Best Time Management Skills: Plan Realistically, Prioritize, and Follow Through

Manage time more effectively by setting priorities, planning the whole week realistically, leaving room for interruptions, and reviewing what changed.

Better time management starts with choosing what matters and matching it to the time you actually have—not filling every open hour. Set a few goals, map fixed commitments and deadlines, break large tasks into steps, and build a weekly plan with room for meals, sleep, interruptions, and rest. Then choose achievable daily outcomes and use a brief review to improve the next plan.

What time management can—and cannot—do

Time management is a way to make deliberate choices about limited time. It can help you protect attention for important work, remember commitments, and see when a plan exceeds your capacity. It cannot create more hours or guarantee a particular result.

A 2021 meta-analysis in PLOS ONE found moderate relationships between time management and job performance, academic achievement, and well-being, alongside a moderate negative relationship with distress. These are associations, not proof that planning alone causes better outcomes for every person. Read the meta-analysis.

How do I manage my time better?

1. Choose a few goals and map fixed commitments

Start by writing down a small number of goals for the period you are planning—such as a week, a course term, or a work project. Add immovable commitments and firm deadlines to a calendar before you assign time to flexible work. Harvard’s Academic Resource Center recommends this sequence for students: set goals, map deadlines, break goals into steps, and prioritize when everything cannot fit. 2. Break goals into calendar-sized steps

Replace vague tasks such as “work on report” with actions that have a visible endpoint: “outline the report,” “check the figures,” or “write the first section.” Estimate how long each step may take, then place it in an available block. If the steps exceed the time left after fixed commitments and essentials, decide what to defer, reduce, or ask for help with. A schedule cannot resolve a capacity problem by compressing every task.

3. Plan the whole week, not just work hours

Block out classes or meetings, work, routine errands, meals, exercise, sleep, free time, and some unassigned buffer. Harvard suggests trying hour-long or 30-minute blocks as options, not as rules; choose a level of detail you can maintain. A paper calendar, weekly template, or electronic calendar can all work—the useful format is the one you can access and revise.

Be cautious about assuming next week is unusually open. In the American Psychological Association’s 2013 article, procrastination researcher Timothy A. Pychyl says, “One of the biggest myths when it comes to time management is that next week always looks free.” The article also describes a planning-fallacy pattern: people may overestimate the time short tasks will take while underestimating longer projects. Treat estimates as estimates, especially for unfamiliar or multi-step work. Read the APA article.

4. Set daily outcomes you can actually complete

At the start of a workday, choose a manageable set of concrete tasks and assign them to the blocks you planned. Decide what you will do during each focused block rather than relying on a general intention to “be productive.” At the end of the day, note what was completed and what was not. Use the reasons—an interruption, an inaccurate estimate, or an unclear next step—to revise tomorrow’s plan.

How do I make a realistic weekly schedule?

  1. Enter fixed commitments first. Add deadlines, appointments, shifts, classes, and meetings.
  2. Protect essentials. Reserve time for sleep, meals, travel, exercise, and necessary household or personal routines.
  3. Schedule priority work. Put important steps into blocks when you are likely to be able to focus, rather than leaving every major task for leftover time.
  4. Include routine tasks and recovery. Give recurring chores and administrative work a place, and keep free time visible instead of treating it as spare capacity.
  5. Leave slack. Keep some time unassigned so a delay or interruption does not force the rest of the week to collapse.
  6. Review and revise. At week’s end, compare the plan with what happened. Adjust task estimates, block sizes, and priorities for the next week.

Harvard’s guidance is aimed at students, so its examples include classes and academic deadlines; the same planning sequence can be adapted to work or personal commitments. A 2019 exploratory Harvard Extension School study surveyed 109 adult students and identified three factors in time management: “Satisfaction with Time Use,” “Monitoring and Evaluating,” and “Planning and Prioritizing.” Its context-specific sample is not a population-wide finding, but it underscores that planning and checking how time was used are distinct parts of the process. How do I plan for interruptions?

Do not assume a calendar block will remain uninterrupted. Leave buffer around work that is time-sensitive, and decide in advance what can move if an urgent request arrives. It can also help to keep a fallback task—something useful that can be done in a shorter or less focused window—so a disrupted block does not become wasted time.

A 2018 Journal of Applied Psychology study used a two-week experience-sampling design to distinguish ordinary time-management planning, such as listing and prioritizing tasks and deciding when and how to do them, from contingent planning for interruptions. Its abstract reports that frequent interruptions weaken the benefits associated with ordinary planning and examines contingent planning as a response. That finding supports planning for disruption, not a guarantee that any one buffer strategy will work for everyone. Read the study abstract.

How do I stop procrastinating?

First identify what is making the task hard to start. It may be unclear, too large, emotionally unpleasant, or unsupported by a reliable routine. Make the next action small and concrete—for example, open the document and draft three bullet points—then choose a cue or recurring time that helps you begin.

Harvard Business Review author Alice Boyes, PhD, describes procrastination as involving at least three possible contributors: weak habits or systems, difficulty tolerating emotions such as anxiety or boredom, and unhelpful thinking patterns. Her article is expert guidance, not a diagnosis, and the causes will not be identical for everyone. Read Boyes’s discussion of procrastination.

  • If the task is unclear: write the next physical or digital action, not just the desired outcome.
  • If it feels too large: split it into steps that fit a work block and start with one.
  • If you are avoiding a feeling: acknowledge the discomfort and make a limited start rather than waiting to feel fully motivated.
  • If you keep forgetting to begin: attach the task to a repeatable cue, such as a particular time or the end of a regular meeting.

How to tell whether your system needs adjusting

A plan is a working forecast, not a test of character. If tasks repeatedly slip, look for a pattern before adding more pressure. Are estimates consistently short? Are there too many priorities? Are interruptions consuming the blocks? Is the next action unclear? Change the schedule or the task design in response to what you observe. If the full workload still does not fit, prioritize, defer, reduce scope, or seek help rather than pretending the calendar has more capacity than it does.
