Securing event sponsorship is a cycle: find organizations that fit, understand what they want, make a tailored offer, agree on what each side will deliver, and report results that can support renewal. These eight tips help event organizers build sponsor relationships around clear value rather than a generic package.
1. Find sponsors that fit your event
Start with organizations whose objectives, values, and target audiences overlap with your event. A likely fit is not simply a company with a large marketing budget; it is one that can plausibly benefit from the audience or experience your event offers.
Research each prospect’s website, current activities, past sponsorships, and any published sponsorship guidelines. The New South Wales Government guide to finding event sponsors recommends researching prospective sponsors before approaching them. This helps you focus on prospects with a credible reason to consider the opportunity.
2. Learn what the prospect wants before pitching
Use an introductory conversation to ask what the organization hopes to achieve through sponsorship. Its priorities might include reaching a particular audience, creating an in-person experience, building relationships, or improving brand awareness. Listen before choosing benefits to offer.

A short teaser or event overview can open the conversation without overwhelming a prospect with a full proposal too early. Ask about its objectives, audiences, timing, decision process, and any sponsorship requirements. The NSW guidance recommends using an initial overview to start that discussion.
3. Make each sponsorship proposal specific
A proposal should show how this event could serve this prospect’s objectives. Include:
- A concise description of the event and its organizer.
- The intended audience and the evidence available about its size and characteristics.
- The sponsor benefits you can actually deliver, and how they connect to the prospect’s goals.
- The cash contribution or in-kind support requested.
- How the parties will assess whether the sponsorship met its objectives.
The NSW Office of Sport’s sponsorship proposal guidance also emphasizes explaining the opportunity, benefits, investment, and evaluation. Avoid sending an unchanged package to every prospect: tailor the offer and requested support to what you learned.

4. Use credible evidence about your audience
Audience information helps a sponsor judge whether the event is relevant to its target market. Where you have reliable data, include expected attendance and relevant audience characteristics, and explain how they connect to the sponsor’s aims.

State how an estimate was developed, and do not inflate attendance projections or imply that you collected demographic information you do not have. If your data is limited, say so and focus on the evidence you can support.
5. Offer benefits the event can deliver
Benefits may include event activations, signage, publicity, hospitality, networking opportunities, or association with the event’s image. Choose them according to the sponsor’s objective and your event’s actual capacity. A benefit that is difficult to deliver or irrelevant to the sponsor weakens the offer.

If you present several package options, compare them by what the sponsor gets and what the organizer must do—not just by tier name. Consider audience fit, visibility or access, cash or in-kind value, fulfillment effort, capacity and exclusivity limits, and how delivery can be evidenced. The cited guidance supports tailored offers, but does not establish universal package prices or standard tiers.
6. Agree on objectives, measures, and obligations in writing
Before delivery begins, agree on the sponsorship objectives and how success will be assessed. Put the requested contribution and the organizer’s promised benefits in a written agreement, with clear responsibilities and reporting expectations. Define what counts as delivery—for example, where signage will appear or what publicity is included—so both sides can verify the commitment.

7. Service the sponsor throughout planning and delivery
Assign a named liaison who can coordinate questions, approvals, and updates. Keep a timeline of key meetings, decisions, deadlines, and sign-offs, and share progress at agreed intervals. Make the sponsor’s objectives and the promised benefits visible to the staff or vendors responsible for fulfilling them.
Before and during the event, check that agreed benefits are delivered. If a change is needed, contact the sponsor promptly, explain the issue, and agree on an appropriate alternative rather than leaving a commitment unfulfilled without discussion.

After the event, send a report tied to the measures agreed in advance. Depending on the sponsorship, useful evidence might include attendance, audience characteristics, digital engagement, feedback about brand experience, or sponsor-name recall. Report only data you actually collected, explain its limits, and distinguish results from estimates.

Use the report and a follow-up conversation to ask what worked for the sponsor, what should change, and whether there is a suitable next opportunity. Specific delivery records and outcome evidence give both parties a more useful basis for deciding whether to renew or revise the arrangement.
How to choose between sponsorship offers
When deciding which benefits or package structure to propose, weigh the sponsor’s objectives against your event’s audience and capacity. A high-visibility placement may not be the best offer if the sponsor needs direct engagement; a benefit that looks attractive on paper may also consume more staff time or space than the event can provide.
- Fit: Does the benefit reach the sponsor’s intended audience or support its stated goal?
- Value and effort: What cash or in-kind contribution is requested, and what does fulfillment cost in money, time, or resources?
- Capacity and exclusivity: Can the event deliver the benefit, and would exclusivity limit other commitments?
- Evidence: Can you document that the benefit was delivered and assess the agreed outcome?
There is no universal price or package structure established by the cited guidance. Set terms around the particular event, sponsor objectives, and deliverables the organizer can credibly provide.
