Best POS Systems for Small Businesses: How to Choose by Business Type

The right small-business POS depends on your workflow. Compare options for retail, restaurants, ecommerce, mobile sales, inventory, and total cost.

The best POS system for a small business depends on how it sells: Square is a broad starting point for small operators, Shopify POS is worth comparing when in-person sales need to sync with a substantial online store, and Toast is built around restaurant workflows. Retailers with complex inventories may want to evaluate Lightspeed; merchants comparing payment pricing may consider Helcim. These are shortlist suggestions, not a universal ranking: compare the workflow, total cost, hardware, and terms that fit your business.

What is the best POS system for a small business?

Start with the tasks the system must handle, then compare providers that support them. A point-of-sale system can combine checkout, payment processing, inventory, staff tools, and sales reporting, but the capabilities and costs vary by provider and plan.

TechnologyAdvice’s September 21, 2026 comparison names Square as its top pick for most small businesses, Shopify as its ecommerce leader, Toast as its restaurant choice, and Helcim for transparent pricing. Those are that publisher’s judgments, not proof that one provider is best for every merchant. Its comparison also includes Lightspeed, Clover, and PayPal Point of Sale. Square for a broad starting point

Square is a reasonable first system to compare if you run a small retail shop, restaurant, mobile business, or appointment-based service. Square’s UK small-business guide describes those use cases and identifies Square Reader, Terminal, and Handheld as hardware options. Its retail guide also describes connections with barcode scanners and receipt printers. These are vendor statements, and the guide’s region matters: do not assume UK pricing, terms, or device availability apply in another country. Shopify POS for connected online and in-person retail

Shopify describes inventory management, staff permissions, sales reporting, built-in payments, and multichannel selling across its POS offering. It presents the system as a fit for brick-and-mortar retailers with a thriving online business. If ecommerce is central to your operation, verify how stock, orders, and reporting work across channels, and which features are included in the plan you would actually buy. Shopify’s December 11, 2025 comparison guide is vendor-authored and includes point-in-time costs; treat those amounts as dated rather than current quotes.

Toast and Square for restaurant workflows

Toast describes restaurant-specific features such as menu and modifier management, tip handling, reporting, offline backup, and restaurant-oriented hardware. Toast says, “Toast was built from the ground up with restaurants in mind.” That is Toast’s own positioning, not independent evidence of superiority. Square’s vendor guide also describes restaurant tools including menu editing, kitchen communication, ticket splitting, and tabs. Compare the service steps your staff use in practice instead of assuming that only one of these providers can serve a restaurant. Lightspeed, Helcim, Clover, and PayPal Point of Sale

TechnologyAdvice positions Lightspeed Retail as an option for large, complex inventory and Helcim as a pricing-transparency option. Use those descriptions to identify candidates, then confirm current capabilities and terms directly. A pricing model that appears transparent does not establish that a provider will cost less for your business: transaction cost depends on your actual ticket size, payment mix, keyed payments, and volume. Clover is another candidate when its hardware and ecosystem suit the business, but its pricing can vary by seller or distribution channel. Get the specific offer in writing.

How to choose a POS system for your workflow

Write down the required workflow before comparing demos or quotes. This prevents a low advertised software price from distracting from missing features or costly add-ons.

  1. Map how sales happen. Note whether customers buy in a store, online, at a table, at appointments, or on the move, and whether a single sale can involve several channels.
  2. Set inventory requirements. Record catalog size, variants, barcode scanning, stock transfers, purchase orders, and whether online and in-store stock must stay synchronized.
  3. List service requirements. For restaurants, include menus, modifiers, table service, kitchen communication, tips, ticket splitting, tabs, and offline needs. For services, specify appointments and the checkout steps after a booking.
  4. Check payment details. Estimate transaction volume by payment type, average ticket, and keyed transactions. Ask how the provider processes those transactions and whether the quoted rate applies to your business and location.
  5. Count devices, locations, and users. Confirm the number of registers and locations, staff permissions, and the exact hardware each station requires.
  6. Review integrations and support. Check that essential accounting, ecommerce, delivery, booking, or other business tools connect as needed, and clarify the support available under the offer.
  7. Request a full written cost breakdown. Include software, add-ons, processing, hardware, setup, support, and any contract or cancellation obligations.

How much does a small-business POS system cost?

There is no reliable single price for a small-business POS without the provider, country, plan, hardware, and payment mix. A $0 monthly software plan does not mean operating the POS is free: payment processing and equipment can still cost money. Calculate the expected monthly cost as software and add-ons plus payment processing for your actual sales mix plus hardware cost spread over its useful life; include setup, support, and contract obligations where applicable.

For one dated example, Toast’s US small-business page listed, when accessed October 4, 2026, a Starter Kit at $0 per month and a Point of Sale Plan at $69 per month; the latter showed 2.49% plus $0.15 per in-person transaction. These are vendor-published terms on that date, not a quote for every merchant or a guarantee of current availability. Check Toast’s page for current terms before deciding.

Shopify’s December 11, 2025 guide compares point-in-time transaction fees and device costs for Shopify, Square, Lightspeed, Clover, and Toast, but it is vendor-authored and those amounts may change. Oklahoma State University Extension’s POS selection fact sheet lays out software, transaction, and hardware cost categories across several providers; it is useful as a comparison framework, not a current price list.

What hardware and compatibility should you check?

Choose hardware around where and how you take payment. A fixed checkout counter, a server taking orders, and a mobile operator may need different devices. Square’s guide names Reader, Terminal, and Handheld as portable-selling options; confirm which devices are sold and supported in your market before purchasing.

For retail, a USB barcode scanner for POS can speed up item lookup, but the connection type alone does not guarantee compatibility. Square’s retail guide says its system connects with barcode scanners and receipt printers; it does not establish that every generic scanner works with Square or with competing systems such as Shopify or Lightspeed. Check the POS provider’s approved-device documentation for the exact model, operating system, connection, and workflow before buying accessories.

  • Verify current country-specific software prices, processing rates, device availability, and supported-device lists directly with the provider.
  • Confirm which required features are included in the plan and which cost extra.
  • Ask how offline transactions work, what functions remain available without connectivity, and how transactions reconcile when service returns.
  • Get hardware, setup, support, contract duration, and cancellation terms in writing.
  • Compare the full monthly cost using your own card mix and sales volume rather than relying on a headline rate or another business’s estimate.
