How to Track Ride-Hailing Income and Expenses as a Driver

Track ride-hailing income by separating gross payments, tips, fees, adjustments, and deposits for each platform. Pair that ledger with a timely mileage log and saved expense records.

Track every ride-hailing platform in one year-round ledger, but keep gross payments, platform fees, adjustments, and bank deposits as separate figures. Add a contemporaneous mileage log and save receipts as you go. Platform tax summaries help you reconcile your records; they are not a substitute for them, and a deposit or missing tax form does not define how much income you must report.

This guide covers U.S. federal recordkeeping and tax rules. State and local requirements may differ.

What should I track as an Uber or Lyft driver?

Build one recordkeeping system for all your driving work. Use a spreadsheet, bookkeeping software, or paper ledger, and keep a separate account of activity for each platform and vehicle when applicable. For each week or month, record:

  • Gross ride payments and other rider payments.
  • Tips, bonuses, referral payments, and other non-ride earnings as separate categories.
  • Platform, service, booking, and other fees.
  • Tolls, reimbursements, cancellations, taxes, or other adjustments shown on platform statements.
  • The net payout and the date and amount of each corresponding bank deposit.
  • The platform statement or export supporting the entry.

Keep tips separately identifiable. The IRS says tips remain part of total reported income. For tax years 2025 through 2028, a qualified-tips deduction of up to $25,000 per tax return per year may be available if eligibility, reporting, and other requirements are met; it is not an automatic exclusion from income. Log miles and vehicle use

For each business trip or driving period, record the date, business destination or area, business purpose, and business miles. Record the vehicle’s beginning and ending odometer readings when practical, and maintain an annual total of business miles and total miles driven. This makes it possible to distinguish business use from personal use when a vehicle serves both purposes.

The IRS advises recording the elements of an expense or business use at or near the time it occurs and supporting them with documentary evidence. A weekly log accounting for the week’s use is considered timely. IRS Publication 463 includes a sample vehicle record with fields for date, destination, business purpose, odometer readings, miles, expense type, and amount. A vehicle mileage logbook can work, but a spreadsheet or digital log is also suitable if it captures the information and you retain a durable copy.

Save expense evidence when the expense occurs

Keep receipts, invoices, and other supporting records with the ledger entry. If you are evaluating the actual vehicle-expense method, organize records for costs such as fuel, oil, insurance, registration, repairs, maintenance, and depreciation or lease costs. Other costs to review for business relevance can include phone service, platform fees, tolls, parking, city or airport fees, and customer amenities. These are examples to document and evaluate, not expenses that are automatically deductible for every driver.

How to reconcile platform earnings with your deposits

A bank deposit is usually a net payout, not a complete record of gross receipts. Reconcile by comparing the platform’s earnings statement with your ledger and then with the deposit that reached your bank. Keep any fees, reimbursements, and other adjustments visible rather than collapsing them into one number.

  1. Enter the platform statement’s gross payment and non-ride earnings categories in your ledger.
  2. Enter fees, tolls, reimbursements, and other adjustments in their own categories, using the platform’s labels where possible.
  3. Compare the resulting payout figure with the amount and date shown in your bank account.
  4. Investigate differences using the statement period, payout timing, adjustments, and any separate deposits; retain the statement and your explanation with the record.

Uber says its deposits reflect net earnings after fees and insurance coverage, while its Form 1099-K reports gross payments by riders. Lyft explains that ride-payment totals can include rider payments, tips, toll reimbursements, cancellation fees, platform fees, and third-party fees and taxes, so the reported total will generally exceed a driver’s bank deposit. These platform descriptions explain why the figures differ; use your own statements and tax documents to determine what applies to your account.

Why does my 1099 amount differ from my deposits?

A 1099 amount and a deposit can measure different things. A platform may report gross rider payments on Form 1099-K while paying out an amount reduced by fees or other adjustments. Some non-ride earnings may be reported separately, and tax forms may not include every category in the same way. Reconcile each form and statement to your ledger rather than treating the 1099 or deposit as a standalone total.

What Uber and Lyft summaries can—and cannot—tell you

Platform summaries are useful inputs and cross-checks. Their categories, mileage definitions, tax-form availability, and thresholds can change or vary by location, so check the current account documents and do not treat an annual summary as an official tax form unless it is explicitly identified as one.

Platform What its U.S. materials describe How to use it
Uber The annual tax summary includes yearly earnings, potential expenses, and miles driven while using the Driver app; monthly summaries are also available. Online miles include waiting for a next trip, driving to pickup, and on-trip miles. Uber describes Form 1099-K as reporting annual on-trip gross earnings and Form 1099-NEC as applying to certain promotion and miscellaneous payments. Use the annual and monthly summaries to cross-check the ledger, but retain official tax forms and your own records. Uber says the annual summary is not an official tax document.
Lyft The Annual Summary breaks down earnings, expenses, rides, and online miles. Lyft distinguishes ride payments from non-ride earnings such as bonuses; it says Form 1099-K does not include bonuses, which may instead appear in non-ride earnings. Fees and tolls appear as expenses. Compare ride and non-ride categories separately with your ledger and bank deposits. Lyft’s stated form thresholds vary by state.

For multiple platforms, keep each platform’s totals separate during the year, then combine the categories for your tax-year totals. That preserves a clear trail when a platform’s gross-payment figure, fees, payout, and bank record do not line up at first glance. Choosing a vehicle-expense method and tracking mileage

The IRS standard mileage method and actual vehicle-expense method call for different records. The mileage rate is date-specific: for qualifying business miles, the IRS rate is 72.5 cents per mile from January 1 through June 30, 2026, and 76 cents per mile from July 1 through December 31, 2026. The IRS announced the midyear revision in response to fuel-price increases. Apply the rate for when the miles were driven, not one rate to the entire year.

Under the standard mileage method, a taxpayer generally cannot also deduct the covered actual vehicle costs for that year. Choosing standard mileage for an owned vehicle in its first year of business use can affect later choices, and lease rules also constrain method changes. With actual expenses, keep detailed cost records and allocate costs between business and personal use. Business parking and tolls may be treated separately under IRS rules even when using standard mileage; consult Publication 463 rather than assuming every parking or toll charge qualifies. Because the choice depends on your vehicle and tax history, review current IRS guidance or consult a qualified tax professional before choosing.

A routine that keeps records filing-ready

Each trip or driving day

  • Log business miles and the trip date, area or destination, and business purpose.
  • Save receipts and enter expenses while details are fresh.

Each week or month

  • Update gross payments, tips, bonuses, fees, adjustments, and deposits by platform.
  • Compare ledger entries to platform statements and bank activity; resolve differences while the records are accessible.
  • Back up digital records or keep copies of paper records in a safe place.

At year-end

  • Download annual summaries, official tax forms, weekly or monthly statements, and available mileage details from every platform.
  • Gather receipts and supporting records, and total business and overall vehicle miles.
  • Check that ledger totals explain platform forms and deposits, and preserve tips as a distinct category.

The IRS says gig income is taxable and must be reported even when work is part-time or temporary, no Form 1099 is received, or payment is made in a form other than cash. Its gig-work guidance says, “You must report all income on your tax return, even if you don’t receive Forms 1099 from the businesses that pay you.” The same guidance states that a self-employed person generally must file a return if net earnings from self-employment are $400 or more. Independent contractors may also need to pay estimated taxes during the year; check the current IRS guidance for your circumstances.
