Best Accounts Receivable Software for Small Businesses, B2B Teams, and Enterprises

The best AR software depends on your accounting system and collection needs. Compare accounting tools, collections apps, and enterprise platforms by fit, pricing, and workflow.

There is no single best accounts receivable (AR) platform for every company. If you need accounting and basic invoicing, start with Xero or QuickBooks Online. For an accessible dedicated AR layer, consider BILL; for overdue-invoice workflows, compare Chaser, Paidnice, Kolleno, and Upflow. Versapay suits teams emphasizing customer collaboration and cash application, while HighRadius, Billtrust, Esker, and Quadient AR target more complex enterprise invoice-to-cash operations.

The right choice depends first on your accounting or ERP system, then on invoice volume, collection complexity, payment methods, and implementation budget. Prices below are US figures where available, checked August 16, 2026; vendor prices and plan details can change.

What accounts receivable software does

AR software helps a business move from issuing an invoice to receiving and recording payment. The label covers products with very different scope: accounting programs with invoicing, add-on collections tools, and enterprise order-to-cash suites. A collections tool usually works alongside accounting software; it does not necessarily calculate subscription charges, replace a general ledger, or handle revenue recognition.

  1. Create and deliver invoices, including recurring or adjusted invoices where supported.
  2. Give customers ways to pay, such as ACH, card, bank transfer, or a payment link.
  3. Send reminders and coordinate follow-up on overdue balances.
  4. Track questions, disputes, payment promises, credits, and short-pays.
  5. Match incoming funds and remittance details to invoices, then synchronize results with accounting or ERP software.
  6. Report on aging, collections, and cash visibility.

Not every product covers every step. Before comparing features, decide whether your main problem is creating bills, collecting overdue invoices, reconciling payments, or managing the entire invoice-to-cash process.

Best choices by business need

Small businesses that need accounting and invoices

Start with the accounting system if you do not already have one. Xero combines the general ledger with invoicing and online payment capabilities. QuickBooks Online is a sensible baseline for businesses already running their books there. FreshBooks and Zoho Books or Zoho Invoice are additional small-business and professional-services alternatives, but compare their current plans and limits directly before choosing.

A dedicated AR platform may be unnecessary if invoice volume is modest and the owner or bookkeeper can manage reminders and reconciliation. Add a specialist when follow-up becomes inconsistent, payment matching consumes staff time, or you need standardized collector workflows.

SMBs seeking a dedicated AR layer

BILL is a strong shortlist candidate when the goal is to combine invoice delivery, tracking, reminders, payment acceptance, auto-charge or auto-pay, and accounting synchronization. Its public pricing is easier to compare than quote-only enterprise suites, but calculate costs for the number of users and confirm that the selected tier includes the synchronization method you need. BILL describes integrations with QuickBooks, Xero, NetSuite, Sage Intacct, and Microsoft systems; plan-level differences matter. For US pricing shown on BILL’s page, Essentials is $49 per user per month, Team is $65 per user per month, Corporate is $89 per user per month, and Enterprise is custom-priced. The page indicates that automatic two-way synchronization and ERP connectivity vary by tier; payment-processing fees may be additional.

Teams whose main issue is chasing late invoices

Compare Chaser, Paidnice, Kolleno, and Upflow based on the workflow you actually need. Chaser is a collections-focused alternative. Paidnice is oriented toward reminders, statements, late fees, and interest for smaller businesses using Xero or QuickBooks; secondary coverage reported $69 per month, so verify current pricing and inclusions with the vendor. Kolleno offers a broader AR workspace for growing teams. Upflow emphasizes analytics and collections visibility, but secondary public price signals conflict, so ask for a quote rather than treating any reported number as definitive.

These tools generally sit on top of accounting or billing software. Confirm whether they merely send reminders or also support customer account context, payment workflows, reconciliation, dispute handling, and the accounting synchronization your team depends on.

