A use-case comparison of 2026 inventory software pricing, limits, integrations, manufacturing depth and demo tests for ecommerce, wholesale, retail and production businesses.

There is no single best inventory platform for every business. As of August 2026, Zoho Inventory is the strongest starting point for many small online sellers because it combines a free plan with transparent paid tiers. Cin7 Core is better suited to growing multichannel, wholesale, and light-manufacturing operations that can support substantially higher costs. Fishbowl deserves special attention from QuickBooks-centered distributors and manufacturers.

Your shortlist should be based on order volume, sales channels, warehouses, manufacturing, traceability, accounting integrations, and total cost—not on a feature-count list or a vendor’s “best overall” label. Prices and plan limits below were observed in August 2026 and can change.

What inventory-management software should handle

A stock-counting app is not automatically an inventory-management system. A useful platform should support the workflow from purchase through reconciliation:

  1. Purchase orders and supplier lead times
  2. Receiving, partial receipts, and putaway
  3. Warehouse, bin, and location assignment
  4. Available, committed, damaged, quarantined, and in-transit quantities
  5. Sales orders, picking, packing, shipping, and tracking
  6. Returns, RMAs, and restocking decisions
  7. Reorder points and purchasing recommendations
  8. Accounting postings, valuation, and COGS
  9. Cycle counts, adjustments, permissions, and audit trails
  10. Assemblies, bills of materials, or production planning where needed

Look for variants, bundles, units-of-measure conversion, substitute items, landed cost, currencies, price lists, barcode scanning, serial numbers, lot or batch numbers, expiration dates, FEFO picking, recall support, and integrations with Shopify, Amazon, eBay, WooCommerce, BigCommerce, Walmart Marketplace, POS, EDI, 3PLs, carriers, and accounting software. “Supports” is not a depth guarantee: require a demonstration of your actual workflow.

Best software by business model

Best value for small online sellers: Zoho Inventory

Why it fits: Zoho’s US page lists a free plan and annual-billing monthly prices of $29 Standard, $79 Premium, $129 Plus, and $249 Enterprise. The corresponding highlighted limits are 500, 3,000, 7,500, and 15,000 orders per month; users range from three to ten and locations from two to ten on those paid tiers. Zoho advertises barcode and RFID support, batch and serial tracking, reorder points, multiple warehouses, reporting, permissions, shipping connections, and sales-channel synchronization.

Best for: startups, small ecommerce sellers, and companies already using Zoho Books or another Zoho product.

Not for: complex manufacturing, highly specialized warehouse execution, or enterprise governance.

Before buying: model your peak month, not just average volume. A low monthly price can stop being low when order, location, user, or integration limits are reached. Use the product page’s “Watch Demo,” “Schedule a Demo,” or “Sign Up for Free” paths.

Best for growing multichannel and wholesale businesses: Cin7 Core

Pricing: Cin7 lists Standard at $349/month, Pro at $599/month, Advanced at $999/month, and Omni as custom-priced. Prices are in US dollars and exclude taxes. Published annual sales-order limits are 6,000, 24,000, and 120,000 respectively; the plans list five, ten, and 15 users and two, four, and six ecommerce/app integrations. Extra users, integrations, order volume, and modules may cost more.

Why it fits: Cin7 combines purchasing, order management, warehouse functions, assemblies and BOMs, batch and expiration tracking, MRP, COGS reporting, B2B portals, POS, RMA, API access, and forecasting add-ons. Its pricing page identifies QuickBooks Online and Xero integrations.

Not for: a single-channel seller with straightforward counts and low volume.

Demo test: ask the vendor to process your real channel mix, reservations, partial receipts, returns, and warehouse transfers. Cin7’s demo page says the session covers workflows, channels, current systems, pricing, onboarding, and fit; use that agenda rather than accepting a generic catalog tour.

Best for QuickBooks-centric distribution or manufacturing: Fishbowl

Fishbowl’s pricing page separates Fishbowl Inventory, from $229/month billed annually, from Fishbowl Advanced, from $595/month with pricing affected by users and deployment. Inventory is positioned for stocking, moving, and selling finished goods. Advanced targets manufacturing, multiple warehouses, 3PL, and EDI operations, with BOMs, work orders, MRP, lot/batch tracking, and compliance documentation.

Fishbowl also highlights two-way QuickBooks synchronization, barcode workflows, reorder points, SKU controls, manufacturing, and warehouse capabilities. These are vendor claims, not independent test results.

Not for: a very small retailer that needs only counts and purchase orders. Treat implementation, training, and accounting reconciliation as part of the buying decision.

Best for light manufacturing and makers: Katana

Katana is oriented around production, BOMs, inventory, purchasing, and ecommerce/accounting connections. Secondary comparison coverage reports Standard at $349/month, Pro at $599/month, Advanced at $999/month, and a 14-day trial; confirm those figures on Katana’s current pricing page before committing because the retrieved figures were not from a directly verified official pricing page.

Use it when: converting materials into finished goods is the central workflow.

Do not assume: an assembly or BOM label means finite-capacity planning, shop-floor control, scrap, subcontracting, revision control, or regulated traceability. During a demo, build a product, partially complete it, consume components, handle a shortage, and revise the BOM.

