Microsoft’s free Excel inventory templates cover more than business stock. There are simple item lists, reorder-focused sheets, warehouse records, equipment registers, personal-asset trackers, and household-content inventories.
The best choice depends on what you are counting. A small online seller needs quantity, supplier, and reorder fields; a household documenting belongings for insurance needs descriptions, values, serial numbers, and photos. These seven Microsoft templates are useful starting points, but you should inspect their columns and formulas before relying on them for financial or insurance records.

1. Inventory list with highlighting
Open the Inventory list with highlighting template.
This is the most flexible option when you want a conventional inventory list with visual cues. It may suit a small side business, craft inventory, pantry, or collection where certain entries need to stand out.

Do not assume that the highlighting automatically represents your definition of “important.” After opening the workbook, review Home > Conditional Formatting > Manage Rules. Check which cells the rules apply to and whether the criteria match your needs. For example, a quantity warning based on a value below 10 is not appropriate if one product should be reordered below 25 and another below 3.
2. Warehouse inventory
Open the Warehouse inventory template.
Choose this one when the physical storage location matters. It is a better starting point than a generic list for a seller, club, charity, or small company holding goods in shelves, bins, rooms, or separate warehouse areas.
Add a consistent location code rather than entering descriptions such as “back left shelf” or “near the door.” A system such as A-03-B-02 can mean aisle A, rack 03, bin 02. That makes filtering and stock counts less ambiguous. If you keep stock in multiple places, use one row per item-location combination or add a separate location column and decide on one approach before entering data.

This is the strongest pick when the main question is, “What do I need to buy next?” Microsoft’s inventory guidance describes reorder highlighting through conditional formatting and calculation formulas. That can save setup time, but the workbook’s starting thresholds may not fit your suppliers, sales rate, or cash-flow limits.

A practical set of columns is:
- Quantity on hand
- Reorder level
- Target stock level
- Supplier
- Unit cost
- Suggested order quantity
A simple suggested-order formula could be =MAX(0,TargetStock-QuantityOnHand). If the sheet uses different column names, adapt the references rather than copying this formula unchanged. Also distinguish between stock that is low and stock that is already ordered; otherwise you may buy twice.
4. Inventory list
Open the Inventory list template.
This is the safest general-purpose starting point if you do not need warehouse-specific or asset-specific features. For a small business, use it for a product register. For personal finance, it can track items you lend out, supplies you resell, or possessions that do not need detailed asset records.
Useful columns include Inventory ID, item name, quantity, unit cost, supplier, SKU or barcode, and location. Keep the ID stable even when the item’s description or supplier changes. If you need a total-cost view, add a column with =Quantity*UnitCost using the actual cell references in your sheet.
5. Personal asset inventory
Open the Personal asset inventory template.
Use this for personally owned assets rather than quantities of merchandise. It can help you maintain records for laptops, cameras, bicycles, jewelry, instruments, or other valuable property.
For each item, consider recording the asset tag, manufacturer, model, serial number, purchase date, purchase price, owner, status, and current location. Add a link or filename for the receipt, warranty, appraisal, or photograph. A spreadsheet entry without evidence may be difficult to use when making an insurance claim or checking a warranty.

Purchase price is not necessarily current replacement value. If the purpose is insurance documentation, add separate columns for purchase price, estimated current value, and replacement cost. Do not overwrite the original purchase price when updating an estimate.
6. Equipment inventory list
Open the Equipment inventory list template.
This fits equipment that must be identified, assigned, and maintained. It is more useful than a simple stock list when the same item is not consumed or sold but remains in service.
Add assigned user, condition, maintenance date, next service date, and maintenance notes. For business equipment, also record whether the item is in service, in storage, under repair, loaned out, or disposed of. These status values make the sheet easier to filter than free-text descriptions.
7. Inventory of home contents
Open the Inventory of home contents template.
This is the most relevant choice for a room-by-room household record. It can support moving plans, decluttering, estate organization, and insurance documentation.
Useful additions include room, category, quantity, purchase date, replacement value, serial number, receipt reference, and photo filename. Photograph high-value items alongside identifying details, and store a backup of the workbook and images somewhere other than the home computer.

Microsoft lists this separately from templates called “Home inventory,” “Home contents inventory list,” and “Probate inventory.” Choose based on the record you need: general household contents are different from a legal probate schedule or a business stock ledger.

Excel for Windows or Mac
- Open Excel.
- Select File > New.
- Search for inventory.
- Select a template to preview it.
- Select Create.
Microsoft’s catalog can change names and availability, so searching inside Excel may show a different selection from an older screenshot or bookmarked Office.com page.
Excel for the web
- Go to Microsoft’s Excel inventory template page.
- Select Excel from the product drop-down if necessary.
- Open the inventory template you want.
- Select Edit.
- Replace the sample values and names with your own information.
Excel for the web requires a Microsoft account, and the workbook is stored online through services such as OneDrive. Browser edits save automatically, so keep an original copy before making major changes.

- Save a clean copy. Use File > Save As and give the working file a clear name such as
Home-Contents-2025.xlsxorStock-Register.xlsx. - Define one row. Decide whether a row means one product type, one serial-numbered item, or one item-location combination.
- Replace sample data. Delete examples rather than leaving them mixed with real records.
- Check formulas. Change one test quantity and confirm totals, warnings, and reorder indicators respond correctly.
- Use consistent values. Enter locations, statuses, and suppliers consistently so filters work.
- Protect sensitive information. A home inventory can reveal valuables and addresses; restrict sharing and use a secure backup.
- Schedule counts or reviews. A reorder warning is only useful if the quantity on hand is updated after sales, purchases, returns, damage, or disposal.
Important Excel limitations
These workbooks are starting points, not full inventory-management systems. They may not include barcode scanning, purchase-order workflows, multi-user controls, audit history, or automatic synchronization with an online store.
Excel for the web also does not run macros. Some files containing VBA projects or XML maps cannot be edited fully in the browser. Protected worksheets, external-data tables, digital signatures, some charts, and other features can behave differently online. If Excel shows an unsupported-feature warning, choose Open in Excel or Edit a Copy and use the desktop application.
