ISO 9001 does not require a particular software product, and a small business may be able to run an effective system with controlled documents and spreadsheets. Dedicated software becomes worthwhile when keeping documents current, following corrective actions, coordinating audits or finding evidence is becoming difficult to manage manually.
Do you need software to get ISO 9001 certified?
No. ISO 9001 specifies requirements for a quality management system, not a required software product. ISO says its requirements are intended for organizations “regardless of their type or size, or the products and services they provide.” The standard does not make buying a QMS platform a condition of certification. See ISO’s overview of ISO 9001:2015 and its handbook for small enterprises.
Software is an operating choice: it may help people follow the system and retain evidence, but it cannot make an ineffective process work or guarantee certification. ISO’s handbook also cautions that a quality system should not create “excessive bureaucracy, paperwork, or lack of flexibility.”
Can you manage ISO 9001 with spreadsheets and shared drives?
Often, yes—if the team can reliably keep documents controlled, record issues, assign and close actions, plan audits, and retrieve evidence when needed. A simple shared-drive structure and a small set of well-maintained spreadsheets may be more practical than a platform that staff do not use.

Manual coordination starts to strain when documents multiply, several people or sites need access, corrective actions are missed, audit cycles are hard to track, or evidence takes too long to find. At that point, compare the cost of the coordination burden with the cost and implementation effort of dedicated software. The right threshold is operational: whether existing tools let people perform and prove the required work consistently.
Map requirements before comparing vendors
Write down what the system needs to do before requesting demonstrations or quotes. A buyer’s guide from Quality Improvement Associates likewise recommends a requirements-first approach and comparison of total cost.

- Standards and obligations: List the standards, customer requirements and regulatory obligations that apply to your business. Requirements depend on industry and geography; a generic vendor claim is not proof of suitability.
- Processes and records: Identify which documents, approvals, nonconformities, corrective actions, audits, risks, management reviews, supplier issues and customer complaints you need to control.
- People and access: Note who creates, reviews, approves and reads records, including any multiple sites or external users. Define the permissions each role needs.
- Day-one scope: Separate essential workflows from functions that could wait. Avoid paying for modules without a known process problem to solve.
- Practical constraints: Record deployment preferences, integrations, available staff time for setup and migration, desired timeline and budget.
Which QMS features matter to a small business?
Prioritize the workflows your requirements map identifies. Ask vendors to demonstrate ordinary work, not just a feature list.

How should you evaluate fit, ease of use and support?
Involve the people who will enter records and use controlled documents in a trial or demonstration. Ask them to complete realistic tasks—such as finding an approved procedure, logging a nonconformity, assigning an action and locating an audit record—and note where they need help.

- Can everyday users complete these tasks without excessive training?
- Can permissions reflect actual roles and responsibilities?
- What help is available for setup, migration, training and ongoing questions?
- Can the platform connect to the systems you already use, and are there limits on integrations or future scaling?
- Can the vendor provide references from organizations with a similar sector, size or workflow?
- Does its deployment model meet your access and operational constraints?
A product can have extensive features and still be a poor fit if staff avoid it or implementation exceeds the team’s capacity. Compare the vendor’s stated industry and regulatory focus with your requirements; marketing descriptions are not independent validation.
Compare total cost, not just the subscription
Ask for the cost of the configuration you actually need, including users, modules, setup, onboarding, training, support, integrations and expected growth. Confirm billing terms and what changes the price.

ISOCentral’s 3 April 2026 guide gives rough estimates of about $50–$150 per month for entry-level small-business tools and $200–$600 per month for broader mid-range platforms; it says enterprise platforms are often negotiated and may cost several thousand dollars annually. These are guide estimates, not vendor quotes or a universal market benchmark. Check the guide, then request current terms directly from vendors.
Quality System on Demand’s vendor FAQ lists its own web-based plans at $699, $999 and $1,499 per year and describes a target range of roughly 2–200 employees. Those are vendor-provided prices and positioning, not independent market data; verify current pricing, inclusions and fit with the company. Read its FAQ.

How to choose between options
Use the same requirements and demonstration tasks for each option, including your existing process if it is still a contender.

Products aimed at different sectors may solve different problems. For example, Qualio positions its platform around life-sciences compliance, while QT9 identifies its product as QMS software. Treat those descriptions as vendor positioning: compare current capabilities and claims against your requirements, and verify regulatory fit rather than assuming a product is suitable because it uses the term “QMS.”
