You access the main Office apps by signing in through a browser at Microsoft 365. Your files can be stored in the school’s Microsoft 365 environment, although the available storage is subject to current education limits and your institution’s configuration.
Does free Office 365 include desktop Word and Excel?
Usually, no. This is the most important distinction between the free A1 plan and paid or institution-funded education plans.
Office 365 A1 is primarily a web-app license. You can use Word, Excel, and PowerPoint in a browser, but you generally cannot install the full desktop versions on a Windows PC or Mac. If your account does not show an Install Microsoft 365 button, that often means your license is web-only.
Microsoft lists desktop Office installation as a feature of Office 365 A3. Under Microsoft’s education plan comparison, A3 users can install Office on up to five PCs or Macs, five tablets, and five phones. A5 also includes desktop apps along with additional security, compliance, communications, and analytics features.

The A3 and A5 figures are academic institution licensing prices. They are not necessarily prices an individual student can pay directly. Microsoft directs schools and other institutions toward a sales partner for those plans.
Who qualifies for free Office 365 Education?
You generally need all of the following:
- Enrollment at a qualified school, college, university, or other educational organization.
- A school-issued email address that Microsoft can associate with the institution.
- A school that has been verified or recognized as an eligible academic organization.
A school email address ending in .edu is not an automatic guarantee. Microsoft checks the institution and its domain. A school may use a different domain, while a valid-looking academic email can still be rejected if the institution has not been verified or the address is not the one used for Microsoft 365 access.
How to sign up for free Office 365
- Go to Microsoft’s Office 365 Education page.
- Select Get started for students.
- Enter your school email address.
- Follow Microsoft’s eligibility-verification prompts.
- Sign in with your existing school account or complete the account setup if Microsoft asks you to create one.
If your school already uses Microsoft 365, you may be sent to the school’s existing Microsoft sign-in page rather than being given a separate subscription. In that situation, your school’s IT department may need to assign you a license or enable specific services.

What if Microsoft rejects the school email address?
First, make sure you used the address intended for Microsoft 365 access. Some schools issue multiple addresses, and only one may be connected to the institution’s Microsoft tenant.

- The email domain does not match the institution’s verified domain.
- The school already manages student access through its own Microsoft 365 sign-in process.
- Your enrollment or student status cannot yet be confirmed.
Contact your school’s IT help desk or student technology office. They can tell you whether the school participates in Microsoft 365 Education and whether you should use a particular login page.
Microsoft says automated verification is often immediate. If additional institutional review is required, Microsoft’s public education FAQ says confirmation can take up to one month. Microsoft Learn gives a more specific estimate of up to 10 business days after Microsoft requests additional information for manual academic-eligibility review. Neither timeframe is a guarantee.
How much is Microsoft 365 for students?
There are two different offers that are easy to confuse.
Office 365 Education A1: free through an eligible school
This is the free education plan. It is linked to your school and normally gives you web-based Office apps. You do not generally buy A1 as an individual consumer subscription.
Microsoft 365 Personal: paid student offer
Microsoft separately lists a student discount for Microsoft 365 Personal. Its current student-pricing page describes a price of $4.99 per month after a 50% discount, subject to college or university enrollment verification.

This is a personal Microsoft account subscription, not a school-managed Office 365 A1 account. The offer includes desktop Office apps and 1 TB of personal OneDrive storage. Microsoft requires payment information, and the subscription can continue billing according to its terms unless canceled.
The typical signup process is:
- Select Sign up on Microsoft’s college student pricing page.
- Use or create a personal Microsoft account.
- Add payment information.
- Submit a college email address or other enrollment evidence for verification.
- Complete the order after Microsoft confirms eligibility.
What about Microsoft’s free 12-month Premium promotion?
Microsoft’s Education landing page currently promotes a limited-time offer for 12 months of Microsoft 365 Premium at no charge for students using a college email address. However, Microsoft’s dedicated student-pricing page separately describes the $4.99-per-month Microsoft 365 Personal offer.
That means students should not assume that every applicant receives a free year of Premium. Promotions can depend on country, account, enrollment status, timing, and checkout availability. Review the offer shown during your own signup and read the terms before entering payment details.
How long does free student Office access last?
Microsoft says education access generally continues while you are enrolled in, or working for, a qualified educational organization. Microsoft may ask you to verify eligibility again.
Graduation or withdrawal can end access. When the education plan expires:
- Installed Office apps, if you had another license that allowed installation, can enter reduced-functionality mode.
- Existing documents may be viewable, but you may be unable to create new documents or edit existing ones in the desktop apps.
- Office for the web and school-connected OneDrive services can stop working.
- You may need to reverify eligibility or move to a personal Microsoft 365 plan.
Your school account and its OneDrive storage belong to the school’s Microsoft 365 tenant. Before graduation or leaving the school, copy personal documents to a personal storage account and update any services that use your school email address.
How much OneDrive storage comes with free A1?
Older articles often say that Office 365 A1 includes 1 TB of OneDrive storage. That information is outdated for current free A1 users.

Microsoft’s current education plan comparison says that, effective February 1, 2024, free Office 365 A1 users are limited to a maximum of 100 GB of OneDrive storage per user, subject to the school tenant’s pooled-storage limits. Check your school’s storage policy before treating the account as a permanent backup location.
