Best Free POS Systems in 2026: What “Free” Really Costs

Square Free is the leading starting point for a $0 monthly POS subscription, but processing, hardware, and upgrades determine the real cost. Compare it with Shopify and Toast by payment channel and business needs.

Square Free is the strongest starting point for most US businesses seeking a POS with no monthly software subscription. It still charges payment-processing fees, and you may pay for a card reader, terminal, or add-on features. The right choice depends on your sales channels, inventory and staff needs, hardware, and the cost of upgrading later.

This comparison reflects US pricing and vendor information available September 30, 2026. Prices, eligibility, and supported devices can change, so confirm terms with each provider before signing up.

What “free POS” means

A free POS usually means $0 for the software subscription—not $0 to operate. Costs can include a percentage and fixed fee on each payment, card readers or terminals, optional modules, internet service, and implementation. Compare total operating cost rather than the headline subscription price.

Best free POS systems compared

System Subscription evidence Payment and hardware considerations Best fit
Square Free No monthly subscription cost for the Free plan. Square lists US rates of 2.6% + 15¢ for in-person payments, 3.5% + 15¢ for manually entered card payments, and 2.9% + 30¢ for online-store payments in its 2025 article. Hardware options start at $59, although some payment methods need no hardware. Small retailers, service businesses, pop-ups, and other operations that want to start quickly without a recurring POS fee.
Shopify POS Not a free no-subscription POS in the US: Shopify lists Basic at $39 per month. POS Pro adds $89 per month per location. Useful when your business already runs on Shopify ecommerce. Optional checkout accessories include barcode scanners; verify compatibility with your tablet and operating system. Shopify merchants who need connected online and in-person selling and accept a paid plan.
Toast Package-specific; Toast’s published information does not establish a universal free plan. Hardware and implementation costs vary. Toast services require approved compatible devices, and support is included in software subscriptions. Restaurants willing to evaluate a current Toast package and its implementation quote.
Loyverse, Helcim, SpotOn, Odoo, and PayPal POS As of September 2026, no current detailed terms for these vendors were published with their differing free-plan features and limits. Verify each provider’s current US pricing, processing schedule, hardware requirements, integrations, and support directly before relying on a free tier. Businesses prepared to conduct a provider-by-provider verification rather than choosing on the word “free.”

1. Square Free: the best place to start

Square says its Free plan has no monthly subscription cost. You pay when you process a transaction, and optional equipment or paid add-ons can increase the bill. Square reported more than 4 million merchants in a December 19, 2025 article; that is Square’s own figure, not independently verified market share.

#1 Best Overall
Square Terminal - Credit Card Machine to Accept All Payments | Mobile POS
  • With Square Terminal, you can ring up sales, accept payments, and print receipts, all with one device. Use it at the counter or ring up customers anywhere in your store.
  • Accept all major credit and debit cards and pay one low rate with no hidden fees and no long-term contracts.
  • Process chip cards in just two seconds.
  • Get your money as soon as the next business day.
  • Use it cordlessly with the built-in battery, designed to last all day.

Processing fees by channel

  • In person: 2.6% + 15¢ per transaction.
  • Manually entered card: 3.5% + 15¢ per transaction.
  • Online store: 2.9% + 30¢ per transaction.

These are the standard US rates Square presented in its 2025 article. They are not proof that Square is the cheapest processor; confirm the rate schedule that applies to your account and payment method.

When hardware is optional

Square’s US pricing FAQ says, “You do not need to purchase hardware to take payments with Square.” It identifies invoicing, payment links, virtual terminal, and Tap to Pay as hardware-free methods. That does not mean every physical checkout can operate without a reader or terminal. Square lists hardware options starting at $59, so price the device needed for your actual workflow.

Who should choose it

  • A new or small business that wants to avoid a recurring software bill.
  • A seller taking a mix of in-person, invoice, payment-link, or online payments.
  • An operation comfortable comparing transaction fees instead of paying a larger fixed subscription.

2. Shopify POS: an upgrade path, not a free plan

Shopify is relevant when ecommerce is central, but its US pricing page lists Basic at $39 per month. POS Pro costs an additional $89 per month per location. Describe Shopify’s casual in-person capabilities as part of a paid Shopify plan rather than as a free POS.

Retailers may add accessories such as a POS barcode scanner. Confirm the scanner’s compatibility with your selected Shopify setup, tablet, and operating system before buying.

3. Toast: evaluate it as a restaurant package

Toast’s hardware and implementation costs vary, and its services are limited to approved compatible devices. Support is included in software subscriptions. Because Toast’s published information does not establish one universal free Toast plan, restaurant owners should request a current package, hardware list, implementation estimate, processing terms, and contract conditions before comparing Toast with a $0-subscription product.

How to compare a free POS before signing up

  1. Define every payment channel. List in-person tap or chip payments, keyed or card-not-present sales, online checkout, invoices, and payment links. A plan that is free for one channel may be expensive for another.
  2. Calculate realistic processing cost. Multiply each channel’s fee by your expected monthly volume and add the per-transaction charge. Use your average ticket, because a fixed 15¢ or 30¢ matters more on small purchases.
  3. List required hardware. Identify whether you need a reader, terminal, receipt printer, cash drawer, or barcode scanner. Check operating-system and provider compatibility before purchasing.
  4. Test operational features. Confirm inventory depth, employee permissions, reporting, ecommerce synchronization, refunds, tax settings, and restaurant workflows as applicable.
  5. Price the next stage. Record the cost of paid add-ons, additional locations, advanced reporting, and support. A low-cost start can become expensive if migration is difficult.
  6. Verify current terms. Confirm country eligibility, rates, hardware availability, cancellation rules, and data-export options on the provider’s current official pages.

Match the POS to your business

Retail and pop-up sellers

Prioritize a fast card-present checkout, inventory counts, receipts, and portable hardware. Square Free is a practical first candidate when avoiding a monthly fee matters; include reader or terminal cost in your budget.

Service businesses and freelancers

Invoicing, payment links, virtual terminal access, and Tap to Pay can reduce the need for dedicated checkout hardware. Check the keyed-entry rate before assuming remote payments will cost the same as tap or chip transactions.

Online-first brands adding a counter

Shopify can make sense if you already pay for Shopify ecommerce and need synchronized products and orders. Its listed US subscription and POS Pro location fee mean it should be compared as a paid platform, not a free alternative.

Restaurants

Restaurant-specific workflows, approved devices, implementation, and support can outweigh a $0 software headline. Obtain a current Toast proposal or compare other restaurant platforms using the same hardware and contract checklist.

Common mistakes to avoid

  • Calling a plan free while ignoring processing fees.
  • Assuming hardware-free payment methods cover a full physical checkout.
  • Comparing Square’s in-person rate with another provider’s online or keyed rate.
  • Choosing an unverified free tier based only on an independent comparison.
  • Leaving upgrade, additional-location, and implementation costs out of the decision.

Frequently Asked Questions

Can I use Square without buying hardware?

For invoicing, payment links, virtual terminal, and Tap to Pay, Square says hardware is not required. A physical checkout may still need a compatible reader or terminal.

Is Shopify POS free?
