Software can help create records and move data, but it cannot determine or guarantee your compliance: requirements depend on your registration status, transactions and the rules that apply to your business. Confirm your situation against current official guidance or with a qualified tax professional.
Start with the GST requirements your business actually has
Before comparing products, identify the kinds of sales and purchases you make, the documents you issue, and the workflows you use for accounting and returns. Registration status and transaction type can change which requirements apply. For example, e-commerce transactions may involve specific registration or tax-handling conditions; consult the CBIC GST FAQ and current guidance for your circumstances rather than assuming one setup fits every small business.
The CBIC invoice rules describe particulars a tax invoice must support. These include the supplier’s name, address and GSTIN; a consecutive serial number unique for the financial year; date of issue; recipient details; HSN code for goods or Accounting Code for services; description; quantity and unit where goods are involved; total value; tax rates and amounts; place of supply for inter-State trade; reverse-charge status; and supplier or authorised representative signature. Other requirements, exceptions and particulars apply in specific cases, including unregistered recipients and exports. Treat this as a practical checklist, not a complete legal opinion.
A useful first test is whether the software can capture and produce the fields and document types that apply to your transactions, without workarounds that leave key details outside the invoice record.

Compare the workflows, not just the invoice screen
Invoice fields and documents
Check that the product supports the invoice types you issue and lets you record the applicable particulars, tax rates and values. If your business also needs documents such as delivery challans, confirm that those are supported and that the information you need can be carried through the process.
Returns and filing
Ask how records move from billing into the filing workflow used by your business and accountant. “Supports GST returns” can mean different things: direct filing, data preparation, an export, or a report that still needs manual handling. Confirm the exact process and any access or setup requirements before choosing.

E-invoicing and e-way bills
For businesses to which e-invoicing applies, it is not simply a PDF invoice with a QR code. The National Informatics Centre describes it as a workflow in which B2B invoices are electronically authenticated by GSTN through an Invoice Registration Portal (IRP), which issues an identification number. NIC also describes invoice information moving to the GST portal and e-way bill portal, reducing duplicate manual entry in related workflows. See NIC’s GST e-invoice overview.
Check whether your selected product connects to the IRP, how it handles related e-way bill information, and which plan and setup are required. Do not rely on an old vendor threshold statement as a statement of current law; verify applicability using current official guidance.

Accounting integration and data portability
Confirm that the billing records fit your existing bookkeeping process. Ask what formats can be exported, whether the export includes the details your accountant needs, and whether you can retrieve usable records if you change systems. NIC identifies interoperability as a benefit of e-invoicing: “E-invoices created on one software can be read by another, allowing interoperability and help reduce data entry errors.” That system-level benefit does not eliminate the need to check a particular product’s integrations and exports.
Use vendor claims as evidence of features, not a compliance guarantee
Product documentation can help you verify what a vendor says its software does, but it does not establish that every feature is available on every plan, that the product suits your transactions, or that using it makes your business compliant. Confirm details with the vendor and your accountant before committing.

For example, Zoho Invoice’s India page documents GST invoice templates and tax rates, delivery challans with e-way-bill details, GSTR-1 filing through API access, GSTR-3B export, business reports and XML export to Tally. These are vendor-documented capabilities, not independent test results or a recommendation for every business. Review the current details at Zoho Invoice’s India GST page.
Separately, Zoho Billing’s help page says e-invoicing is available only on certain plans and describes sending invoices to the IRP and receiving an IRN and QR code. Verify current plan availability and setup directly in Zoho Billing’s e-invoicing documentation. A feature listed for one product or plan should not be assumed to be included in another.

Check whether the product fits daily operations
Once the compliance-related workflow looks suitable, compare practical limits that affect the people using it. Get current vendor details for:
- Invoice volume, number of users and business locations allowed by the plan.
- Inventory or other business-specific features you actually need.
- Internet or offline requirements for creating and accessing records.
- Support channels, backup arrangements and access controls.
- Total cost for the plan and any necessary add-ons, integrations or services.
These are questions to ask across shortlisted products, not claims that any particular vendor includes these features. Review plan terms and test a representative workflow where possible: create the relevant invoice, check the resulting document and reports, and confirm the records can reach your accountant’s process.
