A useful free Google Sheets bill calendar needs more than a monthly grid. The workbook described here combines a calendar view with separate Bills and Events tables, so you can record due dates, amounts, payment status, appointments and other activities, then filter the underlying records. It works without paid software or add-ons for manual tracking, but it does not create Google Calendar reminders by itself.
What this free workbook includes
Use six tabs so data entry remains separate from the presentation view:

Generic collections such as Smartsheet’s monthly Google Sheets calendars and Vertex42’s monthly calendar are useful starting layouts, but a visual calendar alone normally lacks bill amounts, payment status and recurring-payment rules.
Make your private copy
- Open the template or spreadsheet.
- Choose File → Make a copy, name the file and select a Drive folder. Google documents this workflow in its Template Gallery and copying guidance.
- Work in your copy, not a public master. Edit the input cells on Bills, Events and Settings; leave formula and dashboard ranges unchanged.
- On desktop, set the year and month selectors. The Google Sheets mobile app can open the file, but complex setup and formula editing are generally easier on a larger screen.
Build the input tables

Keep amounts numeric and apply currency formatting; typing “$75” as text prevents reliable totals. Distinguish the due date (when payment is required), reminder date (when you want a prompt), and paid date (when the transaction occurred). Estimated and actual amounts are useful for variable bills.
Events table
Use Event ID | Event name | Date | Start time | End time | Category | Status | Location/link | Reminder date | Notes. For example, a dentist visit can include a start time and insurance-card note, while a subscription renewal can use the Bill category and an amount in the Bills table.
Choose a recurring-bill policy
For a general-purpose template, enter one row per expected payment occurrence for the current year. It is easier to audit and mark paid than a formula that tries to invent every future date. Keep an optional recurring-bill reference list for monthly, quarterly and annual patterns.

- Decide explicitly what happens to bills scheduled for the 29th, 30th or 31st when a month lacks that day: use the last day, skip the month or enter a manual adjustment.
- Enter the actual date when a biller shifts a due date for a weekend or holiday; Sheets cannot know that policy automatically.
- Record leap-day payments and variable amounts as their own occurrences.
- Do not assume an autopay withdrawal date equals the bill’s due date.
Generate the calendar view
Put the selected year in B1 and month number in B2. In the first Sunday cell of a seven-column grid, use:
=DATE($B$1,$B$2,1)-WEEKDAY(DATE($B$1,$B$2,1),1)+1
Each following cell can use =previous_cell+1. Format the grid as dates and shade days outside the selected month. Google Sheets documents date and aggregation functions in its function help and function reference.

IFERROR prevents a blank date from showing a FILTER error; long names may make cells crowded, so use the list view for detail.
Track paid, unpaid and overdue bills
Use a Status dropdown such as Paid, Unpaid, Scheduled, Completed and Skipped. Checkboxes are also supported and evaluate as TRUE or FALSE; see Google’s checkbox and notification guidance.
Apply rules through Format → Conditional formatting (see Google’s instructions):
- Overdue red:
=AND($C2<TODAY(),$H2<>"Paid") - Due within seven days yellow:
=AND($C2>=TODAY(),$C2<=TODAY()+7,$H2<>"Paid") - Paid green:
=$H2="Paid" - Events blue and completed or skipped gray, using Type or Status rules.
TODAY() changes as the date advances, so a previously selected month can change color without any data entry. For totals, use numeric date and amount columns:

For unpaid scheduled amounts:
=SUMIFS(Bills!$D:$D,Bills!$C:$C,">="&start_date,Bills!$C:$C,"<="&end_date,Bills!$H:$H,"<>Paid")
These are recorded or scheduled amounts, not bank balances or financial advice.
Monthly, yearly and list views
- Monthly: day-to-day visibility for bills and appointments.
- Yearly: annual subscriptions, insurance renewals, taxes, birthdays and school dates.
- List: filters for overdue, unpaid or next-30-day items.
Reminders and Google Calendar synchronization
A date in a cell is not a Google Calendar alert. Sheets can highlight dates and send spreadsheet-change notifications through Tools → Notification rules, but those notifications concern edits rather than automatically creating a reminder for every due date.

Marketplace listings currently advertise spreadsheet/calendar workflows for Sheet2Cal (its listing says up to 10 events per day on a free tier) and Sheets2GCal (free use with paid features). Limits, permissions and pricing can change. Review access before installation, test with non-sensitive rows, and watch for duplicate events or integrations that do not delete a Calendar event when a row is removed.
Share without exposing financial details
- Owner: full control; partner or household member: Editor when both people update statuses.
- Helper or adviser: Viewer or Commenter when editing is unnecessary.
- Avoid “Anyone with the link” for personal bill data.
- Do not store passwords, bank logins, full account numbers or security answers. Account links can reveal information even without credentials.
- Protect formula ranges while leaving input cells editable, but do not treat protection as encryption or a password. Google warns that protected ranges can still be copied, printed or exported: protected sheets and ranges.
- Use version history or a backup before changing tab names, columns or helper sheets.
Print or export the calendar
Use landscape orientation for a seven-column grid, set the print area to the calendar and summary, and choose fit-to-width. Hide helper columns, then export a PDF before distributing a static copy. Google explains print, copy and download options at Sheets’ file-management help.

Troubleshoot common failures
Dates do not sort or match
Re-enter the value as a true date and check locale settings; 03/04/2026 can mean March 4 or April 3 depending on locale. Use an unambiguous date format such as 2026-03-04.
A calendar cell shows an error
Wrap FILTER in IFERROR. Confirm the Bills and Events date columns contain real dates and that the formula’s ranges still point to the correct tabs.
Formulas broke after editing
Restore the original tab name or column position, check absolute references such as $C$2:$C, and recover an earlier version if necessary. Broad or duplicated conditional-formatting rules can also slow a large sheet; Google provides performance guidance at this help page.
The calendar is too crowded
Keep the grid to short names or counts and use the list view for notes, links and multiple same-day items.

Use the combined workbook when you want a free, customizable register and are comfortable maintaining it manually. Add Google Calendar for dependable time reminders, or choose dedicated budgeting software when bank synchronization and automated categorization matter more than spreadsheet control.
