How to File GST Returns in India: A Practical Guide for Small Businesses

A practical guide for Indian small businesses to prepare and file GST returns, choose monthly or QRMP filing, check dates and handle nil periods.

For a regular GST-registered small business in India, the recurring filing workflow usually involves reporting outward supplies in GSTR-1, reporting period totals and tax liability in GSTR-3B, and checking GSTR-2B when reviewing input tax credit. First confirm your taxpayer category and GSTIN: composition taxpayers, Input Service Distributors, TDS deductors and e-commerce operators collecting TCS do not follow the ordinary GSTR-1 route. The exact returns and dates depend on your registration and tax period.

Know which GST forms apply to your business

Start with your registration type, not a generic calendar. The ordinary GSTR-1 and GSTR-3B workflow is for applicable regular taxpayers; other categories can have different filing requirements. The GST Portal lists composition taxpayers, Input Service Distributors, TDS deductors and e-commerce operators collecting TCS among categories not required to file GSTR-1. Check the GST Portal’s GSTR-1 FAQ and the return tiles for your GSTIN.

Form What it does What to do with it
GSTR-1 Reports outward supplies, including applicable invoice and other prescribed supply details. File for the relevant period if it applies to your taxpayer type.
GSTR-3B Summarises the period’s tax liability and relevant input tax credit (ITC), and is part of the tax-payment workflow. Prepare and file for the period; confirm the due date shown on the portal.
GSTR-2B A read-only, auto-drafted ITC statement—not a return. Use it to cross-check purchase documents and ITC, then assess eligibility separately.

GSTR-2B is a reconciliation aid, not blanket approval to claim every displayed amount. The GST Portal says taxpayers must self-assess and exclude or reverse credits that are unavailable under other legal provisions. See the GSTR-2B guidance.

Prepare and reconcile records before filing

Gather the documents and totals relevant to the period. GSTR-1 details vary with transactions and taxpayer circumstances, so this checklist is a practical starting point rather than classification advice.

  • Sales register and outward-supply invoices, including customer GSTIN and place-of-supply details checked against source documents.
  • Credit notes, debit notes, export details where applicable, and advances and adjustments.
  • Nil-rated, exempt and non-GST supplies, plus applicable HSN/SAC summaries and specified e-commerce supplies.
  • Purchase records to compare with documents shown in GSTR-2B before determining eligible ITC.

Resolve mismatches against source records and check any applicable restrictions before entering figures. A document appearing in GSTR-2B does not by itself settle whether the credit is legally claimable.

Choose monthly filing or QRMP

The Quarterly Return Monthly Payment (QRMP) Scheme can reduce the number of quarterly return filings for eligible regular taxpayers, but it does not eliminate monthly tax payments. Under the GST Portal’s QRMP FAQ, eligibility includes PAN-level aggregate annual turnover up to ₹5 crore in the current and preceding financial years, where applicable, and filing the latest due GSTR-3B. Confirm the current eligibility rules and option window on the portal before opting in.

Consideration Monthly filing QRMP
Return cadence GSTR-1 and GSTR-3B filed monthly, where applicable. GSTR-1 and GSTR-3B filed quarterly.
Tax payment cadence Follow the applicable monthly payment workflow. Tax is still paid monthly through a challan.
Eligibility Ordinary schedule, subject to the taxpayer’s category. Eligible regular taxpayers must meet the turnover and latest-return conditions.
Earlier B2B invoice reporting Reported through the applicable monthly return process. Optional Invoice Furnishing Facility (IFF) can be used for specified B2B invoice information in the first two months of a quarter.
Operational fit More frequent return work; may suit businesses that want monthly reporting. Fewer quarterly returns, but monthly payment and records work remain; IFF may help when earlier B2B invoice visibility matters.

QRMP election is associated with individual GSTINs. If a PAN has multiple GST registrations, the business can make different choices for different GSTINs, subject to the portal’s rules.

Check the due date for the exact tax period

The GST Portal’s ordinary GSTR-1 reference dates are the 11th of the succeeding month for monthly filers and the 13th after the quarter for quarterly filers. Government notifications may change these dates. For QRMP, the portal advisory gives the succeeding month’s 22nd or 24th as the general quarterly GSTR-3B due date, depending on the state or union territory of the principal place of business. These are ordinary reference dates, not a guarantee for a particular period.

Use the due date shown for your GSTIN and tax period in the portal’s Returns Dashboard, and check for any current notification or extension. The applicable GSTR-3B due date for monthly filers can depend on taxpayer class and current rules, so do not infer it from another business’s calendar.

File through the GST Portal

  1. Sign in to the GST Portal and open Services > Returns > Returns Dashboard.
  2. Select the financial year and tax period. Review the applicable return tiles and displayed due dates for your GSTIN.
  3. Prepare the relevant return using online entry, the GST Portal’s Returns Offline Tool, or a third-party ASP/GSP application for GSTR-1. These are alternative preparation routes; third-party software is not mandatory.
  4. Review the entries against your reconciled records. For GSTR-3B, check the period summary, liability and eligible ITC; use GSTR-2B as a cross-check rather than automatic authorization.
  5. Preview the return and correct errors before submitting it. Complete the portal’s filing steps using the applicable authorized-signatory method.
  6. Download or retain the filed return and supporting records for your business files.

What to do when there were no sales

No sales does not automatically mean every return is nil. The GST Portal’s GSTR-1 FAQ says a nil GSTR-1 is still required for a tax period with no business activity. For nil GSTR-3B, the official manual’s conditions are stricter: there must be no outward supplies, no inward supplies and no tax liability for that period. If there were purchases or a liability, do not use the nil route just because sales were zero.

File a nil GSTR-3B

  1. Open Services > Returns > Returns Dashboard and select the financial year and tax period.
  2. Prepare GSTR-3B and select the nil option only if the period meets all three conditions: no outward supplies, no inward supplies and no tax liability.
  3. Preview the return, file it using the applicable authorized-signatory method, and download the filed return.

Correct a mistake or add a missed sales record

The GST Portal describes GSTR-1A as an optional facility for correcting an error or adding a missed record for the same tax period. It becomes available after GSTR-1 is filed or after its due date, whichever is later, and can be used before filing GSTR-3B for that period. The portal says accepted changes flow into that period’s GSTR-3B, while corresponding recipient ITC appears in the next period’s GSTR-2B. Check the live form and applicable law for the specific record before making a correction.
