Best CRM Software for Hotels in 2026: 12 Platforms Compared

A practical comparison of the best hotel CRM platforms in 2026, including Profitroom, Smart Host, Bookboost, dailypoint, Revinate, TrustYou, Thynk, Oracle, Amadeus, Salesforce, and HubSpot.

There is no single best CRM for every hotel. The right choice depends on whether your biggest problem is repeat direct bookings, guest-data quality, multichannel messaging, group sales, loyalty, or PMS-connected upselling.

For most independent and boutique properties, start with Profitroom, Smart Host, Bookboost, and dailypoint. Choose Revinate or dailypoint for sophisticated guest-data unification and enterprise marketing; Bookboost for messaging and inbox workflows; Profitroom for direct-booking marketing and upsells; Smart Host for straightforward hotel CRM automation; and Thynk for group sales, MICE, venues, and corporate accounts.

This guide compares hotel-native CRMs, customer data platforms, guest-messaging tools, sales CRMs, loyalty systems, and PMS ecosystem products separately. That distinction matters: a messaging inbox may not replace a CDP, and a group-sales CRM may not be the right tool for automated pre-arrival email.

Best hotel CRM software at a glance

The recommendations below are an editorial synthesis based on product fit and publicly described capabilities, not a claim that one vendor objectively wins every category. Product availability, integrations, pricing, and features can vary by country, PMS, plan, and property count. The research snapshot for this comparison is dated August 10, 2026.

HotelTechReport’s Q2 2026 comparison shows why a single ranking is unreliable: its leaders change substantially by hotel size, type, and region. Profitroom is prominent among mid-sized, boutique, resort, and European properties; dailypoint is prominent among large, luxury, branded, and conference hotels; and Bookboost is prominent in enterprise, limited-service, hostel, and multichannel categories. The report says its comparison is based on more than 1,723 verified hotel CRM interviews across 75 countries, but its segment samples vary considerably, so the results should not be treated as market share or equally strong statistical evidence in every category. Review HotelTechReport’s methodology and 2026 comparison.

What hotel CRM software actually does

A hotel CRM creates a persistent view of the guest relationship rather than treating every reservation as an isolated transaction. A capable system can store stay and booking history, preferences, service interactions, spending, consent, and campaign activity; segment guests; automate lifecycle communications; support repeat direct bookings and upsells; and connect data from the PMS, booking engine, POS, spa, golf, restaurant, website, surveys, and messaging channels.

A hotel CRM is not automatically a:

  • PMS: the operational system for reservations, room inventory, check-in, check-out, housekeeping, and folios.
  • Booking engine: the direct-reservation interface on the hotel website.
  • Channel manager: the system that distributes rates and availability to OTAs and other channels.
  • Revenue-management system: software that forecasts demand and recommends or controls pricing.
  • Guest-messaging inbox: a tool for handling conversations, which may have limited long-term profile or attribution features.
  • Reputation platform: software focused on reviews, surveys, and feedback analysis.
  • Loyalty platform: software for membership, points, benefits, and rewards.
  • Group-sales CRM: a commercial system for corporate accounts, group leads, proposals, contracts, and events.

Mews explains the core PMS-versus-CRM distinction: the PMS manages hotel operations, while the CRM concentrates on guest relationships, segmentation, personalization, and communications.

CRM versus CDP: the distinction buyers should understand

The terms are often used together, but the technical emphasis differs.

System Primary job Questions it should answer
CRM Manage profiles, communications, campaigns, sales activity, and workflows Who is this guest? What should we send? Which team owns the conversation?
CDP Ingest data from multiple systems, resolve identities, govern consent, and activate unified audiences Which records belong to the same person? What did this guest spend across properties and outlets? Where can this audience be activated?
Guest-messaging platform Coordinate real-time conversations across channels and staff What has the guest asked? Who should respond? Which messages are pending?
Sales CRM Manage leads, accounts, opportunities, proposals, contracts, and pipelines Which corporate or group opportunities are open, and what is their expected value?

A CRM can contain some CDP capabilities, and a CDP can include campaign activation. The important question is not the label but whether the system performs ingestion, identity resolution, profile merging, consent management, and downstream activation well enough for your operation. Revinate’s hotel CDP guide describes these differences in more detail.

The best hotel CRM platforms by use case

Profitroom: best for direct-booking-focused hotel marketing

Profitroom is a strong starting point for independent hotels and smaller groups whose main commercial goal is to convert more existing guest data into direct bookings, offers, and ancillary revenue.

Its public product information describes triggered campaigns based on guest behavior, personalized messages, newsletters, discount codes, pre-arrival upselling, booking-engine connectivity, PMS connectivity, loyalty, and personalized offers. That combination makes it particularly relevant when the hotel already uses or is considering the wider Profitroom suite.

