CollectivWork is the more natural first demo for a company prioritizing quick setup, flexible HR workflows and employee self-service. Ultimatix HCM Suite is the stronger starting point for an India-focused, payroll-heavy operation that needs statutory processing, attendance-device options or on-premises deployment. Those are fit-based recommendations drawn mainly from vendor-published information—not proof of an overall winner. Put both systems through the same payroll and attendance test before choosing.
Here, “Ultimatix” means Ultimatix HCM Suite, operated by Orange Technolab Pvt. Ltd., not the separate employee-facing portal associated with Tata Consultancy Services. The comparison reflects public first-party product information available as of August 18, 2026.

CollectivWork
CollectivWork presents itself as a cloud HRMS for the employee lifecycle. Its public feature set spans recruitment and applicant tracking, onboarding, employee records, attendance, leave, payroll and payslips, expenses, performance, assets, compliance, forms, reporting, analytics and offboarding. It also advertises mobile access and AI-related capabilities; ask which AI functions are live, included in the proposed plan and subject to human review.

The vendor emphasizes configurable workflows and no-code setup. It advertises centralized employee information, salary calculations, tax deductions, reimbursements, investment declarations, TDS management, and attendance through biometric, web and mobile methods. These descriptions establish what the vendor markets, not how well each feature handles your policies or data.
Ultimatix HCM Suite
Ultimatix HCM Suite presents a wider HR and payroll module list: core HR and employee records, payroll, attendance, leave, statutory and exit processes, engagement, rewards and recognition, MIS and BI, expenses, help desk, recruitment, onboarding, training, performance, tasks, timesheets and mobile capabilities. The vendor also describes an attendance-device offering and cloud and on-premises deployment.
Its product overview is at the company’s About Us page. The vendor mentions WhatsApp Business and chatbot integrations there, but buyers should confirm which integrations are currently available, included and supported for their configuration.
Payroll: test the work, not the module name
Both vendors advertise payroll. That alone does not establish equivalence: payroll suitability depends on the rules, exceptions, reports and controls your team actually uses. CollectivWork publicly describes automated salary calculation, multiple pay groups, tax-regime support, payslips, investment declarations and TDS management. Ultimatix describes multiple salary structures, automatic calculations and statutory categories including PF, PT, ESI, LWF and income-tax reporting on its payroll page.

Have each vendor process anonymized examples based on your actual workforce, then check outputs against your payroll team’s expected results. Include:
- Every relevant Indian state, legal entity, pay group and payroll frequency.
- PF, ESI, professional tax, LWF, TDS and income-tax reporting applicable to your employees, including responsibility and timing for rule updates.
- Arrears, retroactive changes, bonuses, incentives, reimbursements, loans, advances and tax declarations.
- Full-and-final settlement, gratuity and leave encashment where applicable.
- Attendance corrections that change pay, overtime and shift allowances.
- Payroll audit reports, salary-change history, lock and rollback controls, and correction procedures.
- Bank-file formats and accounting exports or integrations your process requires.
Do not move payroll based only on a polished standard demonstration. Require a parallel run with representative data and an agreed process for finding and resolving differences before production payroll depends on the new system.

Attendance and mobile workflows
CollectivWork says attendance can be recorded through biometric, web and mobile check-ins, with working hours, shifts and overtime. Ultimatix advertises GPS and selfie attendance, regularization, anti-location-mocking controls and attendance-machine integration. Its mobile-app page describes employee mobile functions; its attendance-machine page covers hardware.
The choice depends on where and how people work. A factory, office, field workforce and remote team may need different capture methods. Test the full path from a punch to an approved correction to payroll, including:
- Missed or duplicate punches, night shifts crossing midnight, split shifts and overtime approval.
- Weak or absent connectivity, offline behavior and synchronization after reconnection.
- GPS accuracy, geofence radius, shared-device or kiosk use, and biometric-device failure or replacement.
- Attendance correction and approval, including the audit record and resulting payroll change.
- Mobile permissions, battery or camera limitations, and employee access on web versus app.
- Employee consent, privacy notices and retention rules for location, selfie or biometric data.
GPS, a selfie or a biometric check may address some attendance concerns, but none removes disputes, device failures or privacy obligations. Ask for the actual mobile permission list, offline behavior and data-retention terms rather than treating a feature label as a guarantee.
Core HR, leave and employee self-service
Employee records
CollectivWork markets a central employee record for personal details, job history, documents and role assignments. Ultimatix describes an employee data center and dashboard for information such as payslips, leave and attendance corrections. Ask each vendor to show whether you can add fields without vendor development, bulk-import historical records and documents, track document expiry, restrict sensitive data by role, and see an auditable history of changes.
Leave
Ultimatix’s public material specifically mentions employee access to leave details and leave cancellation. For either product, test your leave types, accruals, carry-forward, holiday calendars, half-day or hourly leave, encashment, manager delegation, approval chains, mobile requests and payroll impact. Confirm whether policies can vary by location, entity or employee group.
Employee and manager access
CollectivWork advertises employee self-management of profiles, leave and payslips, plus mobile access. Ultimatix describes dashboards, payslip and leave access, attendance correction, leave cancellation, mobile attendance, salary slips and policy access. In the demo, check manager approvals and delegation, notifications, account recovery, former-employee or contractor access, language support, accessibility, and whether web and mobile functions match.

