Alternatives to Accounts Receivable Automation Software for Small Businesses

A dedicated AR automation system is not the only option. Compare accounting software, payment processing, specialist apps, and disciplined manual tracking by the receivables tasks you need covered.

You may not need a dedicated accounts receivable (AR) automation system. For many small businesses, the simplest dependable setup is invoicing inside accounting software, adding a payment service or specialist AR app only for the tasks the accounting platform does not handle, or tracking a small and uncomplicated workload manually. Choose by identifying where invoices get stuck: sending, reminders, accepting payment, matching payments, or keeping the books accurate.

What counts as accounts receivable automation?

AR automation is not one feature. It can cover several steps between issuing an invoice and recording the money in your accounts:

  • Creating and sending invoices.
  • Tracking what is due, overdue, or paid.
  • Sending payment reminders or managing invoice chasing.
  • Accepting customer payments.
  • Matching receipts to invoices and updating accounting records.

Before replacing software, list which steps cause delays or errors. A payment processor, for example, addresses payment acceptance; that alone does not establish that it handles reminders, collections, aging reports, or reconciliation. Compare the four practical alternatives

There is no established universal invoice-count threshold for when manual tracking stops being suitable. Likewise, the available product descriptions do not provide a neutral feature-by-feature or normalized price comparison. Evaluate the options against your own workflow and usage rather than relying on a generic ranking.

Option 1: Use invoicing in your accounting software

This is a sensible first option when you want ordinary invoicing and accounting records in one system. Xero describes invoicing as part of its accounting platform, while QuickBooks describes creating invoices, accepting online payments, and organizing financial records in its invoicing workflow. These are vendor feature descriptions, not independent comparative evaluations: Xero’s invoicing guide and QuickBooks invoicing.

When this route fits

  • Your invoice process is straightforward and the current platform can cover the steps you actually need.
  • You value keeping invoices and accounting records together.
  • You can accept the platform’s available reminder, payment, and reconciliation workflow.

What to verify before switching or upgrading

  • Whether the features you need are included in the plan available to your business.
  • Whether customers can pay using methods and currencies that work for your business.
  • How invoice payments are recorded and matched in the accounting ledger.
  • What customer, invoice, and payment history can be migrated from your current system.

Option 2: Keep your accounting platform and add payment processing

A payment service can make it easier for customers to pay an invoice online while leaving your accounting platform in place. Xero describes online invoice payments through services including Stripe. See Xero’s online payments information for its description of that workflow.

Treat a processor as a payment component unless current product documentation confirms that it also covers the other AR jobs you need. Check supported payment methods and regions, fees, how payments sync to your ledger, and what happens when a payment is partial, reversed, or difficult to match. Do not assume that enabling online payments automatically adds collection reminders or comprehensive receivables reporting.

Option 3: Add a specialist AR app for the missing steps

If invoicing works but staff spend too much time chasing overdue invoices or arranging repeat payments, a specialist app may fill that gap without replacing the accounting system. Xero’s marketplace collection describes AR apps that extend built-in invoicing with features such as reminders, invoice chasing, synchronization, and automatic customer bank debits. The available functions depend on the individual app; consult the Xero AR app marketplace and the provider’s current documentation.

Questions to ask before connecting an app

  • Does it connect to your accounting platform and your specific plan?
  • Which records sync, and in what direction? Confirm how invoice edits, payments, and customer details are handled.
  • Can you set or control reminder timing and wording?
  • Does it support your customers’ locations and preferred payment methods?
  • How are failed payments, duplicate records, and sync errors surfaced and corrected?
  • What is the total cost at your actual usage, and what happens if you disconnect it?

Marketplace availability and product capabilities can change. Verify current integration behavior, plan requirements, geography, and terms before committing.

Option 4: Track a simple workload manually

Manual tracking can be workable when the receivables process is uncomplicated and someone reliably owns each follow-up. It is not automatically cheaper or safer: the right choice depends on the time spent maintaining records, the risk of missed reminders, and how difficult it is to reconcile payments.

Use a controlled register in a tool your business can maintain, and include these fields for every invoice:

  • Invoice number and customer.
  • Issue date, due date, and amount.
  • Status, such as sent, due, overdue, partly paid, or paid.
  • Payment date and any remaining balance.
  • Next follow-up date and the person responsible.

Set a regular schedule to review due and overdue invoices, record each customer contact, and reconcile recorded payments against the accounting ledger and bank activity. Keep an audit trail for corrections rather than silently overwriting invoice or payment history.

How to choose without overbuying

  1. Map the workflow. Follow one invoice from creation through payment recording and mark the steps that cause delays, errors, or repeated manual work.
  2. Check what your current accounting platform already does. Confirm the applicable plan, payment options, reminders, reporting, and reconciliation behavior with the provider.
  3. Add only the missing capability. Use a payment service for payment acceptance, or consider a specialist AR app when chasing or other receivables tasks are the actual bottleneck.
  4. Compare the whole workflow. Consider ledger and bank-feed integration, follow-up effort, payment methods and regional availability, reconciliation and error correction, migration, access controls, recordkeeping, and total cost at your actual usage.
  5. Test the process before relying on it. Check a representative invoice through sending, payment, matching, and correction of an error; confirm staff know who owns exceptions and overdue follow-ups.
