It is free and open source under the GNU GPL, but you still pay for hosting, administration, security, implementation, training, backups, and support. It is most attractive to a business that needs integrated accounting, inventory, purchasing, sales, and basic manufacturing and has someone able to operate a PHP application.
It is a weaker choice if you expect instant cloud deployment, a polished mobile interface, advanced production scheduling, integrated retail hardware, payroll, or a large vendor-managed integration ecosystem.
What webERP is
webERP is a PHP web application connected to MySQL or MariaDB. Users work in a modern HTML5 browser, while the company runs the application on its own server, a virtual private server, internal infrastructure, or a hosting provider. “Web-based” describes the browser interface; it does not mean that the project supplies a managed cloud service.
The project describes webERP as a low-requirement system designed to work over modest connections, minimize proprietary dependencies, and keep its PHP code readable and modifiable. Its stated audience includes small and medium-sized manufacturing, distribution, wholesale, hospitality, and healthcare businesses. Those are intended markets, not a guarantee that every workflow or company size will fit.

Project materials describe the current release as webERP v5.0.1 for PHP 8 as of January 1, 2026. The repository records a v5.0.0 release on November 24, 2025 and continued development in 2026, including a forecasting module committed on March 19, 2026. Verify the release and compatibility before deployment at weberp.org and the webERP repository.
There is a live demonstration at weberp.org/demo, but the project says the v5 demo resets hourly. It is useful for exploring menus, not for proving security, performance, data-import quality, or production suitability.

A manual example discusses an installation supporting up to 50 simultaneous users, but that is a historical configuration example, not a guaranteed capacity limit. Do not choose webERP on a presumed user ceiling; test your own transaction volumes and reports.
What the system can do
Accounting and financial control
- General ledger, accounts receivable, and accounts payable.
- Customer receipts, supplier payments, invoices, and credit notes.
- Tax configuration, fiscal periods, currencies, and exchange rates.
- Fixed-asset additions, depreciation, and disposals.
- PDF reports, bank-account permissions, and accounting-linked operational transactions.
The feature list describes tax rules based on product type, warehouse location, customer location, and multiple tax authorities. It also describes currency tables that can be updated from European Central Bank rates. Confirm the exact tax and statutory behavior for your jurisdiction before relying on it: webERP feature list.

- Quotations that can become sales orders.
- Customer references, dispatches, packing slips, invoices, and credit notes linked through the normal workflow.
- Multiple dispatches and delivery-in-full/on-time reporting.
- Customer- and branch-specific pricing, quantity breaks, recurring orders, and freight calculations.
Purchasing and suppliers
- Purchase orders and supplier tenders.
- Supplier records, invoices, and payments.
- Purchasing transactions integrated with inventory and the ledger.
The online documentation covers purchase ordering, supplier tenders, accounts payable, and supplier payments: documentation index and manual contents.
Inventory and warehousing
- Multiple warehouses or stocking locations with quantities by location.
- Stock receipts, issues, inquiries, picking, and dispatch.
- Price lists, branch-specific and customer-specific prices, and job-related inventory.
The project describes an application model supporting unlimited inventory locations. Treat that as a software capability, not proof of unlimited operational scale.
Manufacturing, jobs, and planning
- Bills of material and assembly items.
- Work orders, manufacturing, job costing, labour, and quality assurance.
- Material-requirements planning and forecasting.
There is an important boundary: the official feature page says recursive MRP is available, but capacity-requirements planning and full MRP II are not currently available. If finite-capacity scheduling, detailed shop-floor control, or advanced costing is central to your operation, require a realistic pilot rather than relying on the word “manufacturing.”
Reporting, permissions, and customization
- PDF reports and an SQL Report Writer.
- User permissions and role-based menus.
- Themes, multilingual operation, API documentation, and customizable PHP forms and reports.
The project advertises 37 languages and nine themes; check those figures against the exact release you will install. Readable source is useful for customization, but every local change becomes a maintenance and upgrade responsibility.

Add-ons and limits
webSHOP provides an ecommerce portal and CounterLogicPOS provides a point-of-sale portal. They are add-ons, not proof of a modern omnichannel suite. The built-in counter-sales facility is described as rudimentary and does not integrate with cash drawers or EFTPOS equipment.
Technical requirements and deployment
For a new installation, use the repository requirements rather than relying only on the website’s broad “PHP 8” wording:
- Apache, Nginx, Lighttpd, or Hiawatha (all listed as tested web servers).
- PHP 8.1 or newer.
- MySQL 5.7.5 or newer, or MariaDB 5.5 or newer; MariaDB 10 is recommended.
- An HTML5-capable browser.
These requirements are listed in the source repository. Confirm extensions and supported combinations for the selected release before provisioning a server.
Installation sequence
- Prepare the web server, PHP runtime, and MySQL/MariaDB database.
- Download the selected release from GitHub.
- Copy the PHP files into the document root or virtual host.
- Create the database and database user.
- Edit
config.phpwith the connection and installation settings. - Open the site in a browser and complete the initial setup.
- Log in, create users, and assign permissions.
- Configure the company, fiscal settings, taxes, currencies, warehouses, and ledger accounts.
- Create inventory items, customers, suppliers, opening balances, and price lists.
- Run test sales, purchasing, inventory, invoicing, tax, and accounting flows before importing live data.
The manual explains the sequence at ManualContents.html. It does not provide one universal shell-command recipe for every Linux distribution, web server, and deployment model, so avoid copying an unverified command set into production.

