To write a credible reference letter for a friend, first find out what it will be used for. Introduce yourself and explain how long you have known the person, then describe one or two relevant qualities with examples you have personally observed. Keep the letter accurate, fair and focused on the recipient’s decision. If it is for court, follow that court’s local instructions rather than adapting an employment reference.
Before you start: clarify the purpose
Ask your friend who will read the letter, what decision it will support and whether the recipient has requested a particular format. An employer or organization generally needs to understand your friend’s suitability for a role or opportunity; a court reference has jurisdiction-specific expectations. If the recipient has supplied instructions or a form, use those instead of a generic format.
For a general character or employment reference, connect your observations to the opportunity. ACAS advises that references should be accurate and fair, avoid misleading or irrelevant personal information, and support opinions with evidence. What to include in a general reference letter
- Your details and the date. Include your name and a way to contact you. Add your role or occupation if it helps the recipient assess your perspective.
- A suitable greeting and purpose. Address a named recipient if you have one. Otherwise use a neutral greeting. State who you are recommending and, if known, what the application or opportunity is for.
- Your relationship to your friend. Explain how you know them and for how long. This helps the reader understand the basis and limits of your observations.
- Relevant qualities with examples. Choose one or two traits that matter to the opportunity and give brief, truthful examples you witnessed. A specific instance is more useful than a string of adjectives.
- A measured recommendation. Explain why those observed qualities make your friend a suitable candidate for this particular purpose. Do not claim knowledge or experience you do not have.
- A professional close. Offer to provide further information if appropriate, then sign off and include your name and contact details.
How to make the endorsement credible
Use firsthand examples
Instead of writing “Alex is always dependable,” describe an occasion when Alex followed through on a commitment that is relevant to the role. Keep the example concise and explain what it demonstrates. Make clear what you personally observed rather than presenting hearsay as fact.

Be selective and relevant
Choose examples that help the reader assess the stated purpose. Do not include private or sensitive details simply to make the letter more vivid, and avoid claims about matters outside your knowledge. If you cannot honestly endorse your friend for the stated purpose, decline or limit the letter to facts you can stand behind.
A practical template
Adapt this scaffold to your own experience and to the recipient’s requirements; replace each bracketed item with accurate information.

If the letter is for court
A court character reference is not simply an employment recommendation addressed to a judge. The appropriate addressee, subject matter, formality, signature, timing and copies depend on the court and jurisdiction. Check the instructions for the particular case and, if your friend has a lawyer, ask the lawyer what the court expects. Do not assume Australian guidance applies elsewhere.

Victoria
Victoria Legal Aid’s guidance says to write the reference as a letter, include the date and your contact details, address it according to the court, and sign it. It also says not to tell the court what penalty to impose.
New South Wales
Legal Aid NSW’s character-reference guidance asks referees to identify their occupation and relationship to the person, and to say what they know about the charge and plea where applicable. It cautions against false or irrelevant statements and opinions about penalty. Follow the applicable court’s own directions for the case.

Choosing the right format