Recruitment, performance and reporting
Recruitment and onboarding
CollectivWork publicly describes job postings, applicant tracking, interview scheduling, assessments, offers and onboarding. Ultimatix describes manpower requisitions, approval workflows, career-portal job postings and sourcing from multiple channels on its recruitment page. Compare requisition approvals, careers-page hosting, candidate communication, offer generation, background checks, onboarding document collection, and conversion of a candidate into an employee record shared with payroll and attendance.
Performance and talent
CollectivWork describes goal setting, reviews, feedback, appraisal tracking and performance analytics. Ultimatix lists performance management and talent management, but its reviewed public pages give less detail about review methods, competency models, 360-degree feedback, calibration or succession planning. That gap in public detail is not evidence that Ultimatix lacks those capabilities; ask for a demonstration of your process.
Reports and analytics
CollectivWork advertises reporting and analytics; Ultimatix lists MIS and BI. Ask to build the reports your managers and finance team actually need, then check filters, permissions, export formats, refresh timing and whether payroll and attendance data reconcile. A module name does not establish the depth of a report or its availability in a particular edition.
Implementation, deployment and ownership
CollectivWork
CollectivWork advertises guided setup, data import, department and hierarchy setup, role-based access, no-code configuration and a five-day go-live. It also says it serves organizations from 20-person startups to more than 5,000 employees. These are vendor claims, not independently verified typical outcomes or a guarantee that a payroll migration will be production-ready in five days. Ask what the timeline includes: basic HR setup, historical migration, attendance integration, training, statutory validation or a parallel payroll run.
Ultimatix HCM Suite
Ultimatix says the platform is available in cloud and on-premises forms. On-premises deployment can give an organization more direct control, but it also leaves the buyer with infrastructure, patching, backups, monitoring, disaster recovery and upgrade responsibilities unless the contract assigns them elsewhere. It is not automatically more secure than cloud hosting.
Questions for both vendors
- Where will data be hosted, and what backup, recovery and service-availability commitments are contractual?
- Who migrates employee, payroll and attendance history, and how will completeness be checked?
- What customer-side staff and decisions are required, and how much training is included?
- Which changes are customer-configurable, which require vendor work, and how are customizations and upgrades handled?
- Can the vendor support a payroll parallel run and resolve discrepancies before go-live?
- What APIs, import/export formats and integration monitoring are available? Public integration documentation is limited for both products, so obtain written confirmation for each required connection.
- What happens at renewal or exit: can you export complete employee and audit records in usable formats, and what are the retention and deletion terms?
Security, privacy and data control
CollectivWork’s privacy policy describes processing employee, payroll and attendance information, use of service providers and possible location tracking for attendance when an employer enables it. The company also advertises encryption, role-based access and GDPR compliance. Treat those as vendor statements until you review the supporting security documents and contract terms.

Ultimatix says its application security is periodically reviewed against vulnerability requirements and describes external vulnerability auditing in its company and payroll materials. Ask for the scope, date and summary of any assessment rather than inferring security assurance from the claim alone.
Before either vendor handles employee data, request its relevant certifications or assurance reports, encryption details for data in transit and at rest, data residency and subprocessor information, data-processing and breach-notification terms, retention and deletion rules, privileged-admin controls, audit logs, backup and recovery objectives, and mobile-device safeguards. For GPS, selfie or biometric data, establish the purpose, access, retention period and deletion process.