A successful setup should show a browser login screen, an initialized company database, dashboard menus, configurable roles, database-backed modules, and report generation including PDF output.
Production operations and failure recovery
Self-hosting makes the customer responsible for uptime and data protection. Third-party hosting does not remove that responsibility: the manual tells customers to configure their own backups and assess redundancy, physical security, power, and connectivity.
Minimum production controls
- HTTPS and restricted database access.
- Least-privilege database credentials.
- Scheduled database and file backups with a tested restore.
- Server patching, access logging, and monitoring.
- Separate demo or staging and production environments.
- A documented upgrade and rollback plan.
Common installation problems
- PHP version mismatch: compare the server with the release and repository requirement of PHP 8.1 or newer.
- Missing extensions: inspect the PHP error log and install the extensions required by the selected release.
- Database errors: verify the database name, credentials, host, permissions, character set, and collation.
- Configuration or file-permission errors: check
config.php, the virtual host, and ownership without making the whole web tree writable. - Rewrite or login problems: review web-server virtual-host and rewrite configuration.
- PDF or email failures: test the PDF library and outbound mail settings independently before go-live.
- Upgrade failures: restore the pre-upgrade database and files, then test the upgrade in staging before retrying.
Keep customizations in version control, document every change, test database upgrades, and retain rollback backups. Readable code helps an experienced developer; it does not guarantee that arbitrary edits will survive a future release.
How to evaluate webERP before committing
- Explore the live demo, remembering that it resets hourly.
- Model five to ten representative products, customers, suppliers, warehouses, and price lists.
- Run an order-to-cash test: item, quotation, sales order, dispatch, invoice, and receipt.
- Run procure-to-pay: purchase order, receipt, supplier invoice, and payment.
- Test taxes, currencies, fiscal periods, and opening balances for your jurisdiction.
- If relevant, model a bill of material, work order, job cost, and forecast; identify any need for capacity planning.
- Export every report required by management, auditors, and accountants.
- Test role permissions with ordinary user accounts.
- Ask an accountant to reconcile the resulting ledger.
- Estimate migration, integration, custom-report, training, hosting, backup, and support work.
- Decide who owns patching, restores, monitoring, and upgrades.

The project pages do not publish a standard bundled hosting, implementation, or support price. The commercial decision is therefore usually a services-and-infrastructure decision rather than a software checkout.
Advantages and disadvantages
Advantages
- No per-user software license fee.
- Self-hosting or managed-hosting flexibility.
- Integrated accounting, sales, purchasing, inventory, and manufacturing coverage.
- Source-level customization, role permissions, multilingual operation, and browser access.
- Documentation, source code, and a demo available before commitment.
Disadvantages
- Infrastructure, security, backups, and upgrades remain someone’s job.
- The interface may feel traditional beside cloud-first competitors.
- Capacity planning, MRP II, advanced POS hardware, payroll, and some integrations require verification, add-ons, or custom work.
- Country-specific statutory compliance is not automatic.
- Custom code can complicate upgrades, and community support may be less predictable than a major commercial vendor.

ERPNext
ERPNext offers a broader open-source application ecosystem and hosted deployment through Frappe Cloud. The pricing page showed site plans from $5 per month and server plans from $20 per month when checked August 18, 2026; prices and tiers should be rechecked before purchase. See ERPNext and Frappe pricing. Migration and implementation remain substantial, and webERP customizations are not portable by assumption.
Odoo
Odoo covers accounting, CRM, ecommerce, inventory, POS, HR, projects, and more. Its pricing page showed a free one-app plan, Standard at $24.90 per user per month billed yearly, and Custom at $49 per user per month billed yearly when checked August 18, 2026. Choose webERP when integrated accounting is central, inventory and sales processes are structured, PHP/MySQL or MariaDB skills are available, and avoiding recurring per-user licensing matters more than a polished SaaS experience. It can also suit a small manufacturer whose planning needs stop short of finite-capacity scheduling.
Be cautious when payroll, country-specific statutory reporting, advanced manufacturing, retail hardware, offline operation, extensive integrations, mobile-first workflows, or vendor-managed security are core requirements. In those cases, compare a managed alternative or budget for specialist customization and support.
The Bottom Line
Bottom line: webERP is a credible, actively developed open-source ERP for organizations willing to own the operational work behind “free” software. Run a representative accounting and operations pilot, price the infrastructure and implementation realistically, and choose another platform if SaaS convenience, advanced production planning, or integrated modern POS is non-negotiable.