Best for simple visual and mobile tracking: Sortly

Sortly is aimed at visually organized catalogs, equipment, supplies, field stock, and basic barcode or QR workflows. NerdWallet’s current comparison reports a free option, paid tiers shown at $49, $149, and $299 per month, a custom tier, and a 14-day trial; verify current plan names, records, users, and prices directly.

Not for: detailed BOM and MRP, EDI, advanced warehouse picking, complex procurement, or accounting-grade costing. Ease of adoption is its advantage, but it should not be compared as though it were a manufacturing or omnichannel order hub.

Best simpler SMB alternative: inFlow Inventory

Software Advice positions inFlow as an SMB inventory and order-management product with quick implementation. No reliable August 2026 price was established here, so request the current plan sheet. Test import quality, partial receipts, multi-location transfers, channel synchronization, permissions, reporting, and data export before deciding.

When QuickBooks Online or Square for Retail may be enough

QuickBooks Online can be sensible when accounting is the center of the operation, but its inventory module should be tested for locations, bundles, manufacturing, barcode workflows, purchasing, and order volume rather than assumed adequate because the business already uses QuickBooks. Secondary coverage reports approximately $115/month for a Plus plan; verify current Intuit pricing.

Square for Retail is more compelling for brick-and-mortar businesses where POS and store operations dominate. Secondary coverage reports approximately $49 per location per month; verify the current Square plan. It is not a natural substitute for manufacturing, wholesale purchasing, or complex multichannel fulfillment.

How to calculate the real cost

Use this formula:

Estimated annual software cost = subscription + required add-ons + integration fees + onboarding or migration + connected accounting/POS tools.

Include all of the following in your quote:

  • Monthly versus annual billing and taxes
  • Included and extra users
  • Monthly or annual order caps and overage pricing
  • Number of warehouses, locations, channels, and integrations
  • API access, POS registers, B2B portals, EDI, forecasting, and advanced warehouse modules
  • Onboarding, data migration, training, and implementation consulting
  • Barcode scanners, label printers, and mobile devices
  • Shipping, marketplace, payment, and accounting subscriptions

For example, Cin7’s $349 Standard price is not a complete five-user multichannel budget unless its 6,000 annual order limit and two integrations cover your operation and no paid add-ons or implementation services are required. Likewise, Zoho’s $29 Standard price is not a promise that a growing business can remain within its 500-orders-per-month, three-user, and two-location limits.

A practical scoring framework

Feature count is not fit. A simpler system that staff consistently use can outperform a more powerful system that employees bypass.

Demo and trial checklist

Prepare before the meeting

  • 20–50 representative SKUs, including variants and bundles
  • One serialized or lot-controlled item if relevant
  • Supplier lead times and two warehouse locations
  • One ecommerce channel and one accounting platform
  • A partially received purchase order, a return, a stockout, and damaged or quarantined stock
  • A BOM or assembly if you manufacture

Require these demonstrations

  1. Import products and map SKUs.
  2. Create a purchase order and receive only part of it.
  3. Assign lot, serial, or expiration data.
  4. Transfer stock between locations.
  5. Sell one SKU through two channels and show reservations and failed-sync handling.
  6. Create a bundle or assembly.
  7. Process a return and choose whether to restock, quarantine, or scrap it.
  8. Run valuation, aging, dead-stock, and reorder reports.
  9. Count inventory with barcode scanning.
  10. Restrict adjustments by user role.
  11. Export transactions, quantities, and valuations if you leave.

Expose hidden charges

  • Are extra users, integrations, API calls, or channels billed separately?
  • Are order limits monthly, annual, or rolling?
  • Is advanced warehouse management, forecasting, EDI, or a B2B portal extra?
  • Is onboarding mandatory, and is it delivered by the vendor or a partner?
  • What data and historical valuations remain exportable after cancellation?
  • Are taxes, payment, shipping, marketplace, or accounting fees excluded?

Migration and implementation safeguards

  1. Clean and deduplicate SKUs, units, bundles, suppliers, and locations.
  2. Document opening quantities, cost basis, lots, serials, and expiration dates.
  3. Map each channel, warehouse, bin, tax rule, and accounting account.
  4. Set permissions for receiving, adjustments, counting, purchasing, and approvals.
  5. Label bins and products; test scanners and printers.
  6. Run a controlled pilot with representative orders and returns.
  7. Compare inventory and accounting outputs during a parallel run.
  8. Define cycle-count frequency, exception ownership, and a rollback plan.

Common failures include dirty master data, synchronization delays that cause overselling, hidden order caps, incorrect COGS or landed-cost postings, shallow “manufacturing” features, and staff who do not receive, scan, count, or close orders consistently. Lot tracking alone also does not establish regulatory compliance; regulated businesses must verify audit logs, retention, access controls, electronic records, validation, and jurisdiction-specific requirements.

Bottom-line recommendations

  • Small ecommerce seller: start with Zoho Inventory and confirm that the free or Standard limits cover peak volume.
  • Multichannel or wholesale growth: put Cin7 Core through a workflow-based demo and price every add-on.
  • QuickBooks-heavy warehouse or manufacturer: compare Fishbowl Inventory and Fishbowl Advanced against your accounting and production scenarios.
  • Production-led maker: test Katana—or another manufacturing-focused platform—using real BOM and shortage cases.
  • Simple visual stock or field equipment: consider Sortly, but do not expect ERP-level purchasing or costing.
  • Enterprise finance, entities, manufacturing, and operations: investigate NetSuite or another ERP-level system with a formal implementation plan.
