How to Write a Job Transfer Request (With an Email Example)

Name the move you want, explain your reason briefly, connect your skills to the destination, and follow your employer’s transfer process. Includes an adaptable email example.

A strong job transfer request names the move you want, gives a brief and honest reason, and shows how your experience could help in the new role. Before sending it, check your employer’s internal transfer policy: a letter or email may document your request, but it may not replace a formal application or required paperwork.

What to include in a job transfer request

Whether you are asking to move to another role, department, location, or shift, make it easy for the reader to understand what you are requesting and why. Keep the explanation professional, and share only the personal detail needed for the conversation.

  • The destination: Name the role, team, location, or shift you want.
  • Your reason: Briefly explain the motivation, such as career development, relocation, schedule needs, a personal circumstance, or a closer fit with another department.
  • Your fit: Connect one or two relevant skills, experiences, or contributions to the new position.
  • Your transition offer: Say you are willing to discuss timing and help plan a reasonable handover.
  • A next step: Thank the recipient and ask to discuss the request or learn how to proceed.

Check the internal transfer process first

Review your employee handbook, intranet, or internal job postings before choosing a format. Some employers ask employees to apply through a formal vacancy system or complete specific forms. If the policy is unclear, ask your manager or HR which channel to use and whether any eligibility or timing rules apply. There is no universal tenure, performance, notice, or approval requirement established across employers.

A request email is not necessarily the formal transfer process. For example, the UK Civil Service’s process begins after a provisional offer and includes checks, agreement on a start date, written confirmation of salary and start date, forms, and HR or payroll steps. That process applies to that employer, not to organizations generally. GOV.UK: Civil Service employee transfer

The same GOV.UK guidance tells Civil Service employees: “Do not resign when transferring from your old department – this will affect your pension and continuity of service.” Treat that warning as specific to the UK Civil Service process; do not assume it states the rule for a different employer or jurisdiction.

How to write the request

  1. Choose the right recipient and channel. Follow your employer’s policy. Depending on its process, you may contact your manager, HR, or the hiring manager for an internal vacancy.
  2. Use a direct subject line. For email, try “Request for internal transfer — [Your Name].”
  3. State your current role and requested move near the start. Identify the specific destination rather than asking vaguely to “move somewhere else.”
  4. Give a concise reason and show your fit. Be truthful, avoid criticizing your current team, and explain how your experience could contribute in the destination role.
  5. Offer to discuss timing and handover. Keep the offer realistic; the employer will determine whether and when a move is possible.

Subject: Request for internal transfer — [Your Name]

Dear [Manager’s Name],

I’m writing to request consideration for a transfer from my current role as [current role] to [specific role, department, location, or shift]. I’m interested in this move because [brief, professional reason].

In my current role, I have developed [relevant skill] and contributed to [specific example or result]. I believe that experience would help me contribute to [destination/team].

Thank you for considering my request. Please let me know a suitable time to discuss next steps.

Adjust the request to your situation

Moving to another role or department

Name the position or team and connect your existing skills to its work. If the role is posted internally, follow the vacancy’s application instructions as well as any conversation with your manager.

Requesting a different location or shift

Specify the location or shift and explain the practical reason briefly. You do not need to disclose more personal information than is necessary for the request; ask HR about any documentation or process requirements.

Raising it in a one-to-one meeting

You can raise the idea in a regular meeting, such as a monthly one-to-one, then follow up in writing if that fits your employer’s process. Keep the meeting focused on the move you are seeking, why it makes sense, and the next step—not on dissatisfaction with individual colleagues.

Email, letter, or employer form?

Use the format your employer requires. An email is practical for starting or documenting a discussion; a printed letter may suit a formal request when no standard form exists. If the employer provides an internal application or transfer form, complete it rather than treating a generic letter as a substitute. In every format, give the recipient the requested move, your reason, your relevant qualifications, and a way to discuss next steps.
