The best attendance system depends on how your employees work and how attendance feeds into payroll. For an Indian SMB that wants attendance and payroll together, start with greytHR; consider Keka for a broader HRMS, Zoho People for an existing Zoho setup, factoHR for mobile and field attendance, and Truein for multi-site biometric operations. These are best-fit recommendations, not an independently measured ranking. Confirm plan features, offline behavior, integrations, and total cost with each vendor before buying.
How to choose an attendance management system
Attendance software records and validates punches, handles corrections and approvals, and produces reports. Depending on the product and configuration, it can also manage shifts, late arrivals, absences, overtime, weekly offs, holidays, missed punches, and payroll-ready hours. Some options below are dedicated attendance tools; others are HRMS platforms with attendance as one module.
Start by identifying your required punch method, workforce locations, shift rules, payroll workflow, and connectivity constraints. A GPS punch that records location only at check-in is not the same as continuous location tracking. Likewise, an “integration” might be a native connection, an API, or simply a file export.
Selection criteria
- Attendance capture: Confirm the exact combination of mobile, web, biometric, selfie, face recognition, kiosk, QR, IP restriction, or geofencing you need.
- Shift and exception rules: Test overnight shifts, grace periods, overtime approvals, missed punches, and shift changes.
- Payroll fit: Determine whether payroll is included, connected natively, linked by API, or fed by an export that someone must review and import.
- Offline operation: Ask what can be recorded without internet, how timestamps and locations are handled, and how pending punches sync.
- Auditability and privacy: Check who can edit records, whether original punches remain visible, and how location or biometric data is accessed and retained.
- Total cost: Include subscription, employee minimums, taxes, hardware, setup, training, support, and any payroll or attendance add-ons.
For a consistent internal shortlist, score capture flexibility and shift handling at 20% each; payroll suitability at 15%; reliability and offline operation, anti-proxy controls, and reporting at 10% each; and usability, implementation support, and total cost at 5% each. greytHR is a strong starting point if attendance must work closely with Indian payroll and core HR rather than sit in a separate punch app. Its official pricing page lists an Essential plan and a Growth plan; Growth adds advanced attendance and shift management, overtime, permissions, and geofencing. The vendor also advertises a seven-day free trial. Check whether the attendance controls you need are in the quoted plan and whether your biometric devices or existing payroll process connect as expected.

2. Keka — best fit for growing companies wanting a broader HRMS
Keka’s official India HRMS page identifies time and attendance alongside payroll, core HR, performance, hiring, analytics, and professional-services automation. That breadth can suit a growing company that wants employee self-service and HR workflows around attendance rather than an attendance-only app.

3. Zoho People — best fit for existing Zoho customers
Zoho People is worth considering if your business already uses Zoho or prefers modular, per-user HR software. The official pricing page lists attendance management, biometric integrations, and time tracking in Professional and higher tiers; location tracking, IP restrictions, georestrictions, roster management, and overtime-related features vary by plan. Its attendance API documentation is relevant if you plan a custom connection.
The retrieved official price display is in US dollars, billed annually: Essential HR is US$1.25 per user per month, Professional US$2, Premium US$3, and Enterprise US$4.50. Confirm India-specific currency, taxes, minimum seats, and whether payroll requires a separate product before comparing the figures with an INR quote. 4. factoHR — best fit for mobile and field attendance
factoHR is a candidate for teams combining mobile attendance with geofencing, selfie punches, face recognition, or biometric integrations. This mix can be useful for field staff and organizations with both office and off-site workers, provided the exact method is supported in the required plan and on employees’ devices.

5. Pocket HRMS — best fit for SMEs wanting attendance plus HR workflows
Pocket HRMS appears in Indian attendance comparisons as a broader SME HRMS option, with positioning around geotagging, biometric choices, overtime rules, and HR workflows. It may be suitable where attendance needs to feed into more than a register, but the exact features and limits should be checked against the plan being quoted.

Comparison coverage positions Zimyo for remote, field, and deskless attendance, including offline operation. Offline capability is especially important where internet access is unreliable, but the label alone does not tell you whether punches, location, or only selected devices work offline.
Ask for a live outage-and-sync demonstration using the intended phones or terminals. Verify timestamp behavior, device-clock changes, duplicate reconciliation, manager visibility of unsynced records, and plan restrictions. Comparison material associates Qandle with flexible HR workflows, facial recognition, geofencing, and reporting. Those labels make it a potential match for businesses wanting attendance controls within a broader HR system, but the retrieved evidence does not establish current plan inclusions or pricing.

Truein is positioned in comparison coverage for multi-location, biometric or face-recognition attendance and contract or field workforces. A specialist approach may suit employers that need stronger identity checks across sites, but hardware, setup, and support can materially affect total cost.

