How Accounts Receivable Automation Works: From Invoice to Payment Reconciliation

Accounts receivable automation connects invoices, payment information, accounting entries, and bank activity. Learn how matching, cash application, and exception review fit together.

Accounts receivable (AR) automation links invoice, payment, and accounting data so a business can identify incoming cash, apply it to the right open invoices, and check its records against bank activity. The workflow usually runs from issuing an invoice through payment intake, matching, posting, exception review, and bank reconciliation—but each step can be automated or left for staff, depending on the system and its configuration.

How does accounts receivable automation work?

AR automation is a connected workflow, not simply automated invoice reminders. It typically moves information between a billing or accounting system, payment channels, and the bank. A standard process looks like this:

  1. Create and send the invoice. The billing or accounting system records the amount due as an open receivable on the customer account. SAP describes invoice creation as creating an open item that can later be cleared by a payment. SAP’s clearing-process documentation.
  2. Receive payment information. The business may receive customer remittance advice, a lockbox file, an imported bank statement, or data from a bank feed. Remittance advice indicates which invoices a customer intends to pay; bank records show the transaction received. The two can differ, so they are not interchangeable.   3. Extract and prepare payment details. Software can extract fields from advice documents, lockbox files, or email attachments, then convert them into the formats an accounting or billing system expects. Bank-statement imports can provide transaction data directly to an accounting workflow. Microsoft’s Business Central bank-reconciliation guide.
  4. Identify the payer and match invoices. Matching tools compare details such as payment text, customer or bank-account identifiers, and open-invoice data. Some systems also use machine-learning proposals informed by previous accountant decisions. SAP’s clearing-process documentation.
  5. Apply cash and create accounting entries. When a match meets the system’s rules, the software may create a payment journal and settle the associated open invoice. Depending on configuration, it may post and clear the match automatically or present it for review first. A payment can also be recorded without clearing an invoice, so a recorded receipt does not necessarily mean the receivable is settled. Microsoft’s cash-application documentation.
  6. Investigate exceptions. Missing references, amount differences, currency mismatches, uncertain payer identity, or invoices that cannot be found can stop automatic application. The system may hold these records for staff to investigate or require approval before posting. Salesforce’s payment-reconciliation documentation.
  7. Reconcile accounting records to the bank. After payments are applied, the business compares accounting entries with bank statement transactions. This checks that the recorded activity agrees with what reached the bank. Microsoft’s Business Central bank-reconciliation guide.

How are payments matched to invoices?

Matching software looks for enough information to connect a payment to a customer and one or more open invoices. Depending on the workflow, it can use payment references and text, customer or bank-account identifiers, invoice details, configured matching rules, and proposals based on prior human decisions. The exact signals and thresholds are product- and configuration-specific; vendor documentation does not establish one universal matching method.

When the evidence meets configured criteria, a system may recommend or make the match. Whether it then posts the accounting entry and clears the invoice automatically is a separate setting or workflow decision. For example, SAP documents a cash-application process that passes payment and invoice information to a matching engine, while Microsoft documents cash-application functionality that can support payment matching. What happens when a customer pays several invoices at once?

A single receipt can be matched across multiple open invoices when the payment information identifies the invoices and the system can apply the amounts. The software may propose how to distribute the payment, while staff review the proposal if references or amounts are unclear. After the allocation is accepted or automatically posted, the accounting records can reflect which invoices were settled and whether any balance remains. Why payment advice, cash application, and reconciliation are different

These stages establish different facts. A customer’s remittance advice communicates what the customer says it is paying. A bank statement or payment proof confirms a transaction received by the bank. Cash application connects a receipt to customer and invoice records. Posting records the accounting entry; clearing marks the corresponding receivable as settled. Bank reconciliation checks that accounting activity agrees with bank activity. A suggested match, an unallocated receipt, and a reconciled bank transaction are therefore not the same outcome. What to check when evaluating an AR automation workflow

  • System ownership: Identify which platform holds customer identities, open invoices, and accounting entries, and how payment data reaches it.
  • Payment inputs: Check whether the workflow can process the inputs your business actually receives, such as bank statements or feeds, lockbox files, remittance advice, and email attachments.
  • Matching and allocation: Ask which identifiers and rules are used, whether the system proposes matches from historical decisions, and how it handles one payment covering several invoices.
  • Posting controls: Confirm whether matches are recommendations, require review, or can post and clear automatically. Check whether staff can preview proposed applications before posting.
  • Exception handling: Establish how short payments, overpayments, missing references, currency differences, and unmatched transactions are routed and resolved.
  • Evidence and audit trail: Confirm whether staff can trace source payment information through match decisions, journal entries, and bank-reconciliation status. The product documentation cited here does not establish a uniform audit-evidence standard, so verify the details for the specific implementation.
  • Product and licensing fit: Requirements vary. Salesforce’s documented payment-reconciliation workflow has edition and Revenue Cloud Billing license conditions; Microsoft Finance features can depend on version or feature flags. Where automation stops and people step in

Human review remains important when the available information does not support a reliable match or when the proposed accounting treatment needs judgment. Common triggers include incomplete remittance details, an amount that differs from the invoice, an unidentified payer, or a transaction that cannot be tied to an open receivable. The reviewer may need to obtain clarification, correct customer or invoice data, allocate the payment, or leave it unapplied until its purpose is known. A well-designed workflow makes these exceptions visible rather than treating every incoming payment as an automatically settled invoice.
