Check your employer’s process and the notice period that applies to you before sending it; there is no universal two-week rule.
What to include in a heartfelt resignation letter
Keep the formal message concise and easy to act on. Address it to your manager or the HR contact your employer specifies, then include these elements:
- Date and greeting: Add the date if you are using a letter format, and use a suitable greeting.
- Resignation and final day: State that you are resigning, identify your role and organization, and give the intended final working day.
- Specific gratitude: Thank the recipient for something you genuinely valued, such as a particular opportunity, a skill you developed, or support on a project.
- Optional handover offer: If you can realistically help, offer to coordinate a smooth transition during your notice period.
- Professional sign-off: Close courteously and include your name.

How to make the message sound sincere
Heartfelt does not mean lengthy or dramatic. A short, concrete detail usually sounds more genuine than broad praise: for example, you might mention a project that helped you grow, a skill you learned, or thoughtful guidance from your manager. Only include what is true for you.

Check your notice period and resignation process
Before naming a final day, review your employment contract or written terms, your employer’s resignation procedure, and the local rules that apply. Notice requirements differ by employer and jurisdiction, so do not assume two weeks is the right period. Acas explains that a written resignation is not always required, but it can provide a useful record; it advises writing to your manager or HR unless your employer directs you elsewhere. Example resignation letter to adapt
Use this as a starting point, replacing every bracketed phrase and confirming the date before sending:
Dear [Manager’s name],
Please accept this letter as notice of my resignation from my position as [role] at [organization]. Based on my notice period, I expect my last working day to be [date].

This is an original example, not a quotation from a source. If you cannot honestly offer transition help, remove that sentence rather than making a promise you may not be able to keep.

When a standard gratitude template may not fit
If you are resigning in difficult or legally sensitive circumstances, a warm generic template may be inappropriate. Acas cautions against using its standard template when an employee believes they have no choice but to resign because of their employer’s conduct.