Confirm supported punch methods, employee limits, wage calculations, record exports, and current commercial terms before adopting it. The page lists Premium as custom-priced and advertises a seven-day free trial. Treat the amounts as excluding applicable taxes unless the vendor confirms otherwise, and verify the current quote and plan inclusions before purchase. Zoho People’s official page displays annual USD per-user rates listed above; confirm the applicable Indian billing region, taxes, minimum seats, and any separate payroll product. For Keka, factoHR, Pocket HRMS, Zimyo, Qandle, Truein, HROne, and PagarBook, obtain current vendor pricing rather than relying on inconsistent comparison figures. Comparison pages can help identify candidates, but their prices are not a substitute for a dated quote.
Compare like with like. A per-user subscription, organization fee, minimum employee count, annual commitment, and feature bundle are different pricing models. Ask whether quoted costs include GST, biometric terminals, installation, networking, onboarding, data migration, training, support, payroll, location features, and export or cancellation assistance. The subscription price alone may understate the cost of a hardware deployment.
What to verify before signing
Run a policy-based acceptance test
- Create an employee, assign a location, manager, and shift, then mark attendance using the exact method you plan to deploy.
- Attempt a punch outside the geofence and test a legitimate punch near its boundary.
- Disable network access, make a punch, restore connectivity, and confirm synchronization and any manager-visible pending status.
- Create a night shift crossing midnight, apply a grace period, and check which workday receives each punch.
- Add overtime requiring approval; verify the calculation and approval trail.
- Submit a missed-punch correction, reject it, then approve a second request. Check whether original punches remain visible and edits are logged.
- Export attendance for payroll and reconcile working days, overtime, leave, and loss-of-pay inputs against your policy.
- If needed, test biometric hardware or a face-recognition kiosk, including device failure and employee replacement.
- Remove an employee and confirm the treatment of historical records, exports, and access rights.
- Ask what administrators can export or delete, how records are retained, and what support applies to a failed sync or payroll lock.
A pilot lasting about two weeks can cover an ordinary week, a holiday, a late shift, and a missed punch. Use your own employees and rules rather than accepting a polished standard demo.
Questions for the vendor
- Which features are included in the quoted plan, and which require an add-on or implementation partner?
- Does mobile attendance work on both Android and iOS? Is the punch timestamp created on the device or server?
- Is location captured at punch time, or does the product continuously track employees?
- How does offline punching work, including location capture, clock changes, duplicate punches, and failed synchronization?
- How are overnight shifts, split shifts, rotating rosters, holidays, weekly offs, and contractors configured?
- Can employees request regularization? Who approves it, are edits logged, and can records be changed after payroll processing?
- Is the payroll connection native, API-based, a marketplace connector, or file export/import? Which fields require manual review?
- What biometric or face-recognition hardware is supported, and are terminals, installation, maintenance, or middleware extra?
- What reports are exportable, including attendance exceptions, overtime, location totals, payroll inputs, and audit history?
- What employee notice, access controls, retention, export, and deletion options apply to location or biometric data?
- What are the implementation timeline, training, support, data migration, renewal, cancellation, and data-export terms?
Attendance controls, payroll accuracy, and employee privacy
Attendance accuracy does not guarantee payroll accuracy. Shift assignment, salary structures, leave rules, overtime approvals, and statutory settings must be configured correctly, and payroll inputs may still require review. A software claim that it supports compliance is not a substitute for the employer’s responsibility to apply current laws and policies correctly. Check that the system can preserve attendance records and provide an audit trail for wage calculations.
Biometrics, face recognition, selfies, GPS, and IP restrictions can reduce some forms of proxy attendance but cannot eliminate fraud or error. Poor lighting, camera quality, masks, disabled permissions, indoor GPS drift, or a boundary mismatch can reject legitimate punches. Keep a fair correction path and consider accessibility and employee relations before selecting a control.
Before collecting location or biometric data, establish clear employee notices, appropriate access, retention limits, and a process for export or deletion. Ask the vendor about encryption, administrator privileges, audit logs, subprocessors, data residency, and incident response, then review the current contractual and privacy documentation. A vendor feature or security statement alone does not establish that your deployment meets every legal obligation.

Shortlist two or three products based on your punch method, shifts, payroll boundary, and connectivity. For payroll-first SMB workflows, compare greytHR and Keka; for an existing Zoho environment, test Zoho People against the payroll system you actually use. For field attendance, compare factoHR with a general HRMS and verify offline operation. For multi-site biometric controls, put Truein beside a broader HRMS and include hardware and setup in the quote. Choose PagarBook over a full HRMS only when its lighter wage-oriented workflow matches your scale and record-keeping needs.
Use the same acceptance test and policy data for every vendor. The system that correctly handles your difficult shifts, corrections, payroll export, and outage scenario is a better fit than one that wins on a feature checklist alone.
