Then submit a test lead and verify the record, owner, and notification—not just that the lead arrived.
Choose how leads will enter your CRM
Meta describes the process of bringing instant-form submissions into another system as lead retrieval. Start with the CRM’s native connection if it supports your forms and routing needs; use an automation connector when you need conditional steps, multiple destinations, or additional alerts. A custom API integration is an option for teams able to build and monitor it, but implementation details depend on current Meta developer requirements.

Compare options by destination fit, permissions, supported form fields, routing flexibility, failure recovery, and maintenance—not by claims of instant delivery alone.
Prepare the form, CRM, and access
Inventory what the workflow needs
Before connecting anything, identify the Meta Page, ad account, active instant forms, CRM destination (such as a contact or lead record), required fields, routing criteria, and notification channel. Decide how to handle blank answers, duplicate contacts, consent fields, and unmatched or incomplete routing values.

Confirm permissions before troubleshooting mappings
Access requirements vary by connection. Zapier lists Manage Pages, Manage Ad Account, and Leads Access permissions. HubSpot requires Ads Publish permission in HubSpot plus access to the Facebook ad account and business Page, including Lead Access. Salesforce’s guidance calls for administrator-level Page access and notes that customized Lead Access may need to include the CRM explicitly. If access is customized, grant the integration or CRM access directly.
Connect the integration and map fields
- Connect the right account and Page. In the CRM or connector, authorize the Facebook account that can access the intended Page and ad account. Select the Page and forms you want to sync; confirm each form is active.
- Choose the CRM destination. Select the correct object or destination for new submissions. Salesforce offers different Lead Capture paths for Sales Cloud and Marketing Cloud Engagement, so confirm which Salesforce product and destination your organization uses.
- Map form questions deliberately. Match contact details and qualification answers to appropriate CRM properties. Preserve form identity and source or campaign context where the destination supports them. Verify custom questions and consent fields rather than assuming they will map automatically.
- Check field types and formatting. HubSpot says custom lead-ad fields sync as single-line text properties in its Lead Ad Properties group, and consent fields sync when present. Salesforce’s Marketing Cloud Engagement guide describes mapping Facebook fields to data extension fields. Zapier recommends using regular rather than raw fields to reduce formatting issues.
For HubSpot, active forms on Facebook business Pages enabled for syncing are brought into HubSpot, and synced submissions can be used to segment contacts or enroll them in workflows. Use HubSpot’s current support guide for live interface steps, since labels can change.

For Salesforce Marketing Cloud Engagement, the documented flow uses Lead Capture to select a Facebook Page and lead-generation forms, then maps form fields to data extension fields. Salesforce also documents importing instant-form submissions into Sales Cloud and/or Marketing Cloud through Lead Capture; check the product-specific guide for your destination.
Set rules that route each lead to the right team
Use a clear field from the form or a normalized CRM property to determine ownership. Region, requested service, language, and business unit are common routing inputs. Avoid routing on free-text values unless you have rules to normalize spelling and variations.

- Define the routing input. Choose the form answer or CRM property that determines the owner or team.
- Write deterministic rules. Specify which values route to each team, and check rule order and territory boundaries where rules may overlap.
- Set a fallback. Assign missing or unmatched values to a monitored queue or named owner so no record remains unassigned.
- Trigger assignment on the right event. For HubSpot, use the synced lead-ad form submission as the workflow enrollment trigger. In other CRMs or connectors, confirm the trigger corresponds to the newly retrieved lead.
- Notify the assignee and monitor exceptions. Send an alert to the assigned person or team, and designate someone to check unassigned records and integration failures. An email alert should not be the only record of a lead.
Zapier documents a pattern that creates CRM records and routes leads to a regional team based on location. Treat this as an example: available actions depend on the destination app and plan.

- Create a sample lead using Meta’s testing tool or a vendor-supported test flow. Zapier also recommends using a form that has submissions when testing its trigger.
- Confirm the sample appears in the intended CRM object.
- Compare each CRM value with the form answer, including custom questions, consent, and source context.
- Check that the routing rule assigns the expected owner or team, including the fallback behavior for missing or unmatched values.
- Verify the notification reaches the assignee and that someone can identify integration errors or unassigned records.
Salesforce recommends testing lead capture and nurturing before a campaign runs. For a new HubSpot connection, allow up to two hours for a new lead to appear; HubSpot identifies this as a product-specific expectation, not a universal delivery guarantee.

Troubleshoot missing leads, fields, or assignments
- The Page or form is missing: Check which Facebook account authorized the connection and whether it has Page and ad-account access. Confirm the form is active and belongs to the connected Page.
- Leads are not arriving: Check Lead Access, including customized settings, and refresh or reauthorize the connector if its authentication is no longer current. In HubSpot, verify the intended Page and form are connected and the correct CRM is selected in the Page’s CRM setup. For a new HubSpot connection, account for the documented initial delay.
- Some fields are blank or malformed: Compare the form’s questions with the CRM mappings and confirm that the destination supports the source field type. In Zapier, try the regular field rather than the raw field as its guide recommends.
- The lead arrives but has the wrong owner: Inspect the routing property’s actual value, normalization, rule order, territory boundaries, fallback owner, and trigger. A workflow must enroll on the synced lead-ad submission if that is the event it is designed to handle.
- The setup looks right but has not been validated: Run a test lead through the complete flow and inspect its CRM record, assignment, and alert.
