Billable travel time is whatever your client agreement or written billing policy allows you to charge—not a universal category of work. Confirm which trips qualify, the rate and any cap or approval requirement before you travel. Then record travel separately from service work, link each entry to the right client and project, and review it before invoicing.
Agree on what counts as billable travel before the trip
Check the engagement letter, contract, purchase order or current written client policy. A useful written agreement identifies the kinds of trips that qualify and the terms for charging them. Everhour’s vendor-authored travel-billing guidance recommends agreeing on the trip’s purpose, destination, expected duration, billing rate, expense categories and any cap before departure. Treat this as practical guidance; the client agreement controls what you may invoice.
- Which travel is eligible—for example, travel to a specified client site—and which is not?
- Is travel charged at the regular service rate, a reduced rate or not billed?
- Is there a minimum, maximum or total cap?
- Are expenses handled separately from time?
- Who must approve the trip or time entry, and when?
Do not infer a travel-billing rule from another client’s engagement. If the contract is silent or unclear, get written approval for the trip and its billing terms before relying on the charge.
Record travel separately from service work
Use a distinct “Travel” task or a clear time-entry description rather than folding transit into a service-work entry. Keep approved service hours, approved travel hours and non-billable travel distinguishable. That lets you show what the client is being charged for and retain non-billable travel for project costing without adding it to the invoice.

What to include in a travel entry
- Client and project, plus a separate travel task or category if your tracker supports it.
- Date and duration; capture start and end times too if the client’s process requires them.
- Destination and purpose, in a concise description such as “Travel to client site.”
- Billable or non-billable status and the agreed rate.
- Approval reference or other documentation the client requires.
Start a timer when practical. If you cannot, make a manual entry promptly while the details are fresh. Assign the entry to the correct client and project, and apply the agreed billability rule instead of assuming that all travel is chargeable.
Review travel entries before you invoice
- Separate travel from service entries. Filter or inspect travel entries for the relevant client, project and invoice period.
- Verify each charge. Check that the agreement permits the trip, the duration is accurate, the right rate and any cap were applied, and required approval is documented.
- Check the records. Correct duplicate, incomplete or misassigned entries, and make descriptions understandable to the client.
- Prepare the invoice. Export the reviewed report or transfer the approved entries into your invoice workflow. Keep expenses separate from travel hours when the client’s rules distinguish them.
Time-tracking products describe different ways to support this review: Toggl describes billable flags, rates and report exports; Tempo documents billable-time reports and exports; and TimeStatement describes transferring billable project hours into invoices. Choose a tracker around the billing workflow
A timer alone does not establish whether a client owes for a journey. Choose a tool that helps you preserve the agreement’s rules from entry through invoice review. Compare whether it can:
- Attach entries to the right client, project and task.
- Keep travel distinct and independently mark it billable or non-billable.
- Apply different rates by client, project, task or staff member when needed.
- Let a reviewer approve or correct entries before billing.
- Filter reports by client, project and invoice period, then export or transfer them to your invoicing or accounting workflow.
- Capture time on mobile or offline when travel takes you away from a desk.
- Provide the required functions on a plan you use.
For example, Everhour describes separating billable and non-billable travel tasks; Toggl describes a timer, billable flags, rates and report export; Tempo documents a Jira-based workflow using billable accounts or a billable-hours field with report exports; and TimeStatement describes web and mobile project-time capture, offline use, billability and invoice transfer. Dubsado documents time-entry-to-invoice handling and says time tracking is available on its Premier plan. Capabilities and plans can change, so confirm current details with the provider.

Keep client billing separate from employee pay rules
Client invoicing and employee compensation are different questions. For U.S. wage-and-hour context, the Department of Labor says, “Time spent traveling during normal work hours is considered compensable work time.” Its Travel Time guidance also generally treats ordinary home-to-work travel differently, subject to qualifications. Those federal employee-compensation rules do not by themselves require a client to accept a travel-time invoice; the client agreement governs that billing question.
The DOL announced two situation-specific Fair Labor Standards Act opinion letters on July 22, 2026, involving mid-day travel and travel from home to a first client appointment. The announcement is not a universal rule for every worker or jurisdiction; consult the DOL announcement and applicable law for the facts that concern you.
