Ask someone who knows your relevant work, explain why you chose them, request a strong letter, and give them the deadline, submission instructions, and a concise packet of supporting materials. Aim to ask four to six weeks before the due date when possible; some institutions recommend at least three to four weeks.
First, confirm what the application requires
“Reference” can describe either a person an employer may contact or a written recommendation submitted for an application. Check the employer’s or program’s instructions before contacting anyone.

Yale’s career guidance says employers typically request a list of professional references and that confidential recommendation letters are uncommon in its employment context. That is not a universal rule, so follow the exact instructions you received.
Choose the right recommender
Select someone who has directly observed work, skills, or qualities relevant to the opportunity. A person’s title or seniority matters less than whether they can give specific, credible examples.

Good choices may include
- A professor who knows your performance in relevant coursework or research
- A supervisor who saw your contributions, judgment, or teamwork
- An academic adviser, project leader, or internship manager with direct knowledge of your work
In your request, name the class, project, job, or other experience that gives the person useful context. Ask whether they would feel comfortable writing a strong letter. This gives them a respectful way to decline if they cannot provide an enthusiastic or timely recommendation. If they hesitate or cannot meet the deadline, thank them and ask someone else.
Ask early and choose an appropriate channel
Ask as soon as you know the application timeline. The University of Cincinnati recommends asking four to six weeks before the deadline (2025 guidance). UTEP’s University Career Center recommends allowing at least three to four weeks (2025 guidance). These are planning recommendations, not universal requirements; highly competitive programs, academic breaks, and busy seasons may require more notice.
An in-person conversation can be appropriate when you already have a relationship and a natural opportunity to talk. Email is also effective when it is specific, courteous, proofread, and uses the recommender’s correct title. After an in-person request, send the details and materials in writing so the deadline and instructions are easy to find.

Give the recommender enough information to write a tailored letter without having to reconstruct your application. Include:

- Reason for asking: the shared class, project, job, or experience that lets the person assess you
- Dates: the official deadline and, if useful, an earlier date you hope to meet
- Submission details: who receives the letter, the application link or portal, and whether the recommender uploads it, emails it, or returns a form
- Requirements: format, page limits, evaluation criteria, required forms, and confidentiality rules
- Your materials: a current résumé or CV, relevant accomplishments, work samples, statement of purpose, personal statement, transcript where appropriate, and the job or program description
Tailor the packet to the recommender. An academic writer may need relevant coursework, research, work samples, and your goals. An employment reference may need the job description and reminders of projects, responsibilities, and results.

Make the request easy to answer
Put the decision and the practical details near the beginning of the message. A recommender should be able to see immediately what you are applying for, why you selected them, when the letter is due, and how it must be submitted. Avoid vague requests such as “Can you recommend me?” without identifying the opportunity or deadline.
Give the person room to decline without embarrassment. An agreement is not necessarily a promise of a detailed or positive letter, so the word “strong” matters. If the person says no, responds uncertainly, or cannot meet the date, move promptly to another qualified recommender.

Track the deadline and follow up politely
You remain responsible for monitoring the application. Record the recommender’s commitment, the official due date, the submission method, and any portal status you can view.
- Send the request and complete materials in one organized message or folder.
- Confirm that the recommender has what the application requires, especially if a portal invitation or form is involved.
- If the letter is still missing, send a brief reminder that repeats the due date and submission link or instructions.
- After submission, thank the recommender and, when appropriate, share the outcome.
Indeed suggests a reminder three days before the due date. Treat that as one practical suggestion, not a universal standard: follow the timing you discussed and allow enough time to handle portal problems or a missed deadline.
Academic and employment requests may differ
Academic applications
Faculty members, supervisors, and academic advisers can be appropriate when they know your work directly. Tell them which coursework, research, service, or goals are most relevant. Verify whether the program wants confidential letters, online evaluations, forms, or a specific number of recommendations.
Employment applications
Ask the employer whether it wants a written letter or professional reference contacts. If contacts are requested, obtain each person’s permission, confirm their current title and contact information, and tell them which role may call. Do not send a letter when the employer’s process calls for a reference list instead.
Confidentiality and student access
The University of Michigan’s student guidance discusses FERPA access rights to recommendation letters and the option to waive access when formally requesting one. This is context-specific student information, not a universal instruction for every application. Read the program’s waiver language and submission rules before making a choice.