Choose Profitroom when: the marketing team needs hotel-specific lifecycle automation without building a CRM from scratch; direct booking and booking-engine integration are central; and the property wants to promote packages, discount codes, upgrades, or extras.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check before signing: whether the PMS and booking engine are connected in both directions, which reservation events trigger workflows, whether historical data can be imported, and how much functionality remains when the hotel uses a non-Profitroom booking engine. Profitroom says its CRM and marketing automation product received a 4.8 out of 5 rating from almost 300 users in HotelTechReport’s 2025 report; treat that as an attributed rating rather than an independent test conducted for this article. See Profitroom’s CRM and email-marketing description.

Smart Host: best for straightforward hotel CRM automation

Smart Host is aimed at properties that want PMS-connected guest profiles, automated campaigns, offers, surveys, upsells, and review workflows without adopting a large enterprise data project.

The public product page describes guest profiles containing interests, booking behavior, and personal notes, along with email, WhatsApp, and SMS campaigns; automated pre- and post-stay surveys; upselling; review management; offer creation; analytics; and AI-assisted content creation.

Choose Smart Host when: the hotel has a small marketing or operations team, wants a manageable campaign tool, and values quick access to guest information and basic lifecycle automation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check before signing: exactly which PMS fields synchronize, whether WhatsApp and SMS are included in the quoted plan, how consent is synchronized, and whether campaign revenue means booked revenue, stayed revenue, or an attributed estimate. Smart Host publicly claims up to 32 times ROI and says 23% of bookings at its hotels are generated by Smart Host. Those are vendor-reported figures and should not be treated as independently verified performance benchmarks. See Smart Host’s hotel CRM page.

Bookboost: best for multichannel messaging and a unified inbox

Bookboost is the most natural fit when the operational problem is fragmented guest communication across email, SMS, WhatsApp, webchat, OTA messaging, and staff inboxes.

Its public materials describe connections to PMSs, booking engines, and other guest touchpoints; dynamic segmentation; automated journeys; unified inbox functions; routing and assignment rules; reservation context; Booking.com and Expedia messaging; campaign reporting; and an optional AI agent. Bookboost says its platform can use data from more than 70 sources and includes more than 80 personalization tokens. These are vendor-described capabilities, so verify availability for the hotel’s country, PMS, plan, and property count.

Choose Bookboost when: front-desk teams need one place to manage conversations, the market is WhatsApp-heavy, OTA messages are a major workload, or pre-arrival and in-stay service communication matters more than building a deep enterprise CDP.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check before signing: whether reservation and folio data are available in the inbox, how duplicate profiles are handled, whether staff can see consent status, how conversations are exported, and whether reporting distinguishes response metrics from actual booking and ancillary revenue. See Bookboost’s multichannel hospitality CRM.

dailypoint 360°: best for central guest-data management

dailypoint is a strong candidate for multi-property groups, luxury hotels, and operators whose central problem is inconsistent, duplicated, or incomplete guest data.

The company says its platform collects data from PMSs, POS systems, websites, newsletters, Wi-Fi, and other sources; creates unified central guest profiles; and supports CRM, loyalty, booking, and marketing modules. Its product page claims more than 200 integrations and more than 350 AI-driven cleansing and enrichment processes, as well as more than 1,500 customers. These are vendor claims that should be tested through data lineage and customer references.

Choose dailypoint when: the group needs a central profile foundation, profile cleansing, cross-property recognition, governance, and downstream marketing activation rather than simply an email composer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check before signing: which systems provide real-time data, how identity matching works, whether the hotel can reverse a merge, how property-level permissions operate, and whether the quoted implementation includes historical data cleanup. A platform with extensive data capabilities may require more internal ownership and implementation work than a lightweight campaign product. See dailypoint’s CRM and central data-management solution.

Revinate: best for enterprise guest-data activation

Revinate is best suited to hotel groups and sophisticated independent properties that want to unify guest data and activate it for personalization, direct booking, loyalty, and large-scale marketing.

Revinate describes a hospitality CDP built around unified Rich Guest Profiles. Its public materials mention PMS, spa, golf, restaurant, folio, booking, and other data sources; hospitality-specific identity resolution; segmentation; campaign activation; GDPR and CCPA positioning; and an AI decision-intelligence layer called Ivy. Revinate says it has more than 1.1 billion guest profiles and more than 12,500 hotel customers. Those figures are vendor-reported and should be attributed as such.

Choose Revinate when: the hotel needs more than a basic contact database, has multiple guest-data sources, wants sophisticated segmentation, and can support a formal implementation and data-governance program.

Free tools Windows power users keep installed

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check before signing: the exact PMS, POS, spa, golf, restaurant, CRS, and booking-engine integrations; how identity resolution handles OTA relay addresses and booker-versus-stayer relationships; who owns the unified profile; how AI uses customer data; and what can be exported when the contract ends. See Revinate’s hotel CDP and its Ivy announcement.

TrustYou: best for feedback and reputation-led activation

TrustYou is particularly attractive for hotels that want guest feedback and reputation intelligence to feed segmentation, service improvement, and marketing audiences.

