GST Invoice vs. Regular Receipt: What Details Should Be Included?

A receipt is not automatically a GST tax invoice. Required details and exceptions depend on the country, customer’s registration status and type of supply.

A GST invoice is a tax document; a regular receipt is generally proof that a purchase or payment took place. A receipt is not automatically a valid tax invoice. The required fields—and when a receipt or simplified document can stand in—depend on the country, the buyer’s GST status and the type of supply. The examples below cover India, Singapore and South Africa; they are not one universal checklist.

GST invoice vs. regular receipt: what is the difference?

A regular receipt typically records a sale or payment. A tax invoice also documents how a transaction is treated for tax purposes and may support a GST-registered buyer’s input-tax claim. Singapore’s IRAS describes the tax invoice as the main document supporting that claim. Do not assume an ordinary receipt can serve the same purpose unless the rules where the purchase occurred allow it.

What to check Regular receipt GST tax invoice
Purpose Usually evidence of purchase or payment. Tax documentation; may support an eligible input-tax claim under local rules.
Buyer details May identify the buyer, but the required detail varies. May require buyer name, address or tax registration number, especially for registered customers.
Tax breakdown May show a tax amount, but that alone does not make it a compliant tax invoice. Typically identifies tax treatment and tax charged when applicable.
Exceptions Some local rules permit a receipt or simplified document for specified customers or transaction values. Requirements and exceptions depend on jurisdiction, customer status and supply type.

Start with the country and transaction

“GST” does not mean a single set of invoice rules worldwide. India, Singapore and South Africa use different prescribed fields, document names and exceptions. Before checking a document, establish where the supply is taxed, whether the buyer is registered, and whether the supply is taxable, exempt or zero-rated—or whether the payment is an advance.

  • Buyer status: A registered buyer may need a tax invoice to support an input-tax claim; a document suitable for an unregistered customer may not meet that need.
  • Supply type: Exempt or zero-rated supplies may need separate identification or a different document.
  • Payment timing: An advance can require a distinct document, as in India.
  • Local exceptions: Thresholds and simplified documents are jurisdiction-specific and can change.

What an Indian GST invoice should include

India’s CBIC rules call for supplier name, address and GSTIN; a consecutive serial number unique for the financial year; issue date; recipient name and address, plus GSTIN or UIN if registered; HSN code for goods or Accounting Code for services; description; quantity and unit for goods; and total supply value with the prescribed tax particulars and other applicable fields. Conditional requirements can apply to an unregistered recipient’s details and delivery address. This is a concise overview, not a substitute for checking the applicable rule. See the CBIC GST FAQ.

Low-value supplies to unregistered customers

CBIC’s FAQ describes an exception under which a registered supplier may omit a tax invoice for a supply below ₹200 to an unregistered recipient if the recipient does not ask for one. If the recipient asks, the invoice must be issued; the FAQ also describes a consolidated invoice at the end of the day for such supplies. This is an India-specific rule, and its current applicability should be confirmed before relying on it.

Use the right Indian document for exempt supplies and advances

For exempt goods or services, or where the supplier pays tax under the composition scheme, CBIC says the supplier issues a bill of supply, not a tax invoice showing a tax rate and amount that cannot be collected. For an advance, a receipt voucher is a distinct document. Its prescribed information includes the advance amount and, where applicable, tax rate and amount; it also includes place of supply for an inter-state supply.

What a Singapore GST tax invoice should include

IRAS says a tax invoice is generally required when the customer is GST-registered and should generally be issued within 30 days from the time of supply. The required information includes the words “Tax Invoice”; supplier name and address; GST registration number; invoice date and identifying number; customer name and address; a description of the goods or services; GST rate; amount payable excluding GST; total GST; and total amount including GST. Details of exempt, zero-rated or other supplies should be stated separately where applicable. IRAS lists specified supply categories and sales to non-GST-registered customers for which a tax invoice need not be issued. Check the IRAS tax-invoice guidance for the rules that apply to your transaction.

IRAS also notes phased implementation of InvoiceNow data-transmission requirements. That is a separate electronic-invoicing consideration; it does not make an ordinary receipt equivalent to a tax invoice.

What a South African VAT invoice should include

South Africa uses VAT terminology. SARS describes invoice wording as “Tax Invoice,” “VAT Invoice” or “Invoice,” alongside supplier name, address and VAT registration number; recipient information and VAT number when the recipient is a vendor; serial number and issue date; an accurate description; quantity or volume; supply value; tax charged; and total consideration. The SARS VAT guidance describes full and abridged invoices at different value thresholds, and says that in the lowest amount band a till slip or sales docket indicating VAT charged can verify input tax deducted. SARS’s page was last updated on 11 March 2021; verify current law before relying on its threshold-specific guidance.

Can a regular receipt be used as a tax invoice?

Sometimes a receipt or simplified sales document may meet local rules for a particular transaction, but a receipt is not automatically a tax invoice. The buyer’s registration status and the transaction’s value and tax treatment can affect the answer. In Singapore, IRAS identifies specified situations where a tax invoice need not be issued, including sales to non-GST-registered customers. India’s CBIC FAQ describes the below-₹200 exception for qualifying supplies to unregistered recipients when they do not request an invoice. South Africa’s SARS guidance describes a till slip or sales docket in its lowest amount band, but that page’s threshold advice dates to 2021.

If you need the document to support a tax claim, check the tax authority’s rules for the country and transaction rather than relying on the word “receipt” or the presence of a tax amount.

Quick check before you accept or issue the document

  1. Identify the jurisdiction. Use the country’s tax authority guidance; do not combine fields or exceptions from different GST systems.
  2. Confirm buyer status. Check whether the customer is registered and whether the document must identify them or include their tax number.
  3. Classify the transaction. Determine whether it is taxable, exempt, zero-rated or an advance payment, and use any required local document name.
  4. Check the core fields. Look for supplier identification, invoice date and number, a clear description and value, and tax details required for that transaction.
  5. Verify any exception. Confirm that a threshold or simplified-document rule applies to this customer and supply, and that the rule remains current.
