For a website or app—or when you want one checkout that can offer UPI alongside other payment methods—a payment gateway is generally the better fit. They are not competing versions of the same thing: UPI is the payment system, a QR code is one way to start a payment, and a gateway is an online payment intermediary or integration.
What is the difference between UPI, a QR code and a payment gateway?
UPI is the payment system. A QR code is a way for a customer to initiate a payment through a UPI app. A payment gateway or payment aggregator helps a business accept payments through an online checkout. A gateway may support UPI, so a business can use UPI online without relying on a countertop QR display.
For merchant UPI acceptance, the National Payments Corporation of India (NPCI) says a merchant partners with an acquiring bank to enable the infrastructure. NPCI lists QR, intent, application-based and collect as merchant integration modes. See the NPCI UPI FAQ. The Reserve Bank of India (RBI) describes payment gateways and aggregators as intermediaries in online payment flows in its 2019 discussion paper; it provides role context, not current provider prices or a comparison of specific services.
Which option fits your sales channel?

When a merchant UPI QR is the better choice
A merchant QR is a practical starting point if customers pay in person and UPI meets your needs. NPCI explains that a merchant QR can contain details such as the merchant UPI ID and amount, which appear on the payer’s payment page after scanning.

Ask your acquiring bank how the QR is issued and what account receives the funds. Also confirm how staff should verify a payment, how refunds are handled, what support is available and when funds settle. NPCI says merchants raise transaction grievances with their acquiring bank and request refunds through the bank’s defined process; see its UPI FAQ.
A printed or displayed QR is only a payment prompt. Check the transaction status through the acquirer’s confirmation or transaction record rather than treating a customer’s screen or a displayed QR as proof that the business has been paid.

When a payment gateway is the better choice
If customers pay on a website or app, compare gateways or acquiring providers on whether they support UPI, how checkout integrates with your site or app, which other payment methods they offer, and how they handle fees, settlement, reconciliation, refunds and customer support. These details depend on the provider and your agreement; the official materials cited here do not establish a universal fee or settlement advantage for either option.
Online UPI acceptance also has its own payment flow. NPCI’s March 2024 circular describes prominent “Pay by any UPI App” wording, intent for app-based and mobile-web merchants, and dynamic QR for other web-based merchants instead of collect. Because later circulars may change implementation requirements, confirm the current flow with your provider. The circular is available on NPCI’s website.

Can a small business use both?
Yes. A business can use a countertop merchant QR for in-person sales and a gateway for its website or app. The two tools serve different sales channels, so choosing one does not necessarily mean giving up the other.

- What fees apply to your expected payment methods, and are there any additional or method-specific charges?
- When are funds settled under your agreement, and how are weekends or holidays handled?
- How can you reconcile individual transactions against orders and bank deposits?
- What is the process for refunds, failed or disputed payments, and transaction complaints?
- For online UPI, which customer flow and QR requirements apply to your website or app now?
- Who provides merchant support, and how do you contact them when a payment issue affects a sale?
If you display a QR at a counter, check NPCI’s 2026 merchant QR guidance for display and branding requirements. For large dynamic QR designs, it addresses displaying the merchant UPI ID and the wording “Scan & Pay with any UPI app.” Follow the applicable guidance for your setup and confirm the current requirements with your acquirer.
