What Indian Exporters Need to Know About Receiving Foreign Payments and Compliance

A practical guide for Indian exporters on permitted payment routes, third-party payers, AD-bank coordination, EDPMS and eBRC reconciliation, and overdue export proceeds.

Indian exporters should agree on a receipt route with their Authorised Dealer (AD) bank before invoicing, then reconcile every incoming payment to the export record. The route depends on the destination country, transaction type, currency and payer—not simply on which payment method is convenient. The applicable realization deadline also needs checking: an RBI page for 2025 directions says it supersedes earlier directions, but its displayed issuance date is incomplete, so older deadline figures should not be treated as confirmed current rules.

How do I receive foreign payments as an Indian exporter?

Start with your AD bank, the bank authorized to handle foreign-exchange transactions. Ask it to confirm which receipt route is permitted for your destination country, export type, invoice currency and proposed payer. RBI rules provide for receipts in freely convertible currencies and certain rupee mechanisms, but special arrangements or restrictions may apply, including for ACU countries, Nepal and Bhutan.

A rupee-denominated credit from abroad is not automatically an acceptable export receipt. Have the bank confirm the specific mechanism and payment path before you accept it. Compare available routes on the following points:

What to compare What to confirm
Country and transaction eligibility Whether the route is permitted for the destination and for goods, software or services.
Currency Whether the invoice currency and settlement currency can differ, and how conversion will be handled.
Payer and bank path Who will be named as payer and which banks or payment providers will transmit the funds.
Records and reporting What declarations and supporting documents the bank needs to match the receipt to the export, and how the export-system record will be updated.
Costs and timing Ask the bank or provider directly about its charges, intermediary deductions, foreign-exchange spread and conversion timing; these vary and are not established by the RBI material cited here.
Exceptions Ask how refunds, partial payments and disputes will be documented and reconciled.

Do not choose a route on claims that it is “fastest” or “cheapest” unless you have current terms for your particular provider and transaction.

Agree the paperwork before sending the invoice

Make the contract and invoice consistent about the buyer, invoiced currency and payment instructions. If a third party will pay, document that arrangement rather than leaving the bank to infer why the payer’s name differs. These steps help the AD bank match the funds to the export and address declaration requirements.

RBI directions allow AD banks to permit third-party receipts for goods and software exports subject to conditions. The exporter must declare third-party proceeds in the applicable export declaration. If a parent company, marketplace or other party will pay, confirm with the AD bank in advance what evidence and declaration it requires. Do not assume the same treatment applies to every export type or payment route.

What should I do when the money arrives?

  1. Keep the payment evidence. Save the bank credit advice and remittance details, including the payer, amount, currency and any deductions.
  2. Match the credit to the export. Reconcile it against the invoice and contract, shipping or service records, and any payment advice. If the payer is not the buyer, provide the bank with the explanation and supporting documents it requested.
  3. Check the export reporting record. Ask the AD bank whether the realization has been reflected in the applicable export system and whether anything remains outstanding.
  4. Check the eBRC record where applicable. Confirm that the bank-generated electronic Bank Realisation Certificate (eBRC) is available and corresponds to the export and payment.

What are EDPMS and eBRC?

EDPMS is the Export Data Processing and Monitoring System used for export monitoring. The older RBI Master Direction describes AD banks updating export realization data in EDPMS as proceeds are realized and generating eBRC from EDPMS data. An eBRC is an electronic Bank Realisation Certificate associated with realization of export proceeds.

That description comes from the older Master Direction. RBI’s 2025 Export and Import of Goods and Services directions page says it supersedes earlier Master Directions, but the date displayed on that page is incomplete. Ask your AD bank which current reporting steps apply to your export and how to resolve a missing or mismatched system record; do not assume the older workflow remains unchanged.

How long do I have to receive export payment in India?

The exact deadline must be confirmed against the RBI directions currently in force for the export and shipment date. The older RBI Master Direction states a general period of nine months from the date of export and fifteen months from shipment for goods exported to an overseas warehouse. However, the RBI 2025 directions page says it supersedes earlier Master Directions and describes its effective date relative to issuance, while displaying an incomplete issuance date (“XX April XX, 2025”). The supplied official information therefore does not establish which deadline is currently operative for a particular export.

Before relying on either older period, ask your AD bank to confirm the applicable rule for your transaction, including whether it is goods, software or services and whether any special arrangement applies. Record the deadline the bank confirms and raise a possible delay before it passes.

What if payment is late, short or disputed?

Contact the AD bank before the applicable realization deadline. Explain what has happened and ask whether the case requires an extension, write-off, adjustment or referral to RBI. The older Master Direction describes extension requests and overdue-bill follow-up, including extensions of up to six months at a time under conditions and reporting in EDPMS. Because the 2025 directions page says it supersedes earlier directions, do not assume that period or procedure applies now without confirmation from the bank.

Prepare the documents that let the bank understand both the export and the problem:

  • Invoice and contract, including the agreed payment terms.
  • Export declaration and shipping documents, or service records relevant to the transaction.
  • Buyer correspondence explaining the delay, deduction or dispute.
  • Remittance advice and bank credit evidence for any amount already received.
  • A written explanation of the outstanding balance and the action requested.

If the buyer has paid less than invoiced, identify whether the difference is a bank or intermediary deduction, an agreed adjustment, a dispute or an unpaid balance. Keep the evidence for the explanation and ask the AD bank how the short realization should be recorded. Do not treat a partial credit as proof that the export has been fully reconciled.

Are online payment gateways an acceptable route?

A gateway may be involved in collecting export-related payments, but the involvement of a gateway alone does not establish that the full receipt flow meets current requirements. The older RBI Master Direction refers to a separate RBI notification for export-related receipts processed through online payment gateways. Ask your AD bank to confirm that the particular gateway arrangement and underlying transfer path are acceptable, and what records it needs to reconcile the proceeds.

Which records should I keep together?

Maintain a transaction file that connects the commercial sale to the funds received and the bank’s export-system record. Include the contract and invoice, export or service documentation, payment instructions, any third-party payer explanation, remittance advice, bank credit evidence, correspondence about deductions or delays, and the bank’s confirmation of the EDPMS or eBRC status. Keeping these records together makes it easier to answer bank queries and identify an unresolved balance.

The relevant RBI materials are the Foreign Exchange Management (Manner of Receipt and Payment) Regulations, 2016, as amended through March 4, 2020; the RBI Master Direction – Export of Goods and Services; and the RBI 2025 Export and Import of Goods and Services directions page. The first addresses receipt routes, while the older Master Direction contains the cited EDPMS, eBRC and overdue-bill procedures. For a live transaction, verify the operative direction and process with the AD bank.
