How to Write a Curriculum Vitae (CV): Structure, Examples, and Tips

A practical guide to choosing the right CV for your country and application, selecting relevant sections, and describing your experience with clear evidence.

To write a strong CV, first identify what the employer or institution means by “CV,” then tailor the sections and evidence to that specific opportunity. In the United States, a CV usually means a detailed record for academic and research applications, while a resume is the shorter, targeted document commonly used for industry roles. In the UK and some other countries, “CV” is the usual name for a job-application document. Always follow the application instructions and local conventions.

Decide what kind of CV the application requires

Start with the vacancy or program instructions, not a template. Check the country, employer, discipline, purpose, requested file type, and any required sections. MIT Career Advising & Professional Development explains that US CVs are commonly used for academic and research opportunities, fellowships, grants, and tenure-related applications, while some international settings use “CV” for job applications generally. The University of Pennsylvania Career Services likewise notes that CV can mean different things across countries.

For a US industry job, a concise, targeted resume may be expected even if an international employer calls the document a CV. For a UK job application, a conventional CV is usually the relevant document. An academic application may call for a longer record of scholarship, teaching, publications, and service. Local instructions take priority over these general patterns.

How should you structure your CV?

There is no single correct structure for every applicant. MIT advises: “There is no single correct format or style for writing a CV – think about making it easy for your readers to skim and find the information they are looking for.” Choose headings that make your relevant experience easy to locate, omit sections that do not apply, and do not suggest credentials you do not have.

Academic or research CV structure

For a US academic or research application, a practical starting order is:

  1. Name and professional contact details
  2. Education
  3. Research experience or academic appointments
  4. Teaching experience, moved earlier for a teaching-centered opportunity
  5. Publications and presentations
  6. Grants, fellowships, awards, and honors
  7. Mentoring, academic service, and professional memberships
  8. Relevant additional employment, skills, languages, or certifications
  9. References, if requested or appropriate to local practice

MIT and the University of Victoria identify many of these as common CV sections. The exact order should reflect the role: put research near the top for a research-focused position, for example, and teaching earlier when teaching is central. Publications often appear toward the end.

General job-application CV structure

For a general job application, use a chronological, skills-based, or combination structure according to the evidence you need to foreground. The University of Edinburgh Careers Service describes all three approaches, as well as creative formats. A chronological CV makes work and education history easy to follow; a skills-based format can foreground relevant capabilities; a combination can show both. Choose the format that makes your fit clearest rather than following a trend.

Build a complete record, then tailor it

Keep an authoritative source document with your education, roles, research, teaching, publications, presentations, awards, grants, service, and skills. For each application, make a separate copy and select the information that helps demonstrate fit. A CV’s potential length is not a reason to include every detail: the University of Tampa advises choosing information strategically, and MIT recommends maintaining a full record while tailoring the version you send.

Within each section, list entries consistently and usually in reverse chronological order, with the most recent first. Use descriptive section headings, consistent date formats, and a clear visual hierarchy. If a role makes one part of your background especially relevant, you can order sections to bring that evidence forward while preserving a coherent timeline within each section.

Write experience entries that show evidence

Describe what you did, your contribution, and the outcome where you can substantiate it. Replace vague phrases such as “helped with” or “responsible for” with specific action verbs and concrete scope. The University of Pennsylvania Career Services puts the principle simply: “Use verb phrases and make every word count.” Include measures only when they are accurate and defensible.

Illustrative before-and-after

Vague: “Helped with research for a book.”

More informative: “Reviewed 35 journal papers on inflammatory disease mechanisms and communicated a summary of findings to the professor within two weeks.” This wording is an example from Penn Career Services, not a target quota or a result applicants should copy. Use your own verified work, quantities, and outcomes.

Make the document easy to read and submit

  • Use readable type, consistent headings, adequate spacing, and enough white space to help a reader scan quickly.
  • Keep formatting simple. Penn warns that some applicant tracking systems may not read decorative elements such as tables, shapes, graphics, or images; no particular layout guarantees successful parsing.
  • Follow the employer’s requested format and submission method. A system may ask applicants to paste information into a form rather than upload a document.
  • Check that the saved file is legible and that links, page numbers, and text remain intact.

PDF may be appropriate when permitted, but the application’s instructions take precedence. The goal is a clear document that both a person and the required submission process can handle.

Choose length and personal details for the local context

Length guidance varies because “CV” covers different documents and purposes. The University of Edinburgh Careers Service says two pages is standard guidance for a UK CV. MIT gives typical US academic CV ranges of 2–4 pages for a younger professional and 4–7 pages for someone with more experience. These are career-service recommendations, not evidence that a particular length improves hiring outcomes; follow the application’s requirements and include relevant material rather than padding or cutting indiscriminately.

Personal-detail conventions also vary. Edinburgh says applicants do not need to include a photo, date or place of birth, gender, or nationality in its UK guidance. Do not treat that as a universal legal rule: check the norms and instructions for the country and application in question.

Handle references carefully

Include reference details only when requested or when local practice makes them appropriate. The University of Victoria includes references among possible CV sections and advises: “Always ask your references’ permission to use their information.” Confirm that a referee agrees before sharing their contact details, and follow any application-specific instructions about how references should be supplied.

Proofread against the actual application

Before submitting, check spelling, dates, names, links, page numbering, and every factual claim. Confirm that the selected experience and section order align with the opportunity, and that the document follows the requested format. A mentor or career adviser familiar with your field can provide a useful final review; MIT and Edinburgh both direct applicants to career-advising support.