The TrustYou CDP page lists multi-source aggregation, unified guest profiles, a data and merge dashboard, consent management, audience insights, unlimited audience segmentation, marketing connectivity and automation, and PMS, POS, CRM, and loyalty integrations.

The public page currently displays a starting price of $350, €350, or ¥55,000 per property per month, billed annually. Verify the currency, plan scope, onboarding, contract minimums, regional terms, and whether messaging costs are additional before using that figure in a budget.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose TrustYou when: review sentiment, survey responses, and reputation data are central to the guest strategy and the hotel wants to connect those signals to audiences and campaigns.

Check before signing: whether TrustYou replaces the existing campaign tool or complements it, which systems send data into the profile, how consent is synchronized, and how feedback-derived segments are activated. See TrustYou’s Customer Data Platform.

Cendyn: best for established hotel-group marketing programs

Cendyn’s published eInsight and Guestfolio comparison describes a broad hospitality CRM and marketing capability set, including guest profiles, RFM data, marketing automation, personalization, A/B testing, loyalty, group functionality, data cleansing, and hospitality integrations.

Choose Cendyn when: the organization already operates at group scale and needs campaign, loyalty, and customer-data capabilities that can support established marketing processes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check before signing: the public comparison document is dated and product packaging may have changed. Confirm that each listed function is available in the current edition, along with current integrations, implementation requirements, data ownership, and reporting. Review Cendyn’s published comparison document, but do not treat it as a current product specification without vendor confirmation.

Thynk: best for group sales, MICE, and venues

Thynk should be considered a hotel commercial-sales CRM rather than a general-purpose guest newsletter platform.

The Salesforce-powered product describes group-sales automation, MICE and event management, Global Sales Office coordination, PMS integrations including Opera, Mews, Stayntouch, and Protel, AI-assisted proposal generation, Cvent RFP distribution, contract workflows, revenue analytics, and multi-property reporting.

Choose Thynk when: the hotel’s primary commercial problem is managing corporate accounts, group inquiries, meeting space, proposals, contracts, room blocks, or event pipelines.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check before signing: how group and individual guest records relate, whether rooming lists flow into the PMS and guest CRM, how proposals and contracts are versioned, and whether the sales pipeline can report expected room nights and revenue. It is less appropriate as the first purchase for a small hotel that only needs automated pre-arrival and post-stay email. See Thynk’s hotel and venue CRM and its feature documentation.

Amadeus Guest Management Solutions: best for the Amadeus ecosystem

Amadeus is a logical option for hotels already using Amadeus or iHotelier and seeking an integrated reservations, guest-management, loyalty, and marketing stack.

Its public materials describe targeted marketing, workflow automation, integrated loyalty, cart-abandonment tools, re-engagement, personalized transactional email, room upgrades, enhancement upsells, arrival reports, guest-profile insights, pre-arrival and post-stay surveys, feedback automation, dashboard reporting, and data export.

Choose Amadeus when: ecosystem alignment is more valuable than assembling separate CRM, booking, loyalty, and reservation products.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check before signing: how the product connects to the hotel’s exact PMS, CRS, booking engine, and loyalty setup; which reservation events are available; whether the system supports the property’s region; and which communications are transactional versus promotional. See Amadeus Guest Management Solutions and its product terms.

Oracle Hospitality and OPERA Cloud: best for Oracle-standardized properties

Oracle’s OPERA Cloud Guest Engagement and Merchandising, powered by Nor1, focuses on personalized offers and upselling inside the Oracle Hospitality environment.

Rank #3
VTech AM18447 Main Console 4-Line Small Business Phone System - Expandable to 10 Stations, Digital Answering Machine, Auto Attendant, Intercom & Custom Music on Hold, Black
  • Quick and easy installation: Connect the main console to analog lines via RJ11; cordless handsets/desksets pair wirelessly with one-touch DECT 6.0 technology—no professional wiring or assistance needed for fast small office setup.
  • Expandable to 10 stations: Grow your 4-line small business phone system seamlessly by adding up to 9 cordless handsets or desksets—ideal for scaling operations without replacing equipment.
  • Professional auto attendant per line: Automatically answers calls on each of the 4 lines, offers company directory access, routes to extensions, and records voicemail for efficient, polished call management.
  • Reliable digital answering system: Captures up to 180 shared minutes of incoming messages, announcements, and memos—ensuring no important calls are missed during busy hours.
  • Enhanced productivity features: Full-duplex speakerphone for natural conversations, extra-large display, caller ID/call waiting, 100-name phonebook, 32 speed dials, cordless headset support, intercom, and customizable music-on-hold via 2.5mm jack.

Oracle says the capability can present room upgrades, amenities, merchandise, and services during pre-arrival, mobile check-in, and front-desk check-in using reservation data and machine-learning models.

