There is no universal best point-of-sale (POS) system. The right choice depends on whether you run a shop, restaurant, service business, mobile operation, or online-and-in-person store. For most U.S. beginners, Square is the strongest starting point; Shopify leads for omnichannel retail, Lightspeed for complex inventory, Toast for restaurants, Clover for hardware flexibility, Helcim for payment-focused merchants, and PayPal Point of Sale/Zettle for occasional selling.

A POS application, payment processor, and hardware provider are separate decisions even when one company bundles them. Your total cost and ability to leave depend on all three.
Which POS fits your business?
- Solo service provider: Square or PayPal Point of Sale for Tap to Pay, invoices, appointments, and payment links.
- Mobile or market seller: Square or PayPal Point of Sale, with attention to battery life, cellular connectivity, portability, and offline behavior.
- Boutique or gift shop: Square for a simple store; Shopify POS when ecommerce is central.
- Specialty retailer with many SKUs: Lightspeed or Shopify POS Pro for variants, purchase orders, transfers, and vendor controls.
- Cafe or quick-service restaurant: Toast, Square for Restaurants, or Clover for menus, kitchen displays, tips, and online ordering.

1. Square: best overall for most small businesses

You can sometimes start with a phone, Tap to Pay, invoices, payment links, or a virtual terminal instead of a full register. For retail, Square lists Retail Plus at $89 per location per month and adds advanced inventory, barcode-label printing, purchase orders, vendor management, and cost-of-goods reporting at that tier: Square retail system.
Square’s retail pricing page lists card-present rates of 2.6% + 15¢, 2.5% + 15¢, and 2.4% + 15¢ by plan; online, manually entered, ACH, and Afterpay transactions have separate terms: Square retail pricing.
Choose Square when
- You need a fast, low-commitment launch.
- You sell through appointments, invoices, links, or a small physical counter.
- You want one ecosystem for payments, payroll, marketing, loyalty, or banking.
Look elsewhere when
- You have thousands of SKUs or sophisticated purchasing and transfers.
- You process enough volume that interchange-plus pricing could materially reduce costs.
- You need deep restaurant or multi-location controls without paid upgrades.
2. Shopify POS: best for omnichannel retail
Shopify is the natural choice when a store already sells online or plans to make ecommerce central. Its catalog, orders, customers, and inventory can span online and physical channels, including buy-online, pickup, shipping from store, and in-store returns.
U.S. pricing lists Basic at $39 per month, Grow at $105, and Advanced at $399. POS Pro adds $89 per location per month and includes richer staff permissions, customer profiles, inventory workflows, retail reporting, and omnichannel tools: Shopify POS pricing.

