How do I compare small-business checking accounts, fees, and payment features? Start with your business’s actual monthly balances, transaction mix, cash deposits, and payment needs. Estimate the monthly cost after applying each account’s fee-waiver rules and overage charges, then compare payment options, access, eligibility, and FDIC ownership treatment. Bank terms can vary by account and location; verify the current fee schedule and account agreement before applying.
Build a comparison around your business’s real activity
Use the same representative month and business profile for every account. The goal is to compare what each account would cost and support for your operation—not to rank accounts by their advertised monthly fee.
- Count your activity. Estimate deposits and deposited items, checks, ATM transactions, point-of-sale debit purchases, ACH credits and debits, wires, and cash deposits. Use each bank’s definition of a counted transaction; the categories are not necessarily identical.
- Apply the fee waiver rules. Record the monthly maintenance fee, the balance or activity test that waives it, when and how that test is measured, and whether linked balances or a broader bank relationship count.
- Price activity above included limits. Compare the account’s transaction allowance and cash-deposit threshold with your forecast. Multiply expected excess activity by the disclosed overage rate, and include charges for separate services or channels where applicable.
- Match payment features to your workflow. Check ACH, bill pay, domestic and international wires, mobile check deposits, cash-deposit channels, payment-processing connections, and expedited or same-day options. Note free quantities, caps, cut-off times, and per-payment fees.
- Check day-to-day access and administration. Consider branches and ATMs near your business, cash handling, online and mobile functions, customer support, user permissions, alerts, and bookkeeping or payroll workflows.
- Confirm eligibility and deposit insurance treatment. Check that the business type and owners qualify. For FDIC insurance, the account’s legal title and ownership category affect how deposits are aggregated.
A practical planning formula is: expected monthly account cost = monthly maintenance fee after any waiver + transaction overage charges + cash-processing charges + expected wire, expedited-payment, and service fees. This is an estimate, not a quote. Include only charges that apply under the selected bank’s current disclosures.
Compare the fee mechanics, not just the advertised monthly charge
Two accounts with different monthly fees may have different real costs once waivers, included activity, and overages are considered. Check the fee period and balance-measurement rules as carefully as the dollar amounts.

- Waiver test: Is it based on a minimum daily balance, an average balance, qualifying debit-card purchases, a linked relationship, or another condition?
- Transaction allowance: What activities count, and are limits stated per month, statement cycle, or another fee period?
- Cash allowance: Is it measured by the amount deposited, the number of deposits, or both? What is charged beyond the free threshold?
- Other charges: Are wires, expedited payments, cash services, or particular digital services priced separately?
- Geography and eligibility: Does the fee schedule depend on state, business type, or relationship status?

Compare payment features by the way you collect and pay
ACH and bill pay
Check whether incoming credits, outgoing payments, payroll, vendor payments, and ACH debit activity are included. Find out what counts as an online bill payment and whether expedited ACH or same-day bill delivery costs extra. Capital One notes that expedited ACH options may carry an additional charge.
Domestic and international wires
Compare incoming and outgoing wires separately, including domestic and international prices, any free monthly allowance, currencies, and cut-off times. If a payment involves currency conversion, check whether an exchange-rate cost applies in addition to a wire fee.

Checks, mobile deposits, and remote deposit
Review mobile deposit availability and limits, holds, remote-deposit tools, and any scanner or service costs if your business needs them. An advertised mobile feature may not replace the capacity or limits your deposit volume requires.
Cash deposits
Confirm where you can deposit cash—such as branches or ATMs—and how much cash is fee-free during the bank’s stated fee period. Compare the overage rate against your expected cash intake rather than assuming a low monthly fee makes the account inexpensive for a cash-heavy business.

Customer payment acceptance
Keep the checking account and merchant processing comparison separate. A deposit account may receive customer funds, but card or app acceptance can have its own terms and costs. The FDIC advises small businesses to comparison-shop payment services because costs and terms vary; mobile apps may also charge fees or limit funds availability. The business’s legal form matters. The FDIC says sole-proprietorship deposits are generally insured with the owner’s single-account deposits in that ownership category at the same bank. Deposits of a qualifying corporation, partnership, or unincorporated association are treated under the business-entity category; subject to FDIC requirements, the general limit is up to $250,000 for the entity at one insured bank. Opening multiple checking accounts at the same bank does not automatically multiply coverage. Review the FDIC’s business deposit guidance and confirm how your account title and ownership apply.
Choose the account that fits your operating pattern
Use your activity estimate and fee worksheet to compare the same business profile across providers. A branch-dependent business that deposits cash often may prioritize local deposit access and cash allowances; a business paying vendors electronically may focus more on ACH, wire, and user controls. In either case, compare the likely total cost and operational fit rather than treating one feature as decisive.
Bank prices and terms are time-sensitive, and some disclosures are location-specific. Before opening an account, check the bank’s current fee schedule, account agreement, eligibility rules, and available services for your location.