Choose Oracle’s embedded capabilities when: the property already uses OPERA Cloud and wants operational guest engagement without adding a separate standalone CRM for every function.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check before signing: whether the hotel also needs a CDP, campaign database, loyalty system, or unified multichannel inbox. OPERA Cloud Guest Engagement is primarily an ecosystem and upselling decision, not a like-for-like replacement for an independent hotel marketing CRM. Read Oracle’s OPERA Cloud announcement.

Salesforce and HubSpot: when a generic CRM makes sense

Salesforce can be appropriate for large brands, loyalty programs, central-reservation teams, and hotel groups with internal IT or a capable implementation partner. Salesforce’s announcement about IHG describes Data Cloud, Loyalty Management, unified customer profiles, and personalization at global hotel-group scale. The flexibility is valuable, but a hotel still needs reservation, stay, folio, room-night, booker, stayer, PMS, CRS, POS, consent, and identity-resolution models. See Salesforce’s IHG announcement.

HubSpot is usually a better fit for hotel sales teams managing corporate accounts, event leads, partnerships, and deals than for guest-lifecycle marketing. Its Sales Hub provides pipelines, sales automation, deal management, sequences, reporting, and custom objects on higher plans. The official pricing page lists Sales Hub Starter from $7 per seat per month when billed annually, Professional at $90 per seat per month, and Enterprise at $150 per seat per month; Professional and Enterprise also list one-time onboarding fees of $1,500 and $3,500 respectively. These are generic sales-software prices, not the total cost of a hotel CRM. Check HubSpot’s current Sales Hub pricing.

With HubSpot, reservation dates, stay history, room nights, folios, booker-versus-stayer relationships, PMS events, and guest consent require custom objects, middleware, or another integration layer. It can be economical for a small commercial-sales team but expensive if the goal is to recreate a hotel-native CDP.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Other products appearing in hotel CRM comparisons

HotelTechReport’s 2026 category list also includes Reguest, Journeytok, Brandnamic, and For-Sight alongside the products discussed above. That list is useful for expanding a regional shortlist, but the products do not all solve the same problem. Before comparing them with a CDP or sales CRM, identify whether each is primarily email marketing, guest engagement, reputation, data management, or commercial sales software. See the full HotelTechReport category list and ask each vendor for current PMS, booking-engine, channel, pricing, and data-governance details.

Which CRM is right for each type of hotel?

Hotel type Priorities Likely starting shortlist
Small independent hotel or B&B Fast setup, PMS connection, pre-arrival and post-stay automation, deliverability, direct-booking reporting, predictable cost Smart Host, Profitroom, Bookboost, or a CRM included in the existing PMS and booking stack
Boutique hotel Brand-controlled personalization, packages, upsells, preference capture, booking-engine integration, manageable segmentation Profitroom, Smart Host, Bookboost, dailypoint, Revinate
Resort Spa, golf, restaurant, activity, folio, and ancillary-spend data; pre-arrival upsells; family, wellness, golf, wedding, and group segments Revinate, dailypoint, Cendyn, Profitroom, TrustYou
Luxury or multi-property group Central profiles, cross-property recognition, governance, loyalty, permissions, local customization, and central attribution dailypoint, Revinate, Cendyn, TrustYou, Salesforce
Limited-service or hostel group High-volume messaging, automated service workflows, OTA communications, lean staffing, and scalable templates Bookboost, Smart Host, Profitroom
Conference, airport, group, or event hotel Corporate accounts, group leads, RFPs, proposals, contracts, meeting-space workflows, sales pipeline reporting Thynk, Salesforce-based hospitality solutions, Cendyn, Oracle or Amadeus commercial modules
Extended-stay property Longer lifecycle journeys, renewal and extension triggers, household or company relationships, service history, and repeat-stay segmentation Profitroom or Smart Host for simpler marketing; Revinate, dailypoint, or Salesforce for complex multi-property data

Features that deserve more weight than a long feature list

1. Unified guest profiles and identity resolution

The CRM should be able to merge or link records from direct bookings, OTAs, corporate accounts, loyalty, multiple properties, and outlets. The profile should preserve name variations, email and phone numbers, loyalty ID, booking history, preferences, spend, service interactions, and consent history.

Ask specifically how the system handles OTA-masked addresses, duplicate profiles, shared household email addresses, corporate bookers, travel managers, and guests who stay at multiple properties. A platform that cannot maintain identity accurately will send the wrong message to the wrong person and distort lifetime-value reporting.

2. Reservation-aware automation

Useful automation reacts correctly to reservation events. At a minimum, test booking confirmation, modification, cancellation, no-show, check-in, checkout, room change, arrival-date change, departure-date change, and split or group reservations.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Required journeys commonly include:

  1. Booking confirmation and reservation modification
  2. Cancellation confirmation and abandoned-booking recovery
  3. Pre-arrival welcome and preference capture
  4. Upgrade and ancillary upsells
  5. Arrival-day reminder and in-stay service message
  6. Post-stay survey and review request
  7. Birthday, anniversary, and high-value guest recognition
  8. Lapsed-guest win-back
  9. Low-occupancy or need-period campaigns
  10. Cross-property promotion
  11. Corporate-account and group-inquiry nurturing
  12. No-show recovery
  13. Suppression after a new booking, cancellation, or unsubscribe

The key test is not whether a workflow builder exists. It is whether scheduled messages are recalculated or canceled when the reservation changes.

