Understanding Business Bank Account Fees and How to Minimize Them

Compare business checking fees against your real transactions, cash deposits, balances, and payment needs to find avoidable costs and evaluate waiver conditions.

To minimize business bank account fees, compare each account’s full fee schedule against your actual monthly activity—not just its advertised monthly charge. Include transaction and cash-deposit limits, wire and ATM costs, overdraft terms, and the balance or purchase requirements needed to waive fees. Bank terms vary by account and location, so confirm the current business disclosures for the specific institution and state.

Which business bank account fees should you check?

Start with the account’s current fee schedule and agreement. Look for recurring charges as well as costs triggered by particular activity; an account with no monthly fee can still charge for services you use.

  • Monthly maintenance or service fee: Record the amount, when it applies, and every condition for waiving it. Confirm whether the balance is measured daily or as an average, which linked accounts count, and the dates in the service-fee period.
  • Transactions: Check how many items are included and what counts as an item. Deposits, checks paid, electronic transfers, and other activity may be treated differently. Note the price for exceeding the allowance.
  • Cash deposits: Find the included dollar allowance, how deposits are aggregated, the relevant period, and the overage rate. Cash-heavy businesses can face costs even when they stay below a transaction-count limit.
  • ATM and wire services: Compare ATM access and charges, plus domestic and international incoming and outgoing wire fees.
  • Overdraft and returned payments: Read the terms for overdrafts, nonsufficient funds (NSF), and returned items. Determine which transactions can trigger a charge and whether linked protection involves a transfer fee or interest.
  • Access and eligibility: Consider branch and cash-handling access, as well as geographic and account-ownership requirements.

Merchant-processing costs belong in a related but separate comparison: they are not business deposit-account fees. The U.S. Small Business Administration recommends comparing merchant services separately, and advises shopping around because bank rates, fees, and options vary.

How to compare the total cost for your business

Use your own recent account activity to estimate what each option would cost in a typical month. A headline monthly fee alone does not tell you which account is cheaper once your transaction volume, cash deposits, and waiver eligibility are included.

  1. Get the current business-account agreement and fee schedule for the institution and state where you will open the account. Note the schedule’s effective date and whether its service-fee period differs from a calendar month.
  2. Review recent statements and estimate monthly counts or amounts for transactions, cash deposits, incoming and outgoing wires, ATM withdrawals, overdrafts, and returned items. Note both typical and minimum balances.
  3. For each account, calculate the monthly fee plus likely over-limit transaction, cash-deposit, ATM, wire, and other charges. Apply a waiver only if the business can reliably meet its exact conditions at acceptable cost.
  4. Ask the bank to clarify terms that could change the calculation: what counts as a transaction, which linked balances qualify, when a balance is measured, and how cash-deposit volume is counted.

Do not count a waiver as free if earning it requires keeping money idle or changing how the business pays. Compare the cost of meeting the condition—including the opportunity cost of tying up cash or making qualifying purchases—with simply paying the fee or choosing another account.

What published account examples show

The following are examples of product terms, not a national average or a ranking. They may vary by account eligibility, location, and service-fee period; verify the current schedule before relying on them.

Bank of America Business Advantage Fundamentals Banking The fee page lists a $16 monthly fee effective September 23, 2026, after a 12-month introductory period. Waiver paths include a $5,000 combined average monthly balance in eligible linked business deposit accounts, $500 in qualifying net debit-card purchases, or Preferred Rewards for Business membership for eligible accounts. The page requires state selection. Confirm the schedule for your state and the definitions and eligibility for the waiver paths. Bank of America fee page.
Santander Business Checking The current product page lists up to 300 basic transactions and no cash-deposit processing fee up to $10,000 per service-fee period. It shows a $15 fee and waiver paths. A service-fee period may not match a calendar month, and Santander defines which transactions count. Santander account page.
Wells Fargo Navigate Business Checking The current product page lists a $25 monthly service fee with balance or relationship waiver conditions; 250 transactions included before a $0.50 per-transaction charge; and no cash-deposit processing fee for the first $20,000 per fee period before a charge of $0.30 per $100. These examples illustrate why transaction allowances, cash limits, and waiver requirements should be compared alongside the monthly charge. They do not establish what a typical business pays: the sources cited here do not provide a current national average for business checking fees.

How to avoid charges without creating new costs

  • Choose for your activity: If your business routinely exceeds an account’s transaction or cash allowance, compare an account with limits suited to that volume rather than relying on occasional waivers.
  • Stay within included limits: Where practical, plan deposits and payments to avoid charges for excess use. First confirm how the bank counts and aggregates activity.
  • Use qualifying channels selectively: A bank’s own ATM or other qualifying channel may reduce charges, but check the account’s actual terms and whether the change is worth the inconvenience.
  • Protect your operating balance: Set low-balance alerts and keep enough available funds for scheduled ACH payments and checks. Review statements promptly for fees and activity you did not expect.
  • Track fee changes: Read written notices and revisit the comparison when business volume, location, ownership, or account terms change.

Consumer guidance can help explain common charges, but it does not establish that every consumer-account rule or waiver applies identically to business accounts. For example, the CFPB’s monthly-maintenance-fee FAQ addresses a consumer-oriented question; use your business account’s own disclosures to determine why a charge appeared and how it can be waived.

What to know about overdraft protection

Overdraft coverage involves a trade-off between the possibility of a declined payment and the possibility of fees or interest. For consumer accounts, the CFPB says ATM and one-time debit-card overdraft fees generally require the customer to opt in; checks and recurring electronic payments can still result in overdraft or NSF fees. Do not assume those consumer protections define all services or terms for a business account.

  • Check the business account’s rules for checks, ACH payments, debit-card transactions, and ATM withdrawals separately.
  • Ask whether declining coverage can cause a transaction to be declined and what charges may still apply to other payment types.
  • Compare linked-account protection or a credit line by including any transfer fee or interest cost.

The FDIC described overdraft fees as “around $35 per transaction” in consumer guidance published in 2021. That is an approximate consumer-guidance figure, not a current quote or an average for business accounts. The FDIC also advises reviewing disclosures and fee terms when comparing accounts. Does “free” mean every service is free?

No. In its stated consumer-account scope, the CFPB’s definition of an account described as “free” or “no cost” excludes monthly fees and specified transaction, deposit, withdrawal, and transfer fees, while noting that other charges may still apply. That definition does not establish the terms of a business account. Check the business account’s own fee schedule rather than treating “free” as a promise that every service has no charge.
