Choose a closing that fits your relationship with the recipient and the tone of your note. For a formal or professional thank-you, Sincerely, is a dependable choice; for a personal note, Warmly, or With love, may feel more natural. End with any final thought, put the sign-off on its own line, then sign your name.

Choose a sign-off that fits the relationship

A sign-off is not one-size-fits-all. Emily Post’s examples range from formal to personal, while the Australian Government Style Manual advises matching the sign-off’s formality to the salutation. These are English-language examples, not universal rules for every culture or language.

Email or letter where a short thanks suits the tone Thanks, Microsoft’s corporate style guide permits “Thanks” as a message closing; follow your workplace’s style if it has one. Microsoft Style Guide: thanks, thank you.

Separate the final sentence from the sign-off

Your last sentence is part of the message; the complimentary close and your signature come afterward. Emily Post describes the final sentence as a place to repeat thanks or add a suitable concluding thought. Keep it brief and relevant. The Emily Post Institute puts the emphasis plainly: “The thank-you note is special; it’s to express your appreciation, so keep the focus there.” Emily Post Institute: How to Write a Thank-You Note.

For example:

Thank you again for your generous advice. I’m grateful for the time you took to speak with me.

Your name

In ordinary letter formatting, put the sign-off on its own line and follow it with a comma, then write your name below. A formal example of this structure appears in Emily Post’s Complete Guide to Writing Thank You Notes.

Keep professional thanks focused on what has happened

Thank the recipient for the completed help, gift, introduction, or time. Avoid ending a business letter with “Thank you in advance” for an action the recipient has not yet taken: Emily Post describes that wording as presumptuous. If you need to make a request, keep it distinct from your expression of gratitude and use a closing that fits the relationship. Emily Post Institute: Effective Business Letters.

Make the closing fit the medium

The same basic choices can work in a letter or email, but workplace conventions may affect the best option. For a handwritten note, stationery, a pen, an envelope, and postage are optional practical supplies; Emily Post notes that correspondence cards are commonly used for quick notes such as thanks.
