Set up GST details before entering vouchers
TallyPrime calculates voucher tax from the details configured in your company and accounting masters. Check these before relying on automatic HSN/SAC, rate, and ledger selection. TallyHelp’s sales setup guidance, purchase guidance, and ledger setup instructions describe the relevant configuration.
- Company: Enter the company’s GST registration details.
- Customer or supplier: Set up the party master with its relevant GST details.
- Sales or purchase ledger: Use a ledger configured as applicable to GST. For a purchase subject to reverse charge, configure that treatment where required.
- Stock item or service: Set the relevant GST details, including HSN or SAC and the applicable rate, at the appropriate master level.
- Tax ledgers: Create the relevant CGST, SGST/UTGST, IGST, and Cess ledgers for the transactions you record.
Details may be configured at different master levels, and TallyHelp describes transaction-level overrides where needed. Correct setup helps the software calculate the voucher; it does not establish which rate, exemption, place-of-supply treatment, or input tax credit applies to your transaction.

Choose the invoice mode that fits the transaction
| Voucher | Item Invoice | Accounting Invoice |
|---|---|---|
| Sales | Use for stock items when entering quantities and rates. | Use for a service ledger and amount. |
| Purchase | Use for stock items when entering quantities and rates. | Use for a service ledger and amount. |
To change invoice mode while entering a voucher, press Ctrl+H and select the appropriate mode. The right choice depends on how the transaction is represented in your books and configured chart of accounts; businesses with mixed or unusual transactions should follow those records rather than force a simple goods-or-services distinction.
Record a sales invoice with GST
- Open Alt+G (Go To) > Create Voucher > F8 (Sales). Press Ctrl+H and choose Item Invoice if you are entering stock items.
- Enter the voucher number and date, select the buyer, and fill in buyer, dispatch, order, and place-of-supply details as applicable.
- Select the GST-applicable sales ledger. In Item Invoice mode, add each stock item with its quantity and rate. In Accounting Invoice mode, select the service ledger and enter the amount.
- Select the tax ledgers that match the transaction: TallyHelp’s standard workflow uses CGST + SGST/UTGST for local sales and IGST for interstate sales. Add Cess where it applies. The guide describes a local sale by reference to the supplier’s location and place of supply being in the same state.
- Press Alt+A to open Tax Analysis and Alt+F5 to inspect the detailed tax breakup. Correct any unexpected details, then press Ctrl+A to save.
TallyHelp says an invoice can include multiple stock items or service ledgers, with GST details shown for each entry. HSN/SAC and rates can flow from the relevant setup, subject to transaction-level override where needed. See the TallyHelp sales workflow for its voucher instructions.

Record a purchase invoice with GST
- Open Alt+G (Go To) > Create Voucher > F9 (Purchase). Press Ctrl+H and choose the invoice mode you need.
- Enter the supplier invoice number and date exactly as shown on the supplier’s document, then select the supplier. Add place-of-supply and other receipt, dispatch, order, or import details as applicable.
- Select the GST-applicable purchase ledger. In Item Invoice mode, enter stock items, quantities, and rates. In Accounting Invoice mode, select the service ledger and enter the amount.
- Select CGST + SGST/UTGST or IGST according to the transaction and place of supply, adding Cess if applicable. Do not choose a tax treatment solely from the supplier’s location; confirm the transaction’s correct place of supply and treatment.
- Press Alt+A for Tax Analysis and Alt+F5 for the detailed breakup. Check the result, then press Ctrl+A to save.
TallyPrime also provides a GST invoice portal view for purchase entries and can show GST Status and IMS Action Status. Those product statuses do not by themselves establish that a purchase qualifies for input tax credit. Refer to TallyHelp’s purchase workflow for the documented entry steps.

The key tax-ledger choice is local versus interstate: TallyHelp’s standard instructions direct users to CGST plus SGST/UTGST for local transactions and IGST for interstate transactions. The place of supply and the facts of the transaction determine the correct treatment; use the applicable tax rule rather than assuming the software can decide it from a party record alone. Cess should be included only where it applies. TallyHelp’s purchase guide and sales guide show the corresponding voucher workflow.

- Confirm the buyer or supplier and invoice particulars.
- Check the HSN/SAC, quantity or amount, and applicable rate against the transaction and your configured masters.
- Inspect Tax Analysis and the detailed breakup for the expected tax ledgers and totals before saving.
A saved voucher is an accounting entry, not a standalone determination of statutory filing obligations, tax liability, or input tax credit entitlement. Resolve uncertain tax treatment using transaction-specific authoritative guidance or a qualified tax professional.
