You can generally file your federal return without a W-2 if you cannot obtain it in time: first ask your employer for the form, then use Form 4852 to report carefully estimated wages and withholding. If the actual W-2 arrives later and changes your figures, file Form 1040-X to amend your return.
Start by asking your employer for the W-2
Contact your employer’s payroll department and ask when and how the W-2 was issued. Confirm that the employer has your current mailing address or correct electronic-delivery details, and request a replacement if the original was lost or sent to the wrong place. If information on a W-2 you did receive is incorrect, ask the employer for a corrected form.
The IRS’s Topic No. 154 advises contacting the employer first when a W-2 is missing. Do not substitute an estimate simply because the form has not arrived yet; give the employer a chance to provide the official figures.
When to contact the IRS
If you have contacted the employer and still do not have the W-2 by the end of February, the IRS says to call 800-829-1040. The IRS can contact the employer and request the missing form. Have these details ready:

- Your name, address, phone number, and Social Security number or individual taxpayer identification number.
- The dates you worked for the employer.
- The employer’s name, address, and phone number.

How to file if the W-2 still is not available
If filing time arrives before you can obtain the W-2, the IRS says to use Form 4852, Substitute for Form W-2, Wage and Tax Statement. It lets you report estimated wage and withholding amounts on your federal return. The estimates should come from reliable records, not guesswork.

- Gather your wage records. Use your final pay stub for the tax year if available, especially its year-to-date wages and tax withholding. Other payroll records can help support the figures.
- Complete Form 4852. Follow the form’s instructions and explain how you determined the wages and withholding you report. Use the IRS’s Form 4852 page for the current form and instructions.
- Include it with your federal return. Attach Form 4852 to the return you file. If you use an e-file provider or tax preparer, confirm directly that the service supports filing with Form 4852; the IRS’s authorized e-file provider locator can help you find providers, but does not establish that every provider accepts this form.
The IRS advises filing on time when a W-2 remains unavailable and using Form 4852 with estimates based on available records. Check current IRS instructions for the applicable tax year, deadline, and any filing relief.
What to do when the W-2 arrives later
Compare the actual W-2 with the amounts on your filed return. If the W-2 changes the income, withholding, or other figures you reported using Form 4852, file Form 1040-X, Amended U.S. Individual Income Tax Return. The IRS explains the correction process in Topic No. 154. Keep a copy of Form 4852 and the records used to prepare it.

Keep records and check state filing rules
Keep your Form 4852, pay stubs, and any correspondence with your employer. IRS FAQ guidance says taxpayers can later check wage information through a my Social Security account or a local Social Security office after the period specified by the IRS; consult the IRS FAQ for the timing and details.
Form 4852 is an IRS form for the federal return. The federal instructions do not establish what substitute documentation a state may require or how to amend a state return. Check with your state tax agency for its forms, deadlines, and correction process.