3. PMS and booking-engine integration depth

Do not accept a generic integration badge as proof of equivalent capability. Ask whether the connector is a certified API, webhook, middleware connection, batch file, or custom project.

Require the vendor to document:

  • Supported PMS name and edition
  • One-way or two-way data flow
  • Real-time, near-real-time, batch, or manual synchronization
  • Reservation creation, modification, cancellation, no-show, check-in, and checkout events
  • Guest-profile updates and duplicate handling
  • Room, rate-plan, market-segment, source, and channel fields
  • Folio and ancillary-spend data
  • Group-block and company-account data
  • Consent and communication-preference synchronization
  • Error handling, retry behavior, and monitoring
  • Historical backfill and migration capability
  • API limits, export options, and data ownership

Stable PMS integration is central because reservation data drives segmentation, personalization, and lifecycle automation. HotelTechReport also identifies PMS integration as a critical hotel CRM selection factor.

4. Data sources and fields

A practical hotel CRM data checklist includes:

  • Identity: normalized name, email, phone, address, country, language, loyalty ID, corporate account, booker, stayer, household, and travel-party relationships.
  • Reservation: arrival and departure, booking date, lead time, room type, rate plan, guests, channel, source market, cancellation history, no-shows, stay purpose, group, and event association.
  • Preferences: bed and floor preference, dietary or accessibility requirements, special occasions, amenity preferences, service complaints, resolutions, communication preferences, and do-not-contact status.
  • Revenue: room revenue, total spend, food and beverage, spa, golf, activities, upgrades, upsell acceptance or rejection, recency, frequency, monetary value, and lifetime value.
  • Engagement: email clicks, website visits, booking-engine abandonment, survey responses, reviews, message history, offer exposure, attribution, and loyalty activity.

Revinate, dailypoint, TrustYou, and Cendyn describe various combinations of these functions. Treat product-page descriptions as capability claims until the vendor demonstrates the specific fields and workflows your hotel needs.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Communication channels and consent

Compare email, SMS, WhatsApp, webchat, OTA messaging, voice or call-center workflows, mobile-app notifications, guest-app messages, and internal staff alerts.

Bookboost emphasizes email, SMS, WhatsApp, webchat, Booking.com, Expedia, unified inbox functions, routing, reservation context, and automated journeys. Revinate emphasizes email, messaging, direct-booking activation, and decision intelligence. A multichannel label does not prove that consent is managed correctly across every channel.

For example, a guest may consent to transactional SMS about a reservation but not promotional SMS, or consent to email but not WhatsApp. Consent must be synchronized with the sending system and remain attached to the correct profile.

How to score hotel CRM platforms

Publish the scoring rules internally before taking vendor demos. A practical starting model is:

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Criterion Weight What to verify
PMS, CRS, and booking-engine integration 25% Fields, events, latency, directionality, error handling, and historical import
Identity resolution and data quality 20% Duplicate merging, OTA masking, booker-versus-stayer logic, cross-property profiles, and recovery from bad merges
Lifecycle automation 15% Booking, pre-arrival, in-stay, post-stay, cancellation, no-show, upsell, and win-back logic
Direct-booking and revenue attribution 15% Booking-engine attribution, campaign revenue, repeat bookings, ancillary revenue, and control groups
Messaging and operational workflow 10% Email, SMS, WhatsApp, inbox, routing, tasks, staff handoffs, and OTA messaging
Multi-property, loyalty, and governance 10% Property permissions, brand rules, loyalty, data residency, approval workflows, and central reporting
Privacy, security, and deliverability 5% Consent, suppression, retention, export, SPF, DKIM, DMARC, and audit logs

Change the weighting for the project. A small boutique hotel should give more weight to ease of use, booking-engine connectivity, automation, and predictable pricing. A resort should emphasize ancillary spend, identity resolution, and pre-arrival upselling. An enterprise group should emphasize governance, loyalty, APIs, and cross-property identity. A group-sales hotel should prioritize accounts, leads, proposals, contracts, and event workflows over newsletter features.

Hotel CRM pricing and total cost of ownership

Most hotel CRM products use quote-based pricing. The quote may depend on properties, room count, guest or contact volume, email volume, SMS and WhatsApp usage, user seats, feature modules, integrations, API calls, loyalty members, AI usage, and data storage.

HotelTechReport notes that hotel CRM pricing commonly depends on database size, messaging volume, features, add-ons, and property count. It also warns that SMS and WhatsApp charges may be separate from the software subscription.

  • What does a complete data export cost at termination?
  • Is there a minimum annual contract or mandatory implementation partner?
  • Are annual price increases capped?