A permanent store may need both the Shopify subscription and POS Pro at each location. In-person card rates start at 2.6% + 10¢ on Basic, 2.5% + 10¢ on Grow, and 2.4% + 10¢ on Advanced. Third-party payment-provider fees can vary by plan. Shopify also requires a smartphone or tablet and a compatible card reader; stands, scanners, drawers, and printers are optional hardware: Shopify POS pricing.
3. Lightspeed Retail: best for complex inventory
Lightspeed is built for specialty retailers whose central problem is inventory control rather than simply accepting cards. Purchase orders, vendors, stock transfers, barcode workflows, multi-location management, and deeper reporting can justify its higher recurring cost.
Public comparisons place Lightspeed broadly in an $89–$239 monthly range, but that is not a definitive current quote. Plans, regions, implementation, and payment arrangements vary. Start with its retail product page and pricing page, then request a written proposal.
Ask before signing
- Which inventory and reporting features are included in your tier?
- What are migration, implementation, support, and additional-location charges?
- Must you use Lightspeed Payments, and can you export all catalog and historical data?
4. Toast: best restaurant POS
Toast should be compared with restaurant systems, not a basic retail register. Its restaurant workflows cover menus and modifiers, kitchen printers or displays, table and seat management, split checks, handheld ordering, online ordering, delivery, gift cards, loyalty, and guest marketing. Entry plans may advertise little or no monthly software cost, but advanced modules, hardware, processing, and contract terms determine the real bill. A cafe with a simple menu may not need every module; a full-service restaurant should price kitchen, table, handheld, ordering, delivery, and labor workflows together.
Require a complete quote
- Card-present, online, keyed, and card-on-file rates.
- Contract term, auto-renewal, cancellation, and early-termination provisions.
- Hardware ownership, replacement policy, support, and every paid module.
5. Clover: best flexible hardware
Clover offers countertop and handheld configurations, including compact terminals, Station Duo systems, and Flex handheld hardware, plus an app marketplace for added functions. Its official retail page shows multiple bundles and subscription or purchase arrangements: Clover retail pricing.
Clover is attractive when a physical terminal matters more than a phone-first setup. It is also the system that most demands contract scrutiny: resellers, acquiring banks, financing, app subscriptions, and processing rates can change the economics.
Confirm ownership and portability
- Are you buying, leasing, financing, or renting the device?
- Can the hardware work with another processor if you leave?
- Do marketplace apps remain usable after a processing change?
- What are statement, PCI, batch, support, and cancellation fees?
6. Helcim: best payment-value alternative
Helcim is worth considering when card volume is meaningful and transparent interchange-plus pricing matters more than a deep industry-specific POS. Your effective cost depends on card mix, average ticket, keyed versus card-present volume, and monthly sales—not on a headline percentage alone. Start at Helcim for a current quote.

It is less likely to replace Toast for a restaurant or Lightspeed for complex retail. Confirm inventory, employee permissions, offline operation, integrations, hardware, and support before treating payment savings as a complete solution.
7. PayPal Point of Sale/Zettle: best for occasional selling
PayPal Point of Sale, historically associated with Zettle in some markets, suits pop-ups, markets, appointments, and businesses already centered on PayPal. It offers simpler mobile acceptance than a full retail or restaurant suite. Check the current U.S. offering at PayPal Business and Zettle U.S. because product names, devices, and availability can change.
Choose a deeper system when you need multi-location inventory, staff management, loyalty, kitchen operations, purchasing, or complex customer histories.

Total cost = software subscriptions + payment processing + hardware + add-ons + implementation + support + contract or termination costs.
Calculate processing correctly
Monthly payment cost = monthly card volume × percentage rate + transaction count × fixed fee. For example, at $20,000 across 500 in-person transactions, a 2.6% + 15¢ rate costs $520 in percentage fees plus $75 in fixed fees, or $595 before software, hardware, refunds, tips, taxes, chargebacks, or negotiated terms. A 15¢ fee consumes 3% of a $5 sale but only 0.15% of a $100 sale, so low-ticket businesses must pay particular attention to the fixed component.
Add hardware and software
Amortize a $900 register over 36 months as $25 per month for comparison, then add readers, stands, cash drawers, scanners, printers, kitchen displays, cellular backup, and replacement coverage as needed. A $49 reader, a $500 terminal, and a $1,500 countertop bundle are different systems, not interchangeable prices.

- Test catalog import, refunds, exchanges, offline recovery, employee permissions, and exports during a demo.
- Request written terms covering rates, contract length, ownership, support, cancellation, and data portability.
- Compare three-year total cost, not just the first month or advertised reader price.

- Can I use another processor?
- Which quoted rates apply to card-present, online, keyed, ACH, and card-on-file payments?
- Is there a contract, auto-renewal, or early-termination fee?
- Do I own the hardware, and can I reuse it elsewhere?
- Are extra registers, users, locations, or devices charged separately?
- Which features are paid add-ons?
- Can I export my catalog, customers, sales, and inventory in usable formats?
- What happens during an internet outage and after reconnection?
- How are tips, refunds, partial refunds, exchanges, and split payments handled?
- Are employee permissions and individual logins included?
- Does it integrate with accounting, payroll, ecommerce, booking, delivery, and email tools?
- How long will migration take?
- Is phone or live support included, and what are its hours?
- What is the failed-hardware replacement process?
- When are deposits made?
- For how long are rates and plan prices guaranteed?
