify who will configure the system, migrate data, train staff, and support it after launch. Business Central still requires planning and often partner support; the implementation partner’s scope and capacity are part of the decision, not an afterthought.

Compare multi-year total cost
Ask for a written estimate that separates recurring subscription or licensing charges from implementation, migration, configuration, training, support, hosting where relevant, and customization. Make sure each candidate quote uses the same user assumptions, modules, period, and scope. Subscription prices that exclude or inconsistently include implementation cannot be compared as though they were complete project costs.
What Business Central costs in the United States
Microsoft’s US pricing page, accessed October 4, 2026, lists these plans with annual billing. Microsoft notes that prices vary by country and currency and that displayed prices may not reflect the actual regional list price.

Obtain current quotes for your geography, edition, modules, user count, hosting, and services instead of treating a third-party starting figure as your expected bill.

An upgrade is worth evaluating when workarounds have become material to running the business. Signs include repeatedly re-keying information between systems, tracking inventory in spreadsheets, disconnected accounting and operations, or being unable to get timely business figures. These are reasons to assess a system change, not proof that an ERP purchase will pay for itself.

Before selecting software, document the process causing the most friction and what a successful change would need to improve. Include data cleanup, process changes, and training in the plan: switching software does not automatically fix inconsistent records or unclear workflows.