Do not compare a property-based quote directly with HubSpot’s per-seat pricing. The products have different data models and cost drivers. Similarly, treat TrustYou’s publicly displayed $350, €350, or ¥55,000 per-property monthly starting price as a starting reference only, not a complete TCO.

Run a proof of concept before signing

A live demo using your own sample data is more valuable than a generic feature presentation. Ask the vendor to perform these tests while your PMS, marketing, front-desk, and privacy stakeholders observe.

Test 1: Create a new reservation

Create a reservation with a guest, a different booker, multiple rooms, a corporate account, a special request, a mobile number, and separate transactional-only and marketing consent choices. Check how quickly the data arrives, which fields are mapped, whether profiles merge, who receives the message, and whether the booking triggers the correct pre-arrival workflow.

Test 2: Modify the reservation

Change the arrival date, departure date, room type, guest count, email address, phone number, and consent status. Confirm that the profile updates, scheduled messages are recalculated, obsolete messages are canceled, and the audit trail records each change.

Test 3: Cancel the reservation

Cancel the booking. Future pre-arrival messages should be suppressed. The cancellation confirmation should remain distinct from marketing. A later win-back campaign should use the correct cancellation date, and the guest should not remain marked as an active stayer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Test 4: Create duplicate identities

Use name variations, different email addresses, the same phone number, an OTA-masked email address, and stays at different properties. Test automatic matching, manual merge controls, confidence levels, the ability to reverse a merge, and preservation of consent and suppression records.

Test 5: Add ancillary spend

Add a restaurant, spa, golf, or activity transaction. Verify that it reaches the profile, attaches to the correct guest, changes lifetime-value or spend reporting where appropriate, can trigger an offer, and is visible to staff before arrival if that is part of the use case.

Test 6: Test suppression

Unsubscribe the guest from all marketing, email only, SMS only, WhatsApp only, and one property or brand. Verify that suppression propagates across properties and sending tools, while permitted transactional messages continue. Ask to see the consent history and test whether a later data import can accidentally re-subscribe the guest.

Test 7: Test attribution

Send a campaign to a defined segment and measure delivery, opens, clicks, booking-engine sessions, bookings, revenue, cancellation-adjusted revenue, repeat booking, ancillary spend, OTA displacement, and control-group performance. Ask whether the vendor’s revenue figure means booked revenue, stayed revenue, attributed revenue, or modeled revenue.

Hotel-native CRM versus generic CRM

Hotel-native CRM Generic CRM
Advantages Reservation-driven data model, PMS and booking-engine connectors, stay-date logic, hospitality fields, pre-built journeys, hotel-specific reporting, and faster time to value Flexible objects, mature sales pipelines, broad integrations, strong permissions, and useful tools for accounts, events, partnerships, and enterprise operations
Disadvantages May be less flexible for non-hospitality sales; can create vendor lock-in; some products emphasize email more than true profile management Requires custom stay and reservation objects, PMS and CRS integration, identity-resolution design, implementation expertise, and hotel-specific campaign logic

Thynk illustrates the middle ground: it uses Salesforce as its foundation but adds hospitality-specific group-sales, venue, proposal, contract, and event workflows. This is different from simply configuring a generic sales CRM with a hotel logo.

Email-first platform, multichannel platform, or central CDP?

Email-first CRM

An email-first system is usually appropriate for newsletters, repeat-booking campaigns, and basic lifecycle automation at a smaller property. It is often easier to operate and less expensive. Its weaknesses can include fragmented guest conversations, weak real-time response handling, limited operational context, and poor fit for WhatsApp-heavy markets.

Multichannel messaging platform

A multichannel system is useful for high-volume guest questions, OTA and direct-channel conversations, pre-arrival service, in-stay requests, and front-desk workload reduction. The trade-offs are additional message fees, more complex consent management, and the possibility that inbox features are stronger than profile governance or revenue attribution.

Central CDP

A CDP is most valuable to multi-property groups, resorts with multiple outlets, loyalty programs, and brands that need cross-property identity and data governance. It can provide a stronger foundation for segmentation and activation, but generally requires more cleansing, implementation, budget, and internal ownership.

Implementation risks and edge cases

OTA-masked contact details

OTA bookings may not provide a durable, ordinary email address. Ask whether the CRM can preserve the reservation, distinguish transactional communications from direct marketing, collect first-party consent at check-in or through Wi-Fi, and avoid treating a masked relay address as a permanent identity.

Booker versus actual stayer

A corporate assistant, travel manager, family member, or group organizer may book for someone else. The system should not send the guest’s personal upsell to the booker, send a birthday message to the wrong person, or award loyalty credit to the wrong profile.

Shared household addresses

Two guests may share one email address while maintaining separate stay histories. Test whether the CRM can avoid duplicate or contradictory messages without incorrectly collapsing both people into one profile.

Multiple properties and brands

Confirm whether profiles and consent are global, brand-specific, or property-specific; which teams may view or merge profiles; whether franchisees can access group data; and whether local teams can export central guest data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Group bookings and events

A group organizer, attendee, rooming-list contact, company account, and individual stayer may all be different entities. A leisure CRM is not automatically a group-sales CRM.

