There is no universal winner between BambooHR and OrangeHRM. The better fit depends on the HR workflows you need, your location and employee count, whether you want cloud or on-premises deployment, and the full cost of the features, support, and implementation you will actually use. OrangeHRM offers a free open-source Starter edition and a quote-priced Advanced edition; BambooHR’s published pricing guidance describes per-employee pricing, with a separate flat-rate rule on its UK FAQ for organizations with 25 or fewer employees.
How BambooHR and OrangeHRM differ
Both are HR software options, but their published pricing information points to different buying paths. OrangeHRM explicitly distinguishes a free, open-source Starter edition from its enterprise-grade Advanced edition. BambooHR’s pricing materials describe a per-employee, per-month model and advise buyers to account for possible feature fees. Those descriptions are not enough to establish that similarly named or priced options include the same functions or services.
OrangeHRM’s product materials describe employee management, leave, attendance, reporting, time tracking, scheduling, and mobile app functions. Its pricing page also lists cloud and on-premises deployment among the comparison areas. These are vendor descriptions, not a guarantee that every capability is included in every edition or configuration. Verify the specific package and deployment terms you are offered.
Compare the editions and pricing fairly
OrangeHRM Starter and Advanced
OrangeHRM describes Starter as its free, open-source version for small businesses, and Advanced as its enterprise-grade offering. Advanced is priced per employee per month, with prospective buyers asked to request a specific quote. The published page does not establish a current dollar amount, so obtain a quote rather than relying on an assumed rate. OrangeHRM pricing and its product homepage describe the editions and functions.

Do not treat Starter as equivalent to a paid service simply because its software is free. Establish what hosting, support, onboarding, maintenance, and implementation responsibility apply to the exact option you intend to use.
BambooHR pricing and regional terms
BambooHR’s buyer guide describes per-employee, per-month pricing and advises buyers to consider charges per employee or user and fees for additional features. The BambooHR UK FAQ separately says organizations with 25 or fewer employees pay a monthly flat rate. That is a UK-specific statement; do not assume it applies in other markets or remains applicable to your quote without confirming it with BambooHR. See its pricing information and ask which current package and charges apply to your location and headcount.

Build a like-for-like quote
Ask both vendors to price the same employee count, location, required workflows, and contract period. Include the total cost of the modules and services your organization needs—not just a starting rate or software license.
- Required modules and any per-employee, per-user, or add-on fees
- Hosting, including who operates and maintains an on-premises installation if applicable
- Data migration, onboarding, implementation, and training
- Support coverage and service commitments
- Required integrations and any related charges
Choose based on the work your HR team needs to do
Employee records, leave, time, and reporting
OrangeHRM’s vendor materials explicitly describe employee management, leave, attendance, time tracking, reporting, and scheduling. Check the edition-level details before assuming a particular function is included. For BambooHR, request a current plan-by-plan feature list; the available published pricing guidance does not establish a complete feature matrix that can be compared reliably against OrangeHRM.

Payroll, benefits, onboarding, and performance
Write down the exact workflows you need, including onboarding or recruitment, performance, and any payroll or benefits connection. Confirm each workflow’s availability, regional scope, and plan inclusion with both vendors. In particular, a payroll connection is not the same as a claim that a particular payroll service is available in every country.
Integrations and data handling
List the systems the HR platform must connect to, such as payroll, identity and authentication, or learning tools. Ask each vendor to confirm the exact integration, setup requirements, availability for your region and edition, and any additional fees. Also review your organization’s data-handling and security requirements against the configuration being quoted.

When OrangeHRM may be the better fit
OrangeHRM is worth evaluating if a free, open-source Starter edition or the option of on-premises deployment is important to your decision. Its published materials also provide explicit descriptions of several core HR functions. Those advantages only resolve part of the choice: determine which edition meets your workflow and support needs, who owns hosting and maintenance, and what implementation will require.

BambooHR may suit your organization if its current package and quote cover the workflows, integrations, regional requirements, and service commitments you need. Its published pricing guidance gives buyers a per-employee model to investigate, while the UK FAQ notes a different flat-rate arrangement for smaller organizations in that market. Neither fact alone determines which vendor will cost less or provide a closer feature fit for your organization.

A practical decision checklist
- Define scope: List the HR workflows, employee count, locations, and systems that must be supported.
- Verify package inclusion: Ask each vendor to map every required capability to the specific edition or plan in the quote, including regional payroll or benefits scope where relevant.
- Set deployment expectations: Confirm cloud or on-premises availability for the selected option, plus responsibility for hosting, maintenance, and security configuration.
- Compare services: Ask what onboarding, migration, implementation, training, and ongoing support are included, and what costs extra.
- Compare total cost: Request written quotes for the same headcount, location, modules, integrations, and service requirements.
- Check fit before committing: Review contract terms and data handling, and confirm that the chosen configuration meets your requirements.
Bottom line
Choose between BambooHR and OrangeHRM by comparing a specific configuration and written quote against your HR requirements—not by treating a free open-source edition, a per-employee price, or a regional flat rate as directly equivalent. The current materials establish useful starting points, but not a universal winner or a complete matched feature and cost comparison.
