How to Write a Letter to a University Admissions Office

Write a concise admissions inquiry that identifies you, states one clear request, and follows the university’s channel and document rules. Appeals require a separate process.

For a routine question, write a clear subject line, identify yourself and your application, state one specific request, and send it through the university’s designated channel. For an appeal or official document, follow the university’s separate instructions: an ordinary email may not meet its submission rules.

Choose the right channel before you write

Start at the university’s current admissions page and look for instructions for your applicant type and purpose. A general undergraduate inquiry, transfer question, document submission, and appeal may go to different places. Tufts, for example, lists separate contacts for undergraduate, transfer, and SMFA inquiries and provides an inquiry form. Check the page that applies to you rather than assuming one address serves every applicant: Tufts Admissions contact information.

Match the channel to the task. A question may belong in an inquiry form, office email, or applicant portal; official records may have to come directly from a school official or recommender; an appeal may require a designated form, recipient, and deadline. The university’s current directions take precedence over a sample letter or advice written for another institution.

What to include in a routine admissions inquiry

Keep a routine message brief enough that a staff member can quickly identify your file and understand what you need. Use this structure as a drafting guide, not as a universal university rule.

  1. Subject: Use a searchable description, such as “Question about [program] application — [application ID].” Do not put sensitive personal information in the subject line.
  2. Greeting: Address a named staff member by name and title if the university provides them. Otherwise, “Dear Admissions Office,” is appropriate.
  3. Opening: Give your full name, applicant type, intended program or entry term, and application number or university ID if you have one and it is relevant.
  4. Question or request: State the issue directly, then give only the context needed to explain it. Ask one clear question or request one specific action.
  5. Close: Thank the reader and sign with your full name and a reply contact. Include only the identifiers or attachments the university asks for or accepts.

Before writing, check whether the applicant portal, FAQ, or published instructions already answer your question. That can help you avoid sending a message to the wrong office or asking for information already available to you.

Example email for a routine question

This adaptable example is for a routine inquiry, not an appeal or official-document submission. Replace the bracketed details and use the contact route listed by your university.

My name is [full name], and I am a [first-year/transfer/other] applicant to [program] for [entry term]. My application ID is [ID, if available].

Appeals need a separate process

An appeal is not simply a more forceful inquiry. Before drafting one, confirm that the university permits an appeal, which grounds it considers, what evidence it accepts, the required form and recipient, the submission channel, and the deadline. A general admissions mailbox may not count as a valid appeal submission.

Use the university’s required form when one exists. In the appeal itself, identify the decision, explain specifically why you are requesting reconsideration, and connect relevant facts or new information to permitted supporting evidence. Include the application number and any other required identifiers. Send sensitive documents only through an approved channel, and retain a copy and submission confirmation.

Requirements vary by institution. Carleton asks appellants to discuss prior academic performance, steps taken to improve, extenuating circumstances and how they changed, activities since attending university, and academic and career goals. It also asks for appropriate supporting documents and the student application number: Carleton University appeal information.

At the University of Victoria, applicants must use its Notice of Appeal form and provide supporting documentation; the appeal must be sent from the email address in the applicant’s Netlink profile. Follow the current page for the applicable process rather than relying on dates or instructions from a previous cycle: UVic undergraduate admission appeals.

Official documents are different from an email inquiry

Do not assume that attaching a transcript or recommendation to your own message makes it an official submission. Penn says official materials must come directly from the school official or recommender. It prefers an available application platform for document submission and says, in that context, “It’s the fastest and most reliable way for documents to reach us.” Its guidance also distinguishes financial aid documents from its admissions document email process. Check the applicable instructions before sending records or other sensitive material: Penn Admissions submission guidelines.

Before you send: a quick check

  • Does the university’s current page direct your type of question, document, or appeal to this channel?
  • Have you identified yourself and included any relevant application number or university ID?
  • Is your request specific, courteous, and limited to necessary context?
  • Are any attachments allowed, and do official records need to come from a school official or recommender?
  • If this is an appeal, have you checked the grounds, form, recipient, evidence requirements, sender-address rules, and deadline?
  • Do you know how the university confirms or tracks receipt? Tufts, for example, directs applicants to monitor electronically submitted materials through its Applicant Status Page: Tufts Applicant Status Page.

Use the university’s specified portal or confirmation method to track receipt. Do not rely on a general response-time promise: processing and confirmation practices are institution-specific and can change.