Professional services and agencies

For retainers, deposits, milestones, time-based invoices, partial payments, or payment plans, first check whether your accounting or billing system can represent the contract and create the correct invoice. A collections product can help manage what happens after issuance, but should not be assumed to calculate project charges or replace time tracking. Test how reminders can be tailored by customer and whether disputes or promised payment suppress automatic follow-up.

SaaS and recurring-revenue businesses

Separate billing from receivables. If you need to calculate subscription or usage charges, handle upgrades, downgrades, credits, proration, or failed subscription payments, a billing engine such as Chargebee or Stripe Billing may be central to the solution. An AR product may then provide invoice-to-cash visibility and collections for invoices the billing system has produced. Confirm how the systems exchange invoices, credits, payments, and customer records; do not assume an AR tool handles deferred revenue or revenue recognition.

Invoiced is a candidate for mid-market businesses seeking recurring billing, multi-currency payments, a customer portal, and reconciliation workflows. Its pricing is described as quote-based in secondary coverage. Upflow is another option when analytics and collections visibility matter. Compare both against your billing engine and accounting system rather than selecting on an “AI” label alone.

Xero or QuickBooks users

If your existing accounting software already handles the volume and workflow, keep it as the system of record and test native reminders first. Xero’s US AR page presents invoicing and online-payment capabilities as part of its accounting offer; specialized collections or cash-application needs may call for an add-on. QuickBooks Online is best treated as a baseline for existing users, not automatically as a substitute for a dedicated B2B collections platform.

Xero’s US page showed regular monthly plan prices of $25 for Early, $55 for Growing, and $90 for Established after an introductory period. The same page showed introductory prices of $5, $11, and $18 per month for the first three months, respectively. Mid-market teams prioritizing customer collaboration

Versapay belongs on the shortlist when customers need a shared place to view invoices, make payments, or resolve account questions and the finance team wants collections and cash-application capabilities. Capterra describes it as an invoice-to-cash platform covering invoicing, payments, and AI-assisted cash application; its listing does not provide a starting price. Enterprise and multi-entity finance teams

HighRadius, Billtrust, Esker, Versapay, and Quadient AR are candidates when the work spans large volumes, multiple entities or countries, complex deductions, or ERP-scale processes. HighRadius describes functionality across invoicing, collections, cash application, deductions, and payment tracking, and notes outcome-based pricing for some AR automation engagements. Billtrust is a candidate for complex B2B billing, electronic invoicing, and payment-network needs. Esker is positioned for global, multi-ERP order-to-cash deployments. Quadient AR, formerly YayPay, is associated with predictive collections and workflow management.

These vendors use sales-led or quote-based buying paths rather than comparable public monthly prices. Compare them on ERP fit, data flows, exception handling, implementation ownership, and contract scope—not on a feature checklist alone. Official starting points include HighRadius AR software, Billtrust, Esker Order-to-Cash, and Quadient accounts receivable solutions.

What to compare before you choose

Accounting and ERP integration

This should be the first filter. Establish which system owns invoices, customer records, payments, credits, and write-offs. Ask whether the connection is native or partner-built, one-way or two-way, included in the quoted plan, and real-time or scheduled. Verify which objects synchronize, how errors appear, and whether the integration supports multiple entities. A vendor saying it “integrates with” your ERP is not enough to establish that your required workflow is covered.

Automation and customer treatment

Distinguish a scheduled reminder from a multi-step collections process, late-payment prediction, automatic cash matching, or autonomous customer communication. Ask what data automation uses, which actions require approval, whether users can inspect or override decisions, and what happens when confidence is low. A practical system should allow follow-up to be suppressed for active disputes, recent payments, payment promises, partial payments, or strategically sensitive accounts.