Sensitive preferences

Dietary, accessibility, health, religious, family, and mobility information may require stricter access, retention, and purpose controls. Do not treat every preference as ordinary marketing data.

AI controls

Ask whether guest data is used to train a general model, whether training can be disabled, whether offers require human approval, whether the system can infer sensitive attributes, how hallucinated amenities or policies are prevented, whether multilingual output is reviewed, whether prompts and actions are logged, and whether AI usage is included in the contract.

Revinate describes Ivy as hospitality decision intelligence trained on hospitality data and operating across its platform. That is the vendor’s description, not independent validation of accuracy, safety, or return on investment. Read Revinate’s Ivy announcement.

Deliverability, privacy, and marketing compliance

Email deliverability

A CRM can have excellent templates and still fail if the hotel’s sending domain is poorly configured. Google’s sender guidance requires authentication practices for messages sent to Gmail personal accounts. For senders of approximately 5,000 or more messages per day to Gmail accounts, Google requires SPF, DKIM, DMARC, aligned sender domains, low spam rates, and one-click unsubscribe for marketing messages. Google says enforcement has been ramping up since November 2025.

Ask whether the platform supports SPF, DKIM, DMARC, custom tracking domains, appropriate dedicated-IP options, List-Unsubscribe headers, bounce and complaint suppression, domain warm-up, spam-rate monitoring, and separate transactional and promotional streams. Review Google’s sender guidelines and its sender-guidelines FAQ.

Email, SMS, and WhatsApp permissions

In the United States, CAN-SPAM requires accurate headers and subject lines, a valid physical postal address, an opt-out mechanism, and honoring opt-outs within 10 business days. The FTC also says a business remains responsible for vendors sending email on its behalf. Read the FTC CAN-SPAM guide.

Automated promotional text messages require separate care. The FCC states that marketing robotexts require prior express written consent and describes seller-specific consent rules effective January 27, 2025. Maintain suppression lists and honor revocation across every connected sending tool. Review the FCC one-to-one consent FAQ.

UK and European rules can be stricter. The UK ICO says electronic marketing generally requires consent unless a narrow existing-customer exception applies, and organizations must stop marketing when consent is withdrawn. Review the ICO’s electronic-mail guidance.

Privacy rights and retention

California’s privacy framework includes rights to know what personal information is collected, correct it, delete it subject to exceptions, opt out of sale or sharing where applicable, and receive equal treatment. The California Privacy Protection Agency also emphasizes purpose limitation and data minimization. Review the CPPA FAQ.

Ask the vendor who is the controller and processor, whether the hotel can fulfill access, correction, and deletion requests, how suppression records survive deletion, how backups are handled, what the default retention period is, whether retention can vary by data category, whether data is sold or shared for benchmarking, whether guest data is used for AI training, where it is hosted, which subprocessors are involved, and whether a data-processing agreement is available.

Offers and mandatory fees

If the CRM generates promotional offers, upsells, or booking links, verify that displayed prices do not omit mandatory hotel fees. The FTC’s rule on unfair or deceptive fees requires covered lodging businesses to disclose the total price upfront, including mandatory fees known and calculable when the price is advertised. Read the FTC lodging-fee FAQ.

How hotel CRM software can pay for itself

Evaluate the system against measurable commercial and operational outcomes rather than open rates alone. Track:

  • Repeat direct bookings and direct-booking share
  • Revenue from campaigns after cancellations and refunds
  • Booking-engine abandonment recovered
  • Ancillary revenue from upgrades, spa, golf, dining, and activities
  • Guest lifetime value by channel and segment
  • Response time and workload in the front-desk inbox
  • Unsubscribe, complaint, and deliverability rates
  • Profile-merge rate and duplicate-record reduction
  • Revenue from corporate, group, and event pipelines
  • Incremental performance against a holdout or control group

Do not accept a claim such as revenue generated without asking whether it is merely the value of all bookings exposed to a campaign. A credible test defines the audience, attribution window, cancellation treatment, stayed-versus-booked revenue, control group, and ancillary-revenue rules before launch.

Final recommendations

  • Choose Profitroom if your independent hotel or smaller group prioritizes direct bookings, booking-engine-connected marketing, offers, loyalty, and pre-arrival upsells.
  • Choose Smart Host if you need a straightforward hotel-native CRM with profiles, automated campaigns, surveys, offers, and email, WhatsApp, and SMS options.
  • Choose Bookboost if the main operational problem is fragmented guest messaging, OTA conversations, WhatsApp, webchat, or a busy front-desk inbox.
  • Choose dailypoint if profile quality, central data management, cross-property identity, and governance matter more than a quick email-only deployment.
  • Choose Revinate if an enterprise or sophisticated resort needs broad guest-data unification, identity resolution, personalization, and direct-booking activation.
  • Choose TrustYou if guest feedback and reputation intelligence should directly inform segmentation and marketing activation.
  • Choose Thynk if group sales, MICE, events, corporate accounts, proposals, contracts, and multi-property commercial reporting are the core requirements.
  • Choose Amadeus or Oracle when your hotel already operates deeply inside that vendor’s reservations or PMS ecosystem and wants embedded guest engagement.
  • Choose Salesforce when the organization has enterprise CRM, loyalty, data, and implementation resources and needs a highly customized operating model.
  • Choose HubSpot when the primary problem is sales-pipeline management for accounts, events, and partnerships—not reservation-driven guest lifecycle marketing.