Neither official product site provides a dependable, fully specified public price in the material reviewed. A third-party TechJockey listing showed CollectivWork figures beginning at ₹125 and another tier at ₹175 when crawled about two weeks before the August 2026 research date, but it does not establish the billing unit, recurrence, modules, taxes or whether those figures remain current. Do not use those numbers as a comparable quote.
Request an itemized proposal from each vendor covering subscription or license, modules, employee and entity limits, deployment model, implementation, migration, training, attendance hardware, integrations, support, upgrades, taxes and custom development. For on-premises deployment, include infrastructure and internal administration. Compare the five-year total cost using the same employee count, locations, modules and service assumptions—not just the headline subscription.
Who should shortlist CollectivWork?
Start with CollectivWork if your priority is a configurable employee-lifecycle system, HR-led setup, self-service and a quick route to organizing growing-company workflows. Its public positioning is particularly relevant when recruitment through offboarding, mobile access and no-code configuration matter more than a narrowly payroll-only purchase.
Make it a conditional choice if your payroll is complex, you need on-premises hosting, or your procurement process requires independently documented integrations and security assurance. Verify payroll rules and controls with your own scenarios before replacing an established payroll process.

Who should shortlist Ultimatix HCM Suite?
Start with Ultimatix if payroll and attendance operations are central, you need to evaluate PF, ESI, PT, LWF and income-tax workflows, or you require an on-premises option or attendance-machine integration. Its published module list also makes it worth a demo for organizations seeking a broad HR suite rather than only basic leave and attendance.
Make it a conditional choice if the business expects transparent self-serve pricing, minimal IT involvement or unusually detailed public documentation of performance workflows and integrations. Confirm which modules are included, how mobile attendance handles poor connectivity, and what hosting and upgrade responsibilities come with the chosen deployment.
When neither may fit
- You need unified payroll across many countries or contractual proof of compliance in jurisdictions not covered by the vendor’s implementation.
- Your core requirement is deep finance or ERP consolidation and neither vendor can document the integrations and shared data model you need.
- You have highly specialized union, public-sector or other payroll rules that neither vendor can demonstrate with your scenarios.
- You require extensive analyst coverage, independently documented integrations or formal security assurance that neither vendor can provide.
- You need only basic leave and attendance at minimal cost, and a broad HR/payroll implementation would add unnecessary complexity.
In those cases, compare products in the relevant category—India-focused payroll, lightweight SME HR, enterprise HCM or ERP-linked HR—using the same requirements and evidence standards.
Run the same proof of concept with both vendors
Give both vendors the same anonymized employee data, payroll cases and attendance scenarios. Ask them to demonstrate customer-admin configuration, not only a vendor-operated workflow. Record whether each item works in the proposed edition, needs extra services or cannot be shown.
- Import 100 employees by CSV; create departments, locations, managers and legal entities.
- Configure two salary structures and process a new hire through onboarding.
- Record a missed attendance punch, approve regularization and show the audit trail.
- Apply a leave policy with carry-forward and demonstrate a shift allowance or overtime approval.
- Run payroll with arrears, reimbursement, a loan deduction and tax declaration; generate payslips and the required bank file.
- Produce applicable PF, ESI, PT, LWF and income-tax reports, and explain rule-update ownership.
- Terminate an employee and demonstrate full-and-final settlement using your relevant components.
- Restrict a manager’s payroll visibility; change a salary or attendance entry and show the audit log.
- Export a complete employee record and show what happens when a required integration fails and is retried.
- Test mobile operation under poor connectivity and show how biometric-device or GPS/selfie punches synchronize.
Score the result against your own priorities. A useful starting weighting is payroll and statutory accuracy 25%, attendance 15%, employee and manager usability 15%, implementation effort 10%, workflow flexibility 10%, reporting 10%, security and auditability 10%, and integrations and portability 5%. Change the weights if payroll is outsourced, attendance is simple or recruitment is your main need.
Verdict
CollectivWork is the more plausible first choice for speed-oriented, flexible HR operations; Ultimatix HCM Suite is the more plausible first choice for payroll-centered Indian operations that value statutory workflows, attendance infrastructure or on-premises deployment. Neither conclusion substitutes for a demo: select the platform that reproduces your payroll, attendance, data-control and exit requirements in a written scope and a successful proof of concept.