Payments, reconciliation, and exceptions

Check the exact payment methods available in your region, whether saved payment methods and auto-pay are supported, and the cost and settlement timing for ACH, cards, international payments, and currency conversion. For reconciliation, test combined and partial payments, missing remittance details, deductions, and unapplied cash. Ask how returned ACH payments, chargebacks, duplicate payments, credit memos, and wrong-entity payments are routed to a person.

Reporting, usability, and governance

Make sure reports answer your operating questions, such as which balances are overdue, which accounts need action, and how disputes age. Have collectors and a sample customer test the interface: can a customer find an invoice and ask a question, and can a collector see the account history without re-entering data? For larger teams, confirm role-based permissions, approval controls, segregation of duties, SSO, audit-log retention, data-hosting location, and export options.

Compare total cost, not just subscription price

Estimate the recurring and one-time costs together: subscription, users, entities, invoice or payment volume, payment-processing charges, ERP connectors, portal or e-invoicing fees, implementation, migration, premium support, and internal administration. A low subscription can cost more overall if card or international-payment charges are high or the needed integration is on a more expensive tier.

For enterprise products, request a written breakdown of implementation, data migration, connector, support, and renewal charges. For all tiers, model transaction fees using your likely payment mix rather than assuming the subscription includes payment processing.

A practical selection process

  1. Write down the problem. Decide whether you need accounting, invoice generation, subscription billing, reminders, collections workflow, cash application, dispute management, or a combination.
  2. Name the system of record. Specify where customer, invoice, payment, credit, and write-off data will be created and maintained.
  3. Filter by accounting or ERP fit. Eliminate products that cannot synchronize the objects and entities you require at an acceptable cost.
  4. Map real exceptions. Use examples from your business: partial payment, deduction, dispute, duplicate deposit, missing remittance, returned ACH, or currency mismatch.
  5. Calculate total cost. Include users, transaction charges, implementation, connector fees, and internal administration.
  6. Run a workflow demonstration. Ask the vendor to show an invoice through reminder, payment, reconciliation, and exception handling—not just a clean dashboard.
  7. Set governance before automation. Define which messages and matches can run automatically, what requires approval, and how errors are audited and corrected.

Questions to ask during a demo or RFP

  • Does the product create invoices, or does it collect and reconcile invoices created elsewhere?
  • Which system is the source of truth, and which records sync in each direction?
  • Is the integration native, included in this quote, and available for our exact plan and ERP edition?
  • How are sync failures surfaced, and can we use an API, sandbox, or webhooks?
  • Can a workflow pause reminders for disputes, partial payments, recent payments, or promises to pay?
  • How does it handle a payment spanning several invoices, deductions, short-pays, credits, and missing remittance?
  • Which payment methods are supported, what are all related fees, and when do funds settle?
  • Which AI actions execute automatically, which require approval, and what audit trail is retained?
  • What are the implementation responsibilities, data-migration scope, support terms, and additional fees?
  • Can we export customer, invoice, payment, and workflow data if we leave?

Common buying mistakes

Buying the wrong category

An AR tool may not solve a billing-engine, revenue-recognition, credit-underwriting, payment-processing, or customer-data problem. Identify where the process is failing before buying an add-on.

Creating duplicate records

Creating invoices in both accounting software and an AR platform can result in duplicate invoices, conflicting balances, duplicate reminders, and reconciliation errors. Define the system of record and the direction of synchronization during implementation.

Automating without exception controls

A generic reminder can damage a customer relationship if it goes to the wrong person or chases an invoice already paid or under dispute. Configure suppression rules, account-specific terms, and human review for sensitive cases before broad rollout.

Assuming “AI” means autonomous resolution

Ask whether AI suggests a match or posts it, what happens at low confidence, whether corrections improve later recommendations, and whether generated communications can be reviewed. The label alone does not tell you how much work is automated.

Overbuying an enterprise suite

A company needing invoice creation, payment links, reminders, and basic aging may not benefit from the implementation burden of a multi-ERP order-to-cash suite. Conversely, a large organization with deductions and multiple entities may outgrow a reminder-only app.