Frequently Asked Questions

What is the best CRM for a small hotel?

Start with Smart Host, Profitroom, or Bookboost, depending on the primary problem. Smart Host is a practical fit for straightforward profiles and automated campaigns; Profitroom is stronger when direct bookings, booking-engine connectivity, offers, and upsells are central; and Bookboost is stronger when messaging and front-desk conversations dominate. Confirm PMS connectivity, message fees, onboarding, and consent controls before choosing.

Is a hotel CRM the same as a PMS?

No. A PMS manages operational functions such as reservations, room inventory, check-in, check-out, housekeeping, and folios. A CRM manages the guest relationship through profiles, segmentation, personalized communication, campaigns, loyalty, and repeat-booking workflows. Many hotels need both, connected through an integration.

Do hotels need a CDP or a CRM?

A CRM is generally sufficient for profiles, campaigns, sales activity, and lifecycle workflows at a smaller property. A CDP becomes more valuable when the hotel must ingest data from many systems, resolve duplicate identities, manage cross-property profiles, govern consent centrally, and activate audiences across multiple tools.

What does hotel CRM software cost?

Most hotel CRMs are quote-based and may price by property, room count, guest database, message volume, users, modules, integrations, or AI usage. Add onboarding, data migration, profile cleansing, SMS and WhatsApp charges, custom integrations, and professional services to the subscription. TrustYou publicly lists a starting price of $350, €350, or ¥55,000 per property per month billed annually, while HubSpot lists generic Sales Hub prices beginning at $7 per seat per month annually; these figures are not directly comparable.

Can hotel CRM software integrate with Opera, Mews, Cloudbeds, Stayntouch, or another PMS?

Many platforms support some combination of these systems, but the integration depth varies. Ask whether the connection is real-time or batch, one-way or two-way, which reservation and folio fields are available, how cancellations and modifications are handled, whether historical records can be imported, and what happens when synchronization fails. A vendor’s integration badge is not enough.

Can a hotel CRM manage WhatsApp and SMS?

Some products, including Bookboost and Smart Host, publicly describe WhatsApp and SMS capabilities. Confirm whether the feature is included in the quoted plan, whether carrier or WhatsApp conversation fees are extra, how opt-ins and opt-outs are stored, and whether promotional and transactional permissions are separated.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can a hotel CRM identify repeat guests from OTA bookings?

Sometimes, but OTA-masked email addresses, inconsistent names, shared contact details, and booker-versus-stayer relationships make this difficult. Test the platform with masked addresses and duplicate records. Ask how matching works, whether staff can review or reverse a merge, and whether the original consent and suppression history is preserved.

How long does hotel CRM implementation take?

There is no reliable universal timeline. It depends on the number of properties, source systems, historical-data quality, identity rules, integrations, consent migration, templates, and approval workflows. Ask the vendor for a project plan that separates configuration, data cleansing, integration testing, staff training, deliverability setup, and go-live support.

What is the best CRM for hotel groups and loyalty programs?

Revinate, dailypoint, Cendyn, TrustYou, and Salesforce-based implementations are the strongest starting points for a group that needs central profiles, cross-property recognition, governance, and loyalty foundations. The right choice depends on the existing PMS, CRS, loyalty architecture, data-residency requirements, and internal implementation capacity.

What is the best CRM for hotel group sales and events?

Thynk is the most directly aligned option in this comparison because it focuses on group sales, MICE, venues, proposals, contracts, RFPs, PMS connections, and commercial reporting. Salesforce-based solutions and other hospitality commercial modules may also fit larger organizations. A guest-marketing CRM alone will not necessarily manage group-sales workflows.

The Bottom Line

The best hotel CRM is the one that matches the hotel’s primary workflow and handles its data correctly. For direct-booking marketing, shortlist Profitroom and Smart Host. For guest messaging, add Bookboost. For central identity and multi-property data, evaluate dailypoint and Revinate. For feedback-led activation, consider TrustYou; for group sales and events, consider Thynk; and for an existing Oracle or Amadeus estate, start with the native ecosystem option.

Before signing, make the vendor demonstrate a new reservation, a modification, a cancellation, a duplicate profile, an ancillary transaction, an unsubscribe, and a revenue-attribution report using realistic sample data. Integration depth, identity quality, consent synchronization, and total cost of ownership matter more than a long feature list or an unverified ROI headline.
