The best payroll software for a small business is the service that can accurately handle the business’s hours, pay rates, overtime, deductions, and pay schedule—and make complete, retrievable pay statements available to employees. Zoho Payroll, Wave Payroll, and QuickBooks Payroll all describe employee pay-stub features, but their product pages are vendor claims, not independent proof of calculation accuracy. Compare each service against your payroll setup and verify the rules that apply where you operate.
What makes payroll software suitable for accurate pay stubs?
A pay stub is only as reliable as the information and calculations behind it. When comparing payroll software, check whether it can represent the way your business actually pays people and preserve enough detail to investigate a discrepancy later.
- Pay inputs: Confirm the system supports your employees’ hours, wage basis, pay rates, overtime, and additions or deductions.
- Pay-statement detail and access: Check what appears on the statement and whether employees can retrieve or download it after payday.
- Payroll records: Make sure you can retrieve payroll history and supporting records when reconciling an error or responding to a question.
- Tax tasks: Determine whether the plan calculates, files, and pays payroll taxes, or whether your business must complete some steps.
- Business fit: Verify supported locations, employee types, pay frequencies, integrations, and service limits for your setup.
- Total cost and support: Compare the current full price, per-employee charges, add-ons, and available support directly with each provider.
The U.S. Department of Labor identifies hours worked, wage basis and rates, straight-time and overtime earnings, additions or deductions, total wages paid, and the pay date and period covered among the information covered employers must keep. Its guidance says there is no required federal form for these records. DOL recordkeeping guidance does not establish a particular pay-stub design as federally mandated.
What should be on a pay stub?
There is no single federal pay-stub template established by the DOL guidance cited here. For recordkeeping, however, covered employers must keep accurate information about employees, hours worked, and wages earned. Relevant details include the employee’s wage basis and rate, hours, straight-time and overtime earnings, additions or deductions, total wages paid, and the pay date and period covered.

The federal recordkeeping obligation and the obligation to furnish a statement to employees are different questions. The DOL’s FLSA Advisor says the FLSA requires covered employers to keep accurate records of hours worked and wages paid, but does not itself require employers to provide pay stubs. State and local requirements may differ, so check the rules for every jurisdiction where your employees work.

For any candidate, ask whether it supports your workers’ pay types and schedule, shows the earnings and deduction detail you need, keeps records accessible, and covers your location. Check the provider’s current plan terms rather than assuming a feature is included because it appears in a general product description.

- Map your payroll inputs. List employee types, wage bases, pay rates, hours, overtime rules, deductions, and pay frequency. Compare that list with the provider’s supported setup.
- Review a sample statement. Confirm the statement presents the information employees need and that employees can access it in the way your business expects.
- Trace the tax workflow. Ask which calculations, filings, and payments the plan handles, what requires your action, and what setup is necessary.
- Check record access and corrections. Find out how to retrieve prior payroll records and correct a payroll entry or pay statement if an input was wrong.
- Verify jurisdiction and cost. Confirm availability and service limits for the states and localities where you employ people, then compare the complete current price and support options.
- Check pay-statement rules locally. Review state and local requirements for the places your employees work; federal FLSA guidance alone does not settle those rules.
No provider feature description can guarantee a correct pay stub for a particular company. Accuracy depends on the business entering correct information, configuring the system appropriately, and confirming that the service handles the business’s actual payroll and legal circumstances.
