Agree on travel billing before you leave, then invoice travel time, mileage, and reimbursable expenses as separate, clearly described items. A contract or written estimate—not an IRS mileage rate—sets what a private client owes. Keep a dated trip log and supporting records for your own tax and business files, whether or not the client asks for them.
Agree on travel charges before the trip
Travel time and travel costs are different charges. Your agreement should say whether each is billable and how it is calculated. U.S. federal tax and travel rules do not establish a universal travel-time fee or private-client reimbursement rate.
- Travel time: State when billable travel begins and ends, whether the client pays your regular service rate or a different rate, and whether you charge a flat fee instead.
- Mileage: Specify the per-mile amount or other calculation method. Do not assume the IRS standard mileage rate is automatically the amount your client must pay.
- Other expenses: Define eligible items, such as parking, tolls, or lodging, and whether they are reimbursed at actual cost.
- Approval and limits: Identify expenses that require advance approval and any spending caps.
- Documentation: Clarify whether the client expects an expense statement or receipt copies, and when payment is due.
There is no single method that suits every private engagement. A flat travel fee is predictable and simple to invoice, while separate time and expense lines show how the total was calculated. Choose the method that fits the trip and make its terms explicit before accepting the work.
Do not confuse tax mileage rates with your invoice rate
The IRS standard mileage rate is a tax reference, not a universal private-client price. Put the agreed rate in your estimate or contract and use that rate consistently on the invoice.

Rates also depend on date and context. IRS Publication 463 (2025) lists $0.70 per business mile for 2025. IRS Notice 2026-10, issued January 20, 2026, initially listed 72.5 cents per business mile for 2026; GSA’s later guidance says the IRS announced an increase effective July 1, 2026. The January notice therefore does not, by itself, describe the full year. Consult the IRS Publication 463, IRS Notice 2026-10, and GSA Bulletin FTR 26-03 for their respective tax and federal-travel contexts.
For qualifying federal official travel, GSA lists a $0.76-per-mile automobile rate effective July 1, 2026 when an automobile was authorized or no government-owned automobile was authorized and available. It lists $0.235 per mile when a government-owned automobile was authorized and available but the traveler chose a personal car. Those federal rates have eligibility conditions; they do not automatically set a private client’s invoice amount. Check the GSA POV mileage rates for the trip date and applicable federal rules.

Keep a trip log and supporting records
Record enough information to substantiate the trip and connect each charge to the client’s work. IRS Publication 463 says independent contractors should adequately account to clients for travel reimbursements or allowances and keep adequate records even if they do not account to the client. If a contractor does not adequately account for a reimbursement or allowance, the publication says it must be included in income.
For each trip, record the date, destination, client or project, business purpose, travel duration, business miles, and individual expenses. Keep receipts, bills, canceled checks, or other supporting documents as applicable. IRS guidance recognizes exceptions to documentary evidence requirements, so it is not accurate to say every expense always requires a receipt. A spreadsheet or other computer-prepared record can be adequate; a paper logbook is optional. Publication 463 states, “You should keep the proof you need in an account book, diary, log, statement of expense, trip sheets, or similar record,” and says a computer-prepared record is considered adequate.

Prepare an invoice that is easy to check
Use separate lines for time, mileage, and each reimbursable cost. This makes it easier for the client to verify the calculation against your agreement.
- Travel time: [date or trip], [hours] × [agreed hourly rate] = [amount]
- Mileage: [business miles] × [contracted mileage rate] = [amount]
- Other approved costs: Itemized parking, tolls, lodging, or other agreed expense = [amount]
Identify any approval or cap that affects a charge, and attach an expense statement or receipt copies if your agreement requires them. Retain your own records regardless. Before sending the invoice, check the dates, rates, approvals, calculations, payment terms, and total due against the written agreement.

Federal contract rules are a separate case
Federal reimbursement guidance should not be applied indiscriminately to private work. GSA rates concern qualifying federal official travel and vary by date, vehicle, and whether an authorized government vehicle was available. FAR 31.205-46 addresses covered contractor transportation costs for official company business; it permits mileage rates, actual costs, or a combination when the method results in a reasonable charge. That is a federal-contract cost-allowability rule, not a general private-client invoicing requirement. See FAR Subpart 31.2.
The cited guidance is U.S. federal guidance. Contract law, tax treatment, and sales-tax rules may differ by location; these federal sources do not resolve state, local, or non-U.S. requirements.
